Move Player Registrations Between Eligible Events When Plans Change

INTRODUCTION

Feature Summary: System users can reschedule a player’s existing event registration to a different event within the same organization—keeping participation and payments seamless.

Use Cases: If a player is unable to attend an event they’ve already paid for, system users can easily transfer their registration to another eligible event—without canceling or issuing a refund.


SETUP REQUIREMENTS

  1. Click EVENTS > LIST on the side menu.

  2. Locate and select the event, and go to the Dates tab.

  3. Click the + icon next to the event date where the player is registered to expand and view the event details.

  4. Under the Registrants tab, click the Reschedule button next to the player's name.

In the "Reschedule Event Registration" window, system users have the ability to select a specific event for rescheduling an existing registration. After clicking the "+" icon for an event, system users will be shown the upcoming dates for the chosen event, and will be able to re-schedule this player using the Register button.

Price Differences When Rescheduling

  • If the original event cost is higher than the new event and the player paid by credit card, system users will have the option to refund the remaining balance back to the credit card.

  • If the original event cost is lower than the new event, the player’s new registration will be marked as a partially paid fee, and they will be responsible for paying the remaining balance.


Reschedule Fee Processing

Important: After the reschedule is completed, the amount paid for the original registration will be refunded as account credit.

If your organization does not automatically apply account credits, an additional step may be required to complete the new event payment.

  • If you are auto applying account credits to unpaid fees, the system will automatically apply the account credit to process payment for the registration.

  • If you have disabled auto applying account credits to unpaid fees, the new fee created for the rescheduled registration in the new event will be unpaid and the admin must manually process payment for that unpaid fee.

Audit Log

Details regarding the event rescheduling will be recorded in the player's Audit Log. Example shown below:
