INTRODUCTION
Enterprises operating multiple locations that plan to transition from single-location memberships to Network Memberships should follow the steps outlined below in coordination with the CourtReserve Team. This process ensures a smooth transition, simplifies membership management, and provides players with network-wide access and benefits.
CourtReserve has created a seven-part video series to help you visually understand Network Memberships — how to set them up and how they can benefit your enterprise. These videos are linked throughout the Network Membership articles (look for the ▶️ icon) and can all be accessed here.
PREREQUISITES
Before starting the migration process, ensure the following are completed:
Complete Setup of Network Memberships: Set up your Network Memberships in the location template.
Update Membership Rules and Costs: Adjust membership rules and pricing at the location level for both the primary membership and its network counterpart.
Contact Your CourtReserve Customer Success Partner: Once setup is complete, reach out to your CourtReserve Customer Success Team to begin the migration process.
SETUP REQUIREMENTS
Steps to Migrate to Network Memberships
To ensure a smooth transition to the Network Membership model, it’s important to follow a structured migration process. The steps below outline how to disable local membership sales, review and resolve duplicate memberships, and coordinate with the CourtReserve Team to complete the migration. By following these steps in order, your enterprise will ensure all memberships are properly aligned, ownership is preserved, and players gain access to network-wide benefits.

Step 1: Disable Local Membership Sales & Activate Network Memberships
Turn Off Local Memberships: Disable the sale of individual location memberships in the Member Portal.
Navigate to Memberships.
Click Edit on the relevant local membership.
Open the Portal Settings tab.
Uncheck Is Public to remove it from public view.
Activate Network Memberships: Enable your Network Memberships so they are active and visible in the Member Portal.
Go to Memberships and ensure your Network Memberships are set to Active and Public.
This prevents new sign-ups under the old structure so all future sold memberships align with the Network model.
Step 2: Review Locations for Duplicate Paid Memberships
If your enterprise operates multiple locations, some players may currently hold paid memberships at more than one location.
When transitioning to Network Memberships, duplicate memberships can create conflicts. For example, if a member has a paid membership at both Location A and Location B, the new Network Membership from Location A will override the one at Location B.
To prevent these issues, it’s essential to identify and resolve duplicate memberships so that each member has only one paid membership before migration.
How to Identify Duplicate Paid Memberships
The CourtReserve Customer Success Team will provide a detailed report listing all members who hold paid memberships across multiple locations.
Review this report carefully and reassign or adjust memberships as needed to ensure proper alignment before the transition.
Each member should have one paid membership at a single location before proceeding to the next step. Any memberships they hold at additional locations should be set to free.
Step 3: Migrate Memberships to Network Memberships
After completing the setup and resolving duplicate memberships, the CourtReserve Team will perform a mass update to migrate members to the new Network Membership structure.
Steps for Migration:

For each location that sells memberships, provide a list of existing memberships and indicate which Network Membership each should transition to. Use the provided Network Membership Mapping Template to complete this step. Follow the instructions included in the template (linked from the blue button) and refer to the examples outlined below.
Example: All-American Pickleball Enterprise has two locations migrating to Network Memberships.
By completing the mapping template, they provide a simple list showing each location’s current membership name and the corresponding Network Membership it should migrate to.

Column C:
Will price move forward?
Determine whether the current cost assigned to the membership should carry forward for the member. This option is useful when a location has maintained legacy pricing — for example, allowing long-term members to keep their original rate even after prices have increased.
Enter Yes if the existing membership cost should move forward to the new Network Membership for that category.
If set to No, the new membership assignment will adopt the standard price of the Network Membership.

Column D (only if needed based on the following):
Note for Payment Frequency: If your memberships include multiple payment frequencies (e.g., monthly, quarterly, annually), please add a Payment Frequency column to the template and specify the frequency for each membership. This ensures that assignments are mapped accurately.
If a membership has multiple payment frequencies, that membership can be listed multiple times in the template — one row for each frequency.
2. Assign & Apply Network Memberships with a Mass Update:
After the mapping document is finalized, the CourtReserve Customer Success team will collaborate to perform a mass update that converts your existing memberships into Network Memberships.
During this process:
Each existing membership is replaced with its corresponding Network Membership.
The original sold location remains the membership’s owner.
All other locations automatically recognize the membership, applying the correct access and associated rules.
This update ensures that all memberships are correctly assigned and synchronized across the network while preserving ownership at the original selling location. Once completed, all memberships will transition to the Network Membership model, giving players access to benefits at all participating locations.
Step 4: After Migration Follow-Up
After the Network Membership Migration is complete, the Admin or Enterprise Manager should review the Membership Status Report in each location. Ideally, all old memberships — including both paid memberships and placeholder memberships — should show zero active members.
If an old membership has a count of 0, it should be marked as Inactive to prevent it from being assigned by admins in the future.
If an old membership still shows active members, the Admin should review those cases to determine why members remain and take appropriate action.
Possible Reasons a Membership Did Not Migrate to the Network Membership
The Membership Was Upcoming:
Explanation: Pre-purchased or upcoming memberships cannot be included in the mass update to a Network Membership.
Resolution: The Admin should manually update these pre-purchased memberships to their corresponding Network Membership.
The Member’s Email Address Did Not Match Across Locations:
Explanation: This issue often occurs when the club previously used the placeholder workaround membership. If a member’s email address does not match across all locations, their membership may have updated correctly at the owned location, but not at the corresponding network locations.
Resolution: The Admin should update the member’s email address in the additional locations to ensure consistency. Once this is complete, notify your Customer Success tech, who will re-run the mass update to correctly connect the member’s Network Membership across all locations.
