Learn how to use Organized Play and allocate courts for organized group play

Organized Play offers an exciting and dynamic experience for players, where system-generated matchups based on player ratings are carefully organized across a set number of courts. The number of matches allocated is determined by the number of players signed up, available courts, and customized admin settings. This ensures that players are evenly matched and provides a fair and competitive environment. It's a great way to meet new opponents, test your skills, and enjoy the thrill of playing against players of similar skill levels!

ADMIN SETUP

How to turn on feature:
Setup > Add-Ons > Organized Play

When enabled, Organized Play will appear as a button in the Add-Ons at the bottom of your settings page

Organized Play Settings

The Organized Play settings page will set your defaults for your Organized Play event. These settings can be changed at the individual event level

  1. Enable Organized Play for the following Event Category(s): Select which Event Types you would like to enable the Organized Play option for

  2. Allocation Order Preference: This is the order you would like the system to select your players

    1. Random = Players will be selected at random based on their skill level

    2. Sign-up Order = Players will be selected to play based on their skill level in the order that they signed up for the event.

      1. Ex:
        Player A signs up first with a 3.0 Rating
        Player B signs up second with a 4.0 Rating
        Player C signs up third with a 3.0 Rating
        Players C will be signed up before Player B because an additional player is needed on Player A’s court of 3.0 players.

  3. Rating Category: Select the Custom Rating you would like to pair your players and and allocate your courts by

  4. Allow Player Pairing: If enabled, players will be able to select a partner to pair with after registration if their skill levels match based on skill level restrictions for the event

  5. Allow Mixed-Skill Match-ups: If enabled, players will be matched based on a +/- scale of your choosing.
    Note: If a player does not have a Custom Rating for your event, they will automatically be assigned the LOWEST rating of that category for pairing purposes.

    1. Skill Level Deviation: select how many skill levels ahead of or beyond the players’s Custom Rating you would like to match together.

      1. Skill Level Deviation looks at the Custom Rating in the Rating Category selected for the event (above).

      2. Skill Level Deviation looks at the order of the Custom Rating as they are set by the Admin. If your number scale is not set in the correct number order, the pairings could be skewed. Make sure your Custom Ratings are set in the correct order top-down

      3. Example:

        1. If 1 is selected as the Skill Level Deviation, a 3.0 player could be paired with a 2.5 player or a 3.5 player.

        2. If 2 is selected as the Skill Level Deviation, a 3.5 player could be paired with a 3.0, 2.5, 4.0, or 4.5 player.

  6. Max Players Per Court: Set the number of players per court

  7. Allocate Gender Equally: The same number of males and females will be assigned to the event

  8. Show Allocated Member Names on Scheduler(s) in Member Portal: Display player names on their allocated event court in the Member Portal schedulers


Event Setup

  1. Create your Organized Play Event

  2. Category: Select which Event Type you would like to make your event

    1. If the event type selected has been designated for Organized Play, a checkbox will appear

    2. Enable: Is Organized Play Event

    3. If the event is not enabled with this setting, your normal event setup will be in effect. Organized Play options will not be displayed.

  3. Set your remaining regular rules for your event (Event Date, Time, Recurrence Rules, etc.)

  4. Prevent Member from Withdrawing from event within X Hours: It is recommended this hours field is set to prevent players from withdrawing from your event after the court/pairing allocation is completed.

  5. Tab 1 Notes: Event Setup

    1. Drop-in Price: even if your event is recurring only the Drop-In event price is available. A player cannot sign-up for the full event in their registration. Organized Play is a drop-in only feature.

    2. Registration Ends Before Event: even if this not set, players will not be able to register to the event after the court/pairing allocation is complete

    Default settings for Organized Play can be adjusted here if desired


Setting Up Your Allocation

  1. When you are ready to set up your event’s allocation visit the Organized Play tab of the event date

  2. A list of players is displayed in the order they were registered, a player they are paired with (if they did this step if allowed), Rating Category, and Gender.

  3. Click the blue Allocate Court(s) and Player(s) button at the top of your list

  4. IMPORTANT: Allocation can only be done once! Once you allocate your players this can only be undone by manually swapping out players.

  5. In the Allocate Court(s) and Player(s) screen you can swap out players and matches as desired

  6. Click the dark blue Finalize button to finish your allocation

  7. Click the blue Email Player(s) button to message your players that the allocation and matches are ready

    1. Email Players Allocated to Courts: Will only message players that were paired to a court

    2. Email Alternate List: Will only message players that were not paired and put on the alternate list

    3. Emailing players will send a message of your choosing (if desired) and the Matches

    4. Some organizations may opt to not email players if they post the pairings online

    5. Emails can be sent at anytime so you are able to re-send matches if players are edited later


Member Portal

Players will register for Organized Play as they do any other event.

Once players are registered they will be able pair with another player (if enabled) in the Event. Players are only able to be paired together if their ratings match based on pairing criteria. Players may also pair, unpair, and repair until allocation is complete

After allocation is complete, players will not be able to register for the event

After allocation is complete, players can see their pairings in the member portal (if enabled).

To display Allocation in Member Portal to participating players, “Show Registrants” must be enabled from the registration Event Setup settings tab.

After allocation is complete, players will see an additional table displayed under the event date information with their allocation results

  1. If allocated: Box will display

    1. Allocation is complete

    2. Status: You’re in!

    3. Information about their allocation: Partner, Court assigned, & Opponents

  2. If NOT allocated: Box will display

    1. Allocation is complete

    2. Status: Alternate
