Add POS Items with the Bulk Import Tool in CourtReserve

INTRODUCTION

Feature Summary: Utilize the CourtReserve import team to add POS items with the bulk import tool.

Use Cases: Quickly upload a large number of POS items using the provided import template and streamlined process.


SETUP REQUIREMENTS

Note: The first import is provided at no cost. For any additional imports, a fee of $150 per hour will apply.

CourtReserve system users can fill in a template of POS items and ask the CourtReserve support team to complete the import.

The recommended process is as follows:

  1. Download the import template file at the bottom of this article. Note: make sure to delete the sample date.

  2. Add 3 to 5 sample rows of data, making sure each entry follows the provided formatting instructions exactly. Even small mistakes can cause import errors.

  3. Ask the CourtReserve support team ([email protected]) to test the sample. Use the support team's feedback to fix errors.

  4. Add the rest of the records to the file.

  5. Send the completed file to the support team for them to start the import.


PREREQUISITES

To ensure a successful import using the POS Import template, it's essential to have the following items properly set up in CourtReserve beforehand:

  1. Category - This is the Item Category from CourtReserve. Create or update Item Categories from the Admin Panel by navigating to POS > ITEMS > ITEM CATEGORIES. If you do not enter a Category in the import template, a name will be created for you.

  2. Revenue Category - If you haven’t already, set up your Revenue Categories in CourtReserve before completing the POS import template to ensure accurate revenue tracking. You can create or update Revenue Categories from the Admin Panel by going to SETTINGS > BILLING SETTINGS > REVENUE CATEGORIES. If you do not populate a Revenue Category in the import template, the system will create a name for you.

  3. Tax - Set up any tax rates prior to filling out the import template. Create or update Tax rates in the Admin Panel by navigating to SETTINGS > BILLING SETTINGS > TAXES.


Fields on Import Template

Below are descriptions of each field in the import template. Only two fields are required, but filling out the additional fields can help ensure your CourtReserve setup is accurate and complete from the start. Columns highlighted yellow are required. Columns highlighted blue are optional.

Item Name [REQUIRED FIELD] - Item name/short description.

Variation Name - Only add this if you have additional colors or sizes of the same product. For example, if you want to track different sizes of the same t-shirt, you would enter "Size Medium" here, "Size Large" in another template row, etc. If you have different variations for the same item, make sure the Item Name matches exactly. For example, Item Name = Club T-shirt, Variation Name = Size Medium and Item Name = Club T-shirt, Variation Name = Size Large.

Short Name - This will appear in the item thumbnail only if you do not have an image. See example in the video linked below. Image files—such as .png or .jpg—cannot be imported and will need to be manually added in CourtReserve.

Category Name [REQUIRED FIELD] - Item Category from CourtReserve. Enter a name of an existing Item Category created inside of your account. Make sure spelling is exactly the same in CourtReserve as in the import template. If you do not populate this field, the system will create a category name up for you.

Manufacturer Name - If left blank, the system will automatically generate a name for you. Examples: Wilson, Nike, etc.

Revenue Category -Enter a name of an existing Revenue Category created inside of your account. Make sure spelling is exactly the same in CourtReserve as in the import template. If you do not populate a Revenue Category, the system will automatically generate a name for you.

UPC/Barcode - Machine readable code used to quickly identify and track products.

Description - Description for each Item Name. Note: if your item has variations, each variation does not have its own unique description, it will be the same based on the Item Name. For example, Item Name = Club T-shirt, Variation = Size Medium, Description = Unisex Club branded T-shirt. Next row: Item Name = Club T-shirt, Variation = Size Large, Description = Unisex Club branded T-shirt.

Unit Cost - Enter what you paid.

Retail Price - Enter customer cost.

Tax - Enter the name of an existing tax rate created in your account. Make sure the spelling is exactly the same in CourtReserve as in the import template. Specific examples on pricing and taxes in video below.

Track Stock - Enter Yes to have the system track inventory levels, or leave the field blank if you don't need stock tracking.

Stock on Hand - Enter the number of stock you have available. Note: if you enter a value in Stock on Hand, the previous field Track Stock must be set to Yes.

Low Stock on Hand Alert Quantity – (Optional) If desired, enter the quantity at which you'd like to receive a low inventory alert, otherwise leave blank. This setting is only applicable if Track Stock is set to Yes.

Eligible for Stringing - Enter Yes or No if the item is eligible for stringing. Leave column/cell blank if stringing is not applicable.

IMPORTANT: The POS Import cannot be used to update existing POS items already in your CourtReserve account—those items will be skipped during the import process.
