Creating a Session Schedule

Set Dates and Times for a Tournament

INTRODUCTION

  • Feature Summary: System users set the start and end dates of a session.

  • Use Cases: Use the session calendar to book space and club facilities for a session. Because CourtReserve is an integrated platform, bookings that cause scheduling conflicts are immediately flagged for system users.

Creating a session is one part of the Leagues workflow, which involves these major steps:

SETUP PREREQUISITES

System users must first create a session. Click here to learn more.

SETUP REQUIREMENTS

The first step is to open a session. To do that, systems users can create a new one or edit an existing session.

Creating a new schedule

To create a new schedule from the dashboard:

  1. Click LEAGUES > SESSIONS on the side menu.

  2. On the next page, locate the session to update and click the VIEW button.

  3. Click the Schedule(s) / Game Days tab.

  4. Click the Create New Schedule button.

Configuring session settings

If the system user creates a schedule right after creating a league and session, CourtReserve displays the league and session names at the top of the page.

Accept or update the pre-filled schedule name.

Next, set the date(s) and times.

  1. Optionally, check the Override Hours of Operation box if session start/end times fall outside the standard 9 am to 9 pm period.

  2. Click the Schedule Date field and use the calendar to set the start date.

  3. Use the clock icons to set the start and end times of each session day.

  4. Set a Recurrence schedule. (optional)

If this session takes place on multiple days, click the Recurrence field and select an option. Optionally, click Custom and select session dates on the calendar.

Adding facilities

Scroll down to the bottom of the page and configure court settings.

  1. Click the Court Types field and select one or more options.

  2. Select one or more courts or use the Select All button.

  3. Add a note. (optional, see below)

  4. Click Save.

Editing a schedule

To update an existing session schedule:

  1. Go to the side menu and click LEAGUES > SESSIONS.

  2. Locate the session to update and click the VIEW button.

  3. On the next page, click the Schedule(s) / Game Days tab and select an edit option.

A. Reschedule Day

Use this tool to change the session date. Scroll through the table and locate the date to update. Click the Reschedule Day icon, change the date in the popup window, and then click Save. Optionally, add a note.

B. Cancel

Click the X icon to cancel a game day. If a trash can icon displays in this place, system users can delete the row from the session table.

C. Edit

Click the pencil icon to edit game day settings, which include start and end times, facilities, and the number of registrants. Optionally, add a note, which displays on the admin and member portal schedulers.

FEATURE USAGE - USERS' PERSPECTIVE

After the system user creates a league session, CourtReserve adds a Leagues menu tab to the Member portal.

If the site visitor qualifies for the session (and the appropriate permissions have been granted), they can register online. CourtReserve displays the session, schedule, and basic program information.

After registering, the user clicks the OPT-IN button to submit their name into the pool of match players.

FEATURE USAGE - ADMINS' PERSPECTIVE

The admin calendar shows the session schedule and notes, if any.
