Set up Event Categories

Customize Event Categories to Match Your Club’s Programs and Services

INTRODUCTION

Feature Summary: View, edit, and create Event Categories to organize your programming and improve event management in CourtReserve.

Use Cases: When system users create a new event, they must assign it to an Event Category. Understanding and using categories effectively helps:

  • Organize events by type or program focus

  • Improve internal reporting and analytics

  • Align event labels with your club’s unique offerings (e.g., Adult Clinics, Junior Programs, Social Mixers)

CourtReserve includes default categories, but system users can create custom categories to reflect the specific services, programs, or facilities available at their organization.


SETUP REQUIREMENTS

  1. Log in to the admin dashboard.

  2. Click SETTINGS on the side menu.

  3. Scroll down to the EVENT SETTINGS row.

  4. Click the Event Categories icon.


Create an Event Category

  1. Click the Create Event Category button.

  2. Name: Enter a name for the Event Category. Note: This is a high-level category used to group related events—not the name of an individual event.

  3. Activity Type: Select the activity type that best describes this category. Options are Open Play, Lessons, Clinics, Camps, Competitive Play, and Social. This field is required and only appears for clubs with CourtReserve Network enabled (currently available only to clubs in the beta group). Activity Type is used to filter events on the public player Network Explore page, so players can browse activities by type. Note: Individual events do not have their own Activity Type. Each event inherits its Activity Type from the Event Category it's assigned to.

  4. Bg. Color: Select a background color. (optional)

  5. Text Color: Select a text color. (optional)

  6. Is Active: Select this option to mark the Event Category as active and available for use within the CourtReserve platform.

  7. Is Public: Select this option to make the Event Category visible to players on the member-facing side of CourtReserve.

  8. Revenue Category: Assign a Revenue Category to this Event Category.

  9. Tax Rate: Assign a Tax Rate to this Event Category.

  10. Note: The Enable Organized Play checkbox displays if Organized Play is enabled for your club. Check to enable Organized Play for this Event Category.

  11. Click Save.


Selecting Colors

When selecting colors in CourtReserve, you can choose from a wide variety of options or enter a specific HEX code to match your Club's branding.

In this example, Pickleball Social is blue so it appears as a blue background on the Scheduler.

On the Member Portal, it will have a blue circle next to the category name:

When customizing the appearance of your Event Categories, there are several ways to choose your desired colors:

1. HEX Code Input

You can manually enter a HEX code (e.g., #284b74) into the field provided.

A HEX code is a six-digit code that represents a specific color. If your Club has official branding guidelines, the HEX codes for your brand colors can usually be found in your style guide or website stylesheet.

2. Color Picker Tool

Use the built-in color picker:

  • The main color field allows you to adjust shade and brightness.

  • The vertical slider lets you select the hue (color family).

3. Basic Color Presets

Click the artist palette icon to quickly select from a set of standard colors. These are useful for quick selections and consistent choices across the platform.


Managing Event Categories

CourtReserve displays event categories in a table with sort and filter tools.

  • Click the filter icon in the Name, Tax, or Is Public column header to narrow the list.

  • Click Edit to update an existing category.

  • Click Delete to remove a category from the table.

Note: The Organized Play column and its filter only display if Organized Play is enabled for your club.

Reordering Event Categories

The order you set here determines how categories appear throughout CourtReserve, including the category dropdown when creating an event, the Scheduler filter, report filters, and the member-facing events and categories screens.

  1. Click and hold the grabber icon (⁛⁛) to the left of the category you want to move.

  2. Drag the row up or down to the desired position in the table.

  3. Release to drop the row in its new position.

The new order saves automatically. No need to click Save.

Filtering by Name or Tax

Use the Name or Tax filter to narrow the table when there are many event categories.

  1. Click the filter icon in the Name or Tax column header.

  2. Select a comparison option from the drop-down menu (e.g., Contains, Is equal to).

  3. Enter the value to filter by.

  4. Optional: Add a second condition using the And/Or drop-down menu and a second comparison field for more precise filtering.

  5. Click Filter to apply, or Clear to reset.

Filtering by Is Public Status

Use this tool to show or hide categories based on their Is Public status.

  1. Click the filter icon in the Is Public column header.

  2. Select is true (public) or is false (not public).

  3. Click Filter to apply, or Clear to reset.


USER PERSPECTIVE

On the Member Portal, players can filter the display of events with the Categories check boxes.


ADMIN PERSPECTIVE

An Event Category is assigned to each event as follows:

Use Event Category tags to organize and filter information across CourtReserve. For example, system users can apply categories to streamline reporting and data management.

Here, the admin sees the Event Category listed on the scheduler.
