Require Members to Digitally Sign an Agreement

INTRODUCTION

  • Feature Summary: Digitally store signed membership agreements.

  • Use Cases: System users can attach an agreement requirement to all or some membership types. After creating a membership agreement, the system user must create a signing rule.

PREREQUISITES

SETUP REQUIREMENTS

  1. Open the Manage Waivers & Agreements page.

  2. Click the Waivers & Agreements tab and then click the Create Waiver / Agreement button.

  3. On the new page, fill in the fields. (see below)

  4. Click Save.

Fill in the fields

  • Name - Enter a unique name for this membership agreement.

  • Version Name - CourtReserve auto-fills this field with a unique identifier. If a system user updates the membership agreement, CourtReserve inserts a new version name. Optionally, system users can enter a different version name.

  • Agreement text - Enter text that displays above the user's e-signature

  • Content Type - Enter the membership agreement terms. Type the terms into the field or upload a file (PDF). CourtReserve attaches a copy of this document to the member profile when a member signs the membership agreement.

  • Signing Notes - Add text to this optional field to help users understand where to sign the membership agreement.

  • Waiver / Agreement Date Specific - If the membership agreement is active for a specific period of time, check this optional box. Use the calendars to set start and end dates.

  • Is Active - Check the box to display this membership agreement on the member portal.

FEATURE USAGE - USERS' PERSPECTIVE

When a member who has never signed a membership agreement tries to book a court. CourtReserve displays a prompt.

The same workflow displays for new members after they create an account.

To sign the agreement, members:

  1. Check the box to indicate agreement.

  2. Click the grey field to open a signing window and use the mouse to digitally sign.

  3. Click the SAVE SIGNATURE button.

FEATURE USAGE - ADMINS' PERSPECTIVE

System users can view membership agreement signatures and details on a member's profile page. Open a profile and click the Waivers tab.

  • CourtReserve displays a waiver icon at the top of the page. Hover the icon to see details.

  • Click the View button to open a window with signing details, including the document version number. Optionally, click the Print button to create a hard copy.
