Configure Your Club's Email Identity, Branding, and Automated Notifications

INTRODUCTION

Feature Summary: The Email Settings tab lets you control how automated outgoing emails appear to members, including the sender name, reply-to address, email logo, and automated reminders for events and reservations.

Use Cases:

  • Set a recognizable sender name so members can quickly identify emails from your club

  • Configure a monitored reply-to address to ensure member responses reach the right inbox

  • Upload your club's logo to maintain consistent branding across all outgoing emails

  • Enable automated reminders to reduce no-shows for events and reservations

OVERVIEW

The Email Settings tab is the central place to configure your club's automated email identity and notification behavior. Proper setup helps ensure your communications are consistent, professional, and reach members effectively.


NAVIGATION

  1. Log in to the CourtReserve admin panel.

  2. Navigate to Settings > Organization Settings.

  3. Select the Email Settings icon.


SETTINGS

From Name - The name that appears in the "From" field of all outgoing emails.

  • Use a recognizable name that members will associate with your club, such as "Sunnyvale Racquet Club."

  • A clear sender name helps members identify your messages and reduces the likelihood of emails being filtered as spam.

Reply To - The email address where replies to system-generated emails will be sent.

  • Use an actively monitored inbox (such as [email protected]) to ensure member questions receive a prompt response.

  • Note: This setting applies only to automated system notifications. It does not affect replies to bulk emails or manually sent messages.

Send Event Reminders - When checked, members will receive an automated reminder email before upcoming events they are registered for.

  • The default setting is checked.

  • Use the X Hours Prior to Event to Send Reminder field to set how far in advance the reminder is sent.

  • For example: Set this to 24 hours to send a reminder the day before an event, or two hours for a same-day nudge.

Send Reservation Reminders - When checked, members will receive an automated reminder email before upcoming court reservations.

  • The default setting is checked.

  • Use the X Hours Prior to Reservation to Send Reminder field to control the reminder timing.

Send Cancellation Email(s) to the Following Family Role(s) - Controls which family members receive cancellation notification emails when a reservation or event is cancelled.


Use the dropdown to select the appropriate recipient group. Available options include:

  • All Family Members with an Email - Sends the cancellation email to every family member who has an email address on file.

  • First Primary Family Member - Sends the cancellation email only to the first primary member of the family.

  • All Primary Family Members - Sends the cancellation email to all members designated as primary within the family.

  • Player Making the Reservation - Sends the cancellation email only to the individual who originally made the reservation.

Upload New Email Logo - The logo displayed at the top of outgoing automated player and system emails from your club.

  • Click Select files... to upload a new logo image.

  • Use a high-quality image that reflects your club's brand and displays cleanly at email header size.

  • The Current Email Logo section shows the logo currently in use.
