INTRODUCTION

  • Feature Summary: Create membership types and a new member signup form.

  • Use Cases: System users can customize membership type rules that define player access to courts and event registrations. Also, set prices and booking rules for each type of membership (e.g. individual members, family members, guests, non-members, etc.).

Module 1 is a four-part quick-start guide highlighting the key steps admins should complete when creating a new membership type for pickleball players. This article is Part 1.

Part 1: Membership structure, management, and pricing

SETUP REQUIREMENTS

Create a membership type

This example shows you how to create a new individual membership type for pickleball players and configure essential settings like cost and booking rules. Follow the same steps to create any number of membership types or edit existing ones.

To create a membership type:

  1. Log in to the admin dashboard.

  2. Go to the side menu and click MEMBERSHIPS. A new page displays.

  3. Click the Individual or Family tab.

  4. Click the green create button. A popup window displays.

Enter a unique name for the membership type. Enter a short code (optional, maximum four characters). Click Save. A new page displays.

Membership page

Set membership prices and booking rules on this page. There are eight menu tabs. Each tab has different settings.

General tab

Make sure the Is Active box is checked. If checked, you can sign up new members with the membership. If unchecked, the platform hides this membership type.

Membership Price tab

Click this tab to set prices and payment conditions.

  • Requires Fee? - Check the box to display the fee and payment fields. The default setting is not checked.

  • X Days Past Due To Suspend Account - Create a grace period for late payments. Auto-cancel the membership if a payment is X days late.

  • Charge an Initiation Fee? - This optional field adds a one-time payment when a member purchases this membership (e.g. charge a one-time fee to new members).

  • X Days Before Payment Date to Generate Next Billing Cycle - Post membership fee X number of days from the start of the next billing cycle.

Next, create payment options (e.g. monthly, quarterly, etc.) and set prices. To enable an option, check a box in the Allow? column. Go to the Price column and enter a number.

One Time Price

Typically, clubs that operate on a seasonal basis (e.g. close for the winter) use this option. If you select this payment option, enter a price and set the membership period.

  1. Click Save Changes.

  2. Click the General tab.

  3. Go to the Membership Start/End Date fields.

  4. Enter a start and end date (e.g. April 1 to October 31) for the membership period.

  5. Click Save Changes.

Family Memberships tab

Settings for a Family membership are similar to an Individual plan, with one important difference. When you create a Family membership type, set the maximum number of people who can register under one Family plan.

To open a Family membership plan,

  1. Click MEMBERSHIPS on the side menu.

  2. Click the Family Memberships tab.

  3. Open an existing membership (or create a new one).

  4. Click the General tab.

  5. Go to the Max Family Members field and enter a number.

  6. Click Save Changes.

Portal Settings tab

Click this tab to control how the membership type displays on the public portal.

  • Is Public - Check the box to make this membership type visible on the member portal. If you uncheck the box, the membership type is active but not visible on the portal. Admins might uncheck the box if the membership plan is for a special group (e.g. staff, organization founders, etc.).

  • Require Payment When Booking Courts Online - If this box is checked, players with this membership type must complete the booking payment within a 15-minute payment window after booking. If not paid in this window, the reservation will be deleted from the system.

  • Require Payment Profile - If enabled, this setting requires the member to add a credit card or ACH to their account.
