Feature Summary: CourtReserve offers several approval features that allow clubs to monitor and control activity within their portal. Each approval type can be enabled or disabled independently, giving administrators flexibility based on their club’s operational needs.
The four approval categories are:
Member Approvals
Reservation Approvals
Event Approvals
Lesson Approvals
Use Cases: Clubs may enable approval settings to:
Verify new member accounts before granting portal access
Review reservations during peak or restricted booking times
Control registration for capped or skill-based events
Approve private or specialty lesson requests
Monitor guest activity and non-member participation
Maintain oversight in private clubs or HOA communities

Member Approvals
What Are Member Approvals?
Member Approval requires admin approval before a new user account becomes active at your club. When enabled, any individual who creates a CourtReserve account under your club’s subscription must be approved before gaining access.
Why Use Member Approvals?
This feature is especially useful for:
Private clubs
HOAs
Invitation-only facilities
Clubs that want to verify membership status before granting portal access
How to Enable or Disable Member Approvals
Go to Settings > Portal Settings > Setup
Locate Allow New Members to be Auto-Approved
Check or uncheck the box
Checked - New members are automatically approved upon account creation
Unchecked - Admin approval is required before the new member account becomes active
Reservation Approvals
What Are Reservation Approvals?
Reservation Approval requires admin approval before a court reservation is confirmed. When enabled, member reservations will remain in a Pending status until reviewed and approved.
Why Use Reservation Approvals?
Clubs may enable this feature to:
Monitor high-demand court times
Control guest reservations
Review specific membership types before confirming bookings
Maintain tighter scheduling oversight
How to Enable or Disable Reservation Approvals
Go to Settings > Booking Settings > General
Scroll to A Member Reservation through the Portal must be Approved
Enable or disable the setting for each membership type.
Event Approvals
What Are Event Approvals?
Event Approval requires admin approval before a member is officially registered for an event. When enabled, event registrations will remain in a Pending status until approved.
Why Use Event Approvals?
This feature is helpful when clubs want to:
Limit participation based on skill level
Review eligibility before confirming entry
Control capped or premium events
Manage team placement or competitive brackets
How to Enable or Disable Event Approvals
Go to Events > List
Select an event.
On the General Info tab under Event Setup at the bottom, check or uncheck Requires Approval for each membership type.
Lesson Approvals
What Are Lesson Approvals?
Lesson Approval requires admin (or designated system user) approval before certain lesson bookings using the Book a Pro feature are confirmed. If no lesson types are selected for approval, all lesson bookings will be automatically approved.
Why Use Lesson Approvals?
Clubs may enable Lesson Approvals to:
Review private lesson requests before confirming
Manage instructor availability
Control premium or specialty lesson bookings
Ensure proper member placement
How to Enable or Disable Lesson Approvals
Log in to the Admin Dashboard
Click Settings from the side menu
Scroll to Instructor Settings
Click Book a Pro Setup
In the relevant Book a Pro set up, locate the field: Lesson Type(s) Requiring Approval
Managing Pending Approvals
When any approval feature is enabled, items requiring review will appear in the appropriate administrative workflows (such as the To Do page). Once approved, the activity is confirmed and members are notified based on the club’s notification settings. Learn more here.
