Manage Email and Front Desk Waiver Signatures

INTRODUCTION

  • Feature Summary: Customize settings that allow members to sign waivers or membership agreements via email or at the organization's front desk.

  • Use Cases: Occasionally, a member may not have a chance to sign a waiver or membership agreement on the member portal (e.g. a member drops into the club for a last-minute court booking). In this situation, system users can offer the member three signing options via email or on a front desk tablet. CourtReserve tracks front desk signature requests (and email requests if this option is enabled) on a page called the Signature Queue.

PREREQUISITES

SETUP REQUIREMENTS

  1. Open the Manage Waivers & Agreements page.

  2. Click the Additional Settings tab.

  3. On the new page, configure setings. (see below)

  4. Click Save.

Configuring settings

  • Send Waiver / Liability Reminder Link - If this box is checked, CourtReserve emails a reminder message with a link to the waiver or membership agreement. System users can use the default message text or add custom text to the field. By default, this feature is disabled.

  • Allow Signing at Front Desk - Check this box to allow members to sign waivers and agreements at the front desk. If enabled, CourtReserve displays a new URL (Use this URL to Start Your Front Desk Waiver(s) / Agreement(s) Signing). Front desk staff can use this link to open a signature queue page. (see below)

  • Default Allow Sign from Email to Checked when pushing to queue - Check this box to allow members to sign waivers and agreements by clicking (or tapping) a link in an email message sent by CourtReserve. The default setting is not enabled.

  • Use this URL to Direct Players to the Signing Page - System users can share this link with members. When a member opens the link and signs in to the member portal, the page prompts the member to sign the waiver or membership agreement.

Managing the queue

There are three ways to prompt member signings at the front desk:

  • send an email prompt from the admin Check-in page, or

  • copy the signature URL and send the member a direct message, or

  • go to the Signature Queue, open the signing page, and ask the member to sign the waiver/agreement on a front desk tablet.
