What Does It Mean to Be a Seasonal Club in CourtReserve?
Seasonal clubs are organizations that only operate during specific times of the year—typically during warmer months—such as spring, summer, or fall. With CourtReserve, these clubs can take advantage of Seasonal Mode, a feature that allows them to temporarily pause member-facing access while maintaining full admin access for off-season planning.
When Seasonal Mode is enabled:
The Member Portal is disabled, preventing players/members from booking or interacting with events.
Admins retain access to manage the club, prepare for the upcoming season, and make changes.
Clubs benefit from a reduced subscription rate of $49/month while in Seasonal Mode.
The organization can still send emails to its members. Any emails sent during this period are billed the same way they would be during regular active months, following the club’s usual email charge structure.
Normal billing and member access resumes automatically on the selected reactivation date.
Examples of Seasonal Clubs:
An outdoor pickleball club that operates May–September and closes during the winter.
A summer camp that uses CourtReserve for member registrations and scheduling during summer months.
A private outdoor swim & racquet club that is inactive during colder seasons.
PREREQUISITES
A CourtReserve subscription can be modified as Seasonal by navigating to the SUBSCRIPTION option on the admin panel. On the Manage Your Subscription page, go to Update Status and select Seasonal Mode.
SETUP REQUIREMENTS
Seasonal Mode Overview
Enable Seasonal Mode to temporarily close the Member Portal while maintaining full access to the Admin Portal for off-season planning and management.
Seasonal Rate: While in Seasonal Mode, your subscription rate will be reduced to $49/month.
Reactivation: Your regular billing rate will automatically resume on your reactivation date.
How to Enable Seasonal Mode (via the Change Status screen)
When enabling Seasonal Mode, you’ll be prompted to complete the following fields:
Reactivate On: Select the date your Club will resume operations. On this date, members will regain access to events, features, and reservations as usual.
Keep Member Portal Active Through Current Billing Period: Toggle ON/Yes to allow members continued access to your club's offerings on CourtReserve until the end of your current paid billing cycle. Otherwise, Seasonal Mode will take effect immediately.
Additional Information (optional): Use this field to provide any notes or context.
Switch to Seasonal: Click this button to activate Seasonal Mode immediately or at the end of your current billing period, depending on your previous selection. You will get a pop-up to Confirm.
System admins will see a message on the top of the Admin Panel after Seasonal Mode is enabled:
Reactivating From Seasonal Mode
If you'd like to end Seasonal Mode before your scheduled Reactivation Date, navigate to SUBSCRIPTION > Update Status and select Resume Subscription.
If you click Resume Subscription, you will be asked to confirm that you want to resume your full subscription. Once confirmed, the change will take effect immediately.
USER PERSPECTIVE
If your club is in Seasonal Mode, the Member Portal is turned off. When members attempt to access the club’s portal, they will automatically be redirected to the My Organization(s) page.
