Introduction

Feature Summary: Ask Pulse lets you ask questions about your club in everyday language and get answers from your CourtReserve Pulse data. Answers use the same nightly data as your Pulse dashboard and show where each number comes from. It can also build a list of players matching your question so you can reach out to them.

Use Cases:

  • Get a quick answer without comparing several tabs, e.g. "How does this month compare to last month?"

  • Break down what moved in revenue, court use, or player activity

  • Find your busiest and quietest court times

  • Build a list of players matching several conditions and contact them straight away


Overview

What Is Ask Pulse?

Ask Pulse lets you ask questions about your club, like "Where did revenue drop?" or "Which monthly members renew in the next 30 days?", and answers from your own Pulse data. Every answer names the metric its numbers come from and links to the tab where you can check it. Ask Pulse has read-only access, so it can't change anything in your club.

  1. In the left navigation menu, select Pulse.

  2. Open the Ask Pulse tab. You can also click the floating Ask Pulse button on any other Pulse tab.

Using Ask Pulse

Connect Ask Pulse to Your Club's Data

The first time you ask a question, Ask Pulse shows Connect Ask Pulse to your club's data? and explains that it reads your Pulse data through a read-only connection and never sees player names. Click Allow and your question runs straight away. If you choose Not now, Ask Pulse can't answer until you allow it.

Your choice is saved in that web browser, so a new browser, computer, or cleared browser data asks once more.


Ask Pulse a Question

  1. Open the Ask Pulse tab. Suggested questions appear above the question box, such as Top 10 players by spend, Where did revenue drop?, When are my courts empty?, and How does this month compare to last month?

  2. Click a suggested question, or type your own in the Ask anything about your club... box. Questions can be up to 500 characters.

  3. Click Ask.

How Ask Pulse Sets the Date Range for a Question

  • Name a period in your question, such as "last month," and Ask Pulse uses it.

  • If you don't name a period, Ask Pulse uses the date range you last picked on another Pulse tab, because the date picker is hidden on the Ask Pulse tab. The default is Last 30 Days.

  • Player lists default to the last 90 days.

  • Longest range: Each question can cover up to 366 days.

  • Filters: Only the date range carries over from other tabs. Court and court type filters don't.


Read an Ask Pulse Answer

Your question appears at the top right of the conversation, with the answer below it.

Each answer is laid out in the same order:

  1. Date note (when needed): Pulse data runs through yesterday. If your period goes past the latest available data, the answer says so first and tells you which dates it covers.

  2. The answer: The first sentence gives the answer, plus the biggest thing moving the other way. The rest of the answer breaks down the detail.

  3. Source line: Shows which Pulse data the numbers come from, e.g. Source: court utilization.

    Click the View button next to it, e.g. View Court Utilization, to open that Pulse tab and check the figures. If an answer uses more than one tab, it shows a View button for each.

  4. Suggested follow-ups: Up to two follow-up questions appear as buttons below the answer, e.g. Show Saturday by hour. Click one to ask it.


Continue or Start a New Ask Pulse Conversation

  • To keep going, type another question in the box. Ask Pulse answers in the same conversation.

  • To start fresh, click New conversation above the question box. Ask Pulse uses your earlier questions to understand follow-ups, so start a new conversation when you switch to an unrelated topic or don't want an earlier date range to carry over.

How Numbers Appear in an Ask Pulse Answer

Ask Pulse presents numbers the same way each time, so you can tell exactly what each figure means.

  • Every number is labeled. Each figure names the metric it comes from, e.g. "(net sales)," so you know what you're looking at.

  • Shares include the full picture. When an answer describes part of a group, it shows both the count and the total, e.g. "37 of your 4,228 players," not just a percentage.

  • Numbers match your Pulse tabs. Figures are rounded the same way as on the Pulse tabs, and money is shown in your club's currency.

  • Changes in rates are shown in points. When a rate such as utilization changes, Ask Pulse gives the difference in percentage points. For example: If utilization goes from 40% to 45%, Ask Pulse describes it as up 5 points, not up 12.5%.


What Ask Pulse Can Answer

Ask Pulse can answer questions on a wide range of topics, from sales and court use to players and instructors. It reads the same nightly data as your Pulse tabs, so its answers draw from the figures you'd find on those tabs. The table below shows the topics you can ask about, examples of what each covers, and which Pulse tab uses the same data. That tab is also where the View button in an answer takes you to check the figures.

How Ask Pulse Counts Members, Sales, and Activity

Some figures in Ask Pulse are calculated in a specific way. Knowing how helps when an answer doesn't match what you expected.

  • Members: Ask Pulse only counts players with an active paid membership as members. This matches Active Members on the Engagement tab. Players on free or resident memberships aren't included, so a member count may be lower than your total number of membership holders.

  • Sales by category: Category totals are calculated before refunds and tax, so they won't add up to your net sales. If you need your net sales figure, ask for it directly, e.g. "What were my net sales last month?"

  • Overdue balances: Overdue amounts show what was owed on a single day, not across the whole date range you asked about. Asking about last quarter, for example, still shows a single day's overdue totals.

  • Player activity: In player tables, activity is shown per week when the date range is 60 days or less, and per month when it's longer. A list covering the last 30 days shows activities per week, while a list covering the last 90 days shows activities per month.


Build a Player List with Ask Pulse

Ask Pulse can find players who match specific conditions and turn them into a list you can contact right away. For example, you can find members whose membership renews soon, regular players who haven't played lately, or non-members who play often. Describe the players you're looking for, and Ask Pulse returns a table you can select players from and message directly.

What You Can Ask For in an Ask Pulse Player List

Your question can combine any of these conditions:

  • Membership type

  • Billing frequency (monthly, quarterly, annually, custom, or one-time)

  • Renewing within a number of days

  • Minimum spend

  • Minimum activities per month

  • DUPR (Dynamic Universal Pickleball Rating) doubles band

  • Age band

  • Active or inactive in the last 7, 30, 60, or 90 days

  • Non-members only

For example:

  • "Monthly members with the highest usage who renew in the next 30 days."

  • "Non-members with at least four activities per month who were active in the last 30 days."

Contact Players from an Ask Pulse Player List

  1. Ask a question describing the players you want, using one or more of the conditions above.

  2. Check the players you want to contact in the answer's table. Up to 100 rows are shown.

  3. Choose Email, Text, Push, or Create Group.

  4. Send as usual.

Note: A new member group gets a name you can change, e.g. "Ask Pulse, 10 players, 09-08-2026".

When building a player list, keep these rules in mind:

  • "Monthly" means billed monthly, not a membership named "monthly".

  • Members with no renewal date never match "renewing soon".

  • Guests without a member account, and staff accounts, appear in tables but can't be selected. A note under the table tells you how many rows this affects. Staff accounts are marked in the table and still counted in the totals.

  • You get one list per conversation. Selecting players in a second table replaces the first selection.

  • Ask Pulse can't filter to overdue players only. Use the Overdue Balances insight instead.

  • For more than 100 players, use the Members report.


Limits and Privacy

What Ask Pulse Doesn't Do

Ask Pulse reports on what your club's data shows. Here's what it doesn't do, and what you can try instead.

  • Ask Pulse doesn't forecast. It shows what has already happened, not what will happen. Instead, compare with a previous period or the same period last year to see trends.

  • Ask Pulse doesn't compare your club with other clubs. It only sees your club's data. Instead, compare your club with its own past periods.

  • Ask Pulse doesn't explain why something changed. It breaks down what changed and ends with "I can show what moved, not why." To dig deeper, ask a follow-up that breaks the change down further, such as by category or by court.

  • Ask Pulse doesn't judge your results. It reports figures without calling them good, bad, or at risk. You decide what the numbers mean for your club.

  • Ask Pulse doesn't change anything in your club. It has read-only access to your data. Make any changes in the admin panel as usual.

  • Ask Pulse doesn't guess. Any number it can't trace to your data is replaced with "I couldn't verify that number, so I'd rather not state it." If you see this, ask for the metric by name.

  • Ask Pulse doesn't cover several locations at once. It answers for the organization you're signed into. To ask about another location, switch to that organization. This starts a new conversation.


Ask Pulse and Player Privacy

Ask Pulse is built to keep your players' personal information private. It works with totals and counts, and never receives player names. When an answer includes a player table, the names you see are added by your own browser, so they never pass through Ask Pulse.

Ask Pulse can see instructor names, so it can answer questions about instructor sessions and hours. It can't see instructor emails or phone numbers.

Answers are always plain text and never include links to outside websites.


Ask Pulse Limits

Ask Pulse has a few limits on questions, answers, and daily use. Keep these in mind if an answer is shorter than expected or Ask Pulse stops responding for the day.

  • Questions: Up to 500 characters.

  • Date range: Up to 366 days per question.

  • Player tables: Up to 100 rows.

  • Daily allowance: Shared by everyone at your club. It resets at midnight UTC (Coordinated Universal Time), which is 8 PM ET (Eastern Time) in summer and 7 PM ET in winter.

  • Conversations: Kept while you stay on the Pulse page. Reloading, switching organization, or clicking New conversation starts fresh.

  • Language: English.


Messages

Ask Pulse Messages

Sometimes Ask Pulse replies with a message instead of an answer. These messages usually point to a temporary issue, such as data that hasn't loaded yet, or a question that needs to be adjusted. Most are resolved by trying again, rephrasing your question, or waiting for the next nightly data refresh. Find the message you received in the table below to see what it means and what to do next.

Permissions

Ask Pulse Permissions

Full admins, and sub-admins with Can View CourtReserve Pulse, can use Ask Pulse. There's no separate checkbox for it.

Sub-admins only get answers from the Pulse tabs they're allowed to see. If they ask about another tab, the answer says so, e.g. "that is on the Financials tab, which your account does not have access to".

Ask Pulse can't be hidden from the Pulse Settings tab.


Ask Pulse: Frequently Asked Questions (FAQs)

Why don't I see Ask Pulse?

Sub-admins need Can View CourtReserve Pulse to see Ask Pulse. If you have Pulse access and still don't see it, contact support.

Why doesn't Ask Pulse match my tab?

It's usually a different date range, or category totals compared with net sales. Use the View button under the answer to open the exact tab it used.

Does Ask Pulse see my players' names?

No. It works with counts and totals only.

Why does Ask Pulse keep asking to connect?

Your choice is saved per browser. A new browser, computer, or cleared browser data asks once more.

Can Ask Pulse forecast or compare me with other clubs?

No. It reports what has already happened at your club, and can compare with your own past periods.

Why does Ask Pulse count fewer members than I expect?

Only active paid memberships count as members. Free and resident memberships don't.

Where did my conversation go?

Conversations last while you stay on the Pulse page. Reloading or switching organization starts a new one.
