INTRODUCTION
Feature Summary: The Track Tennis integration connects CourtReserve with Track Tennis's AI-powered video platform to automatically recording players’ court time. Unlike other video recording integrations, players do not need to manually initiate a recording - any upcoming reservation or event on a player's account is recorded automatically based on membership type or individual preference. Once recorded, players receive their recordings via text, email, or their CourtReserve app.

OVERVIEW
Track Tennis connects to CourtReserve through the CourtReserve API. When the integration is enabled, CourtReserve generates API credentials that are shared with the Track Tennis team to activate the connection. From there, recordings are triggered automatically based on a player's upcoming bookings and registrations - no action is needed from the player to start a recording.
Recording eligibility can be configured at two levels:
Membership type - CourtReserve system users can define which membership types should have their bookings automatically recorded.
Individual player - Automatic recording can be enabled or disabled at the player level. This can be configured by a system user from the player's member details page, or by the player themselves directly from their CourtReserve member portal or mobile app.
Once a recording has been processed by Track Tennis, a URL is returned to CourtReserve via an API endpoint, and the recording becomes available for the player to view in the CourtReserve mobile app.
PREREQUISITES
Before setting up the Track Tennis integration, ensure the following requirements are met:

Required Disclosure: Please reach out to the CourtReserve Support team to obtain the liability waiver you will be required to review and sign in order to enable Track Tennis for your organization. You can email [email protected].
Revenue Category: To track Track Tennis recording revenue, you can create a dedicated Revenue Category in CourtReserve before completing setup. This is optional.

Organizations will be responsible for the CourtReserve integration’s monthly fee, along with any additional charges from Track Tennis.
NAVIGATION
Navigate to Settings on the sidebar.
Scroll to the bottom row under Additional Features (Add-Ons).
Locate the Video Recording Integration option, check to enable it, and click Setup.
In the Video Recording Type dropdown, select Track Tennis.
SETTINGS

Once Track Tennis is selected as the Video Recording Type, CourtReserve generates a set of API credentials scoped to your organization.
Share the Username and Password displayed under API Keys with the Track Tennis team to enable the integration on their side. Use the copy icons next to each field to copy the credentials.
Eligible to View Recordings - When checked, players will be able to view their completed recordings in the CourtReserve mobile app.
Record for Following Membership(s) - Select the membership types that should have their bookings and registrations automatically recorded. If no memberships are selected, all membership types will be eligible for automatic recording.
Recording Costs: Recording costs, hourly or fixed, can be configured by membership type under Settings > Booking Settings > Costs. Click the Update Recording Costs link on the setup page to navigate there directly to enter and save these amounts.
Tax Rate - Select a tax rate to apply to any recording-related fees if applicable.
Revenue Category - Select the revenue category to assign to recording transactions.
Configuring Recording Eligibility at the Player Level
In addition to membership-type settings, recording eligibility can be set for individual players. This allows players outside of the eligible membership types to opt in, or players within eligible membership types to opt out. Recording eligibility can be updated by a system user from the admin panel, or by the player themselves from their member portal or mobile app.
Option 1 — Via the Admin Panel (System User)
Navigate to the player's member details page.
Locate the Video Service field.
Set the field to Yes to enable automatic recording for that player, or No to disable it.
Option 2 — Via the Member Portal or Mobile App (Player)
Players can update their own recording preference from their Personal Information page in the member portal or mobile app. The same Video Service field will be available to enable or disable automatic recording on their account.
USER PERSPECTIVE - Mobile App
Players will find a Track Tennis row in the CourtReserve mobile app, located below My Bookings. Because recordings are initiated automatically, this section is for viewing completed recordings only.
Tapping View My Recordings opens the My Recordings page, where players can view any recordings that have been processed for their account. Once a recording has been delivered by Track Tennis, it will appear here with a thumbnail preview.
Audit Log
Players' recordings are tracked in the audit log under the Recording entity type. System users can view all recordings that were automatically initiated from the audit log.
