Add POS Items and Fees Owing to a Transaction

INTRODUCTION

  • Feature Summary: Process payments for court bookings, lessons, POS items, and more.

  • Use Cases: Starting from the Expanded Scheduler, system users can quickly help members pay fees, settle outstanding payments on account, and add POS items all from a single window.

PREREQUISITES

Know how to open a scheduler.


SETUP REQUIREMENTS

  1. Log in to the admin dashboard.

  2. Go to the side menu and click SCHEDULERS > EXPANDED.

Locate a reservation on the scheduler. If the reservation has a dollar sign icon in the corner or a red bar at the top, the booking has unpaid members/players. Click the dollar sign icon to open a transaction workflow.

Click the Pay button. On the next window, locate a player with an unpaid bill and click the Pay button. The Admin payment window displays.

Reviewing the Admin Payment Window

The Admin payment window has four main sections.

  1. The amount owing for each line item (e.g. the court booking fee).

  2. A POINT OF SALE button that staff can use to add items to the transaction. (see below)

  3. An option to add unpaid fees to the payment. (see below)

  4. Payment details, including payment type and, if applicable, packages and a convenience fee.

1. Amount Owed

Line items

System users can adjust the fee (click the pencil icon) or delete the fee from the summary before processing the payment.

If a fee is linked to a reservation, lesson, or event, the system user can click the Check-In field and change the check-in status.

Adjusting the Applied Amount

If a club member wants to make a partial payment, the system user can edit the applied amount.

  1. Locate the payment row.

  2. Click the Applied Amt. field.

  3. Change the amount.

CourtReserve automatically adjusts the payment total and transfers the unpaid amount to the member's account.

2. Adding Point of Sale Items

This feature helps organizations increase revenue per transaction by allowing customers to add point of sale items to the transaction.

This feature is available if the organization enabled the point of sale add-on. Click here to learn more.

To add items to the current transaction:

  1. Click the POINT OF SALE button.

  2. Select an item.

  3. Click ADD TO CART.

CourtReserve adds the items to the fee summary. System users can adjust the quantity, discount the price (add a percent or override the price), or delete the item from the summary.

3. Adding Unpaid Fees

This feature makes it easy for club members to settle past-due fees (if applicable) on a single transaction.

If the member has money owned on account, the ADD UNPAID FEES button is orange.

  1. Click the ADD UNPAID FEES button. A popup window displays.

  2. Click an ADD button to move a fee owning to the summary page.

  3. Click ADD TO SUMMARY to close the window.

4. Payment Details

Payment types

Click the Payment Type field and select the member's preferred payment method. If the member has a payment profile, their default option is displayed first.

Pay by package

If available, the Admin window panel allows members to pay for specific items by redeeming a unit in a package. CourtReserve displays the Pay by Package option if:

  • the member has a valid package with available units that match the item in the transaction, and

  • there are no other items in the transaction (e.g. it's not possible to pay by package if there is a point of sale item in the transaction).

Note

System users can add information to the payment. CourtReserve displays this information in the Category column of a member's profile page (Billing > Transactions > All Transactions).
