Beta Status: Pulse IQ

Insights in CourtReserve Pulse That Spot What Needs Your Attention and Help You Act on It

Written by Scott Doyley

This feature is currently in Beta, meaning it is actively being tested and refined before a full release. It is not available to all organizations. Access is limited to clubs in CourtReserve's Early Access Groups. To request access, contact our Customer Support team via live chat or email.

Introduction

Feature Summary: Pulse IQ reviews your club's data every night and points out the few things worth your attention, such as regular players who have gone quiet and overdue balances that are building up. Some insights come with a ready-made list of players to contact, and Pulse IQ tracks what happens after you reach out.

Use Cases:

  • Win back regular players before they stop coming altogether

  • Follow up on overdue invoices before they age further

Overview

What Is Pulse IQ?

Pulse IQ is the insights feature in CourtReserve Pulse. Instead of checking every tab for changes yourself, Pulse IQ does the checking for you. Every night, it reviews your club's data and surfaces a small number of insights: patterns worth your attention, each with the figures behind it.

Some insights come with a suggested action, such as a ready-made list of players to email. After you act, Pulse IQ measures what happened, so you can see whether your outreach worked.

Navigation

Where Pulse IQ Insights Appear

Pulse IQ insights appear in several places in Pulse, depending on what they're about. To find them, select Pulse in the left navigation menu.

  • Home tab: A Worth your attention card appears on the Home tab and shows up to three of your highest-priority insights, with suggested actions first. The note in the top-right corner, As of last night. Each insight uses its own date range., is a reminder that insights don't follow the dashboard's date range. When you dismiss an insight, the next one moves up. If there are no insights, the card shows Nothing needs your attention this week.

  • Engagement and Financials tabs: A collapsed Worth your attention strip appears at the top only when there's a suggested action related to that tab. It shows how many there are, e.g. "1 insight". The Engagement tab shows Quiet Members and the Financials tab shows Overdue Balances. A suggested action that doesn't make the Home card can still appear here. Click the strip to expand it and see each insight's headline, key figure, and View Details button.

  • Insights tab: Shows every insight Pulse IQ has surfaced for your club.

Note: Worth your attention is different from the Needs your attention list in This period at a glance on the Home tab. Needs your attention compares your KPI (Key Performance Indicator) cards for the dates you select. Worth your attention shows Pulse IQ insights, which use their own dates.

Using Pulse IQ

Open a Pulse IQ Insight

Every insight has a View Details button that opens a side panel explaining why the insight appeared and the details behind it. You can open it from an insight card on the Home tab, from the Worth your attention strip on the Engagement or Financials tab, or from the Insights tab.

  1. Click View Details on any insight.

  2. Review the side panel. From top to bottom, it shows:

    • Headline and labels: The insight's headline, its area and category labels, e.g. MANAGE and CASH, and a one-line summary of what the insight covers.

    • Why you're seeing this: How the insight was calculated. Most insights also show the date the data runs through, e.g. "Based on data through Aug 31", and the minimum conditions for the insight to appear.

    • The evidence: A table of the figures behind the insight, so you can see what Pulse IQ found. It appears on the Overdue Balances suggested action and shows overdue amounts grouped by how long they've been past due.

    • Who this is about: The list of players the insight is about, so you can review them and choose who to contact. It appears on insights with the Suggested action tag. For what each column shows, see Columns in the Who This Is About List below.

  3. Use the icons at the top of the panel to rate or dismiss the insight.

  4. Click Ask Pulse to open the chat and ask about this insight. On insights with the Insight tag, Ask Pulse is the main button, since there's no list to contact.

  5. Click X to close the panel.

Note: The Ask Pulse button doesn't appear when the panel is opened from the Insights tab.

Columns in the Who This Is About List

Only suggested actions have a Who this is about list. The columns depend on the suggested action, but every list starts with the same two:

  • Player: The player's name. Click it to open the player's profile in a new tab.

  • Player #: The player's member number. This column is hidden when no one on the list has one.

A dash (—) in any other column means Pulse IQ doesn't have that information for the player. Insights created before a recent update may only show Player and Player #.

Quiet Members

The list shows your quiet members: regular players who have recently stopped booking or are booking much less than usual. A player counts as a quiet member when:

  • They averaged at least two reservations a month.

  • Their reservations in the last 30 days dropped by 60% or more compared with the previous 90 days.

  • Their last reservation was between 21 and 120 days ago.

Only reservations count, including being added to someone else's reservation. Events, lessons, and leagues don't count. For clubs with memberships that bill on a repeating schedule, the list only includes members whose payments are up to date.

For each quiet member, the list shows:

  • Reservations/mo: How the player's reservations changed, e.g. "2.7 → 0.0". The first number is their average reservations per month over the previous 90 days. The second is how many reservations they made in the last 30 days. The second number isn't always zero, e.g. "5.0 → 2.0".

  • Last active: How many days since the player's last reservation.

  • Value: What the player is worth to your club each month.

    • For clubs with memberships that bill on a repeating schedule (monthly, quarterly, or annual), this is the player's membership value per month, e.g. "$68.75/mo". Annual prices are divided by 12, quarterly prices by three, and family plans are split evenly across members. A one-time membership shows its price, e.g. "$579 once".

    • For clubs without these memberships, this is the player's usual reservations per month, e.g. "2.7 bk/mo", which matches the first number in Reservations/mo.

  • Renews: The player's next membership payment date, e.g. "Feb 14, 2027". If there's no upcoming payment, it shows when the membership ends, e.g. "Expires Feb 14, 2027".

Overdue Balances

The side panel first shows The evidence, a table of your overdue amounts grouped by age. It has Bucket, Amount, Invoices, and Share columns, with rows for 0–30 days, 31–60 days, 61–90 days, 90+ days, and Total.

The list then shows members with an overdue balance and an email address. For each member, it shows:

  • Balance: The member's whole account balance, not only the overdue part.

  • Oldest overdue: The age of their oldest past-due invoice, e.g. "61–90 days".

  • Overdue invoices: How many past-due invoices they have, including family-account invoices.

Filter the Who This Is About List

Some clubs use the Player # field for membership levels, such as "FULL" or "Junior", instead of unique numbers. When more than one player on a list shares the same Player # value, a Filter button appears above the list.

  1. Click Filter.

  2. Under Filter by, choose one or more values from the Player # dropdown, e.g. "FULL (619)".

  3. Click Filter to apply it. To start over, click Clear All.

If no players match, you'll see No recipients match your filters.

Act on a Pulse IQ Suggested Action

When an insight is a suggested action, you can contact the players on its list directly from Pulse.

  1. Click View Details on the suggested action.

  2. In Who this is about, check the players you want to contact. Use Search or Filter to narrow the list.

  3. Choose Email, Text, Push, or Create Group from the bar that appears.

  4. Write and send your message as usual.

What Happens After You Act on a Pulse IQ Suggested Action

Once you click Email, Pulse IQ saves the list exactly as it was built, so the results can be measured fairly. Only Email is tracked for results. Text, Push, and Create Group open their usual tools for the selected players, but they aren't measured.

After you act, the insight updates to show your progress:

  • List built {date}. N players. appears once the list is saved.

  • Sent {date} to N players. appears once the email is confirmed as sent.

  • Measuring through {date}. We'll report what came back. shows when the results will be ready.

If the list can't be built, you'll see Could not build the recipient list. Try again.

See the Results of a Pulse IQ Suggested Action

After you email a list, Pulse IQ tracks what happened over a set period and reports the result, whether it's good or not. This helps you see which outreach is working.

  • Quiet Members: How many players booked again within 30 days, e.g. "3 of 8 came back".

  • Overdue Balances: How much was paid within 14 days, e.g. "$X of $Y recovered".

If very few players responded, the result notes that it's too small for Pulse to count as a result.

Your latest result appears under Closing the loop on the Home tab, below Worth your attention. Until you act on a suggested action, Closing the loop shows a message explaining how to get started. All results appear on the Insights tab.

Rate or Dismiss a Pulse IQ Insight

You can tell CourtReserve whether an insight was useful, or remove it if you don't need it. Your ratings help the product team improve Pulse IQ. Use the icons at the bottom right of an insight card on the Home tab, or at the top of the side panel when you open an insight from the Home, Engagement, or Financials tab.

  • Helpful (thumbs up): Lets the team know the insight was useful. You can add an optional note.

  • Not helpful (thumbs down): Asks what was wrong. A short note is required, so the product team knows what to fix.

  • Dismiss this insight (circle with a line through it): Immediately removes the card from the Home tab, the tab strips, and Ask Pulse's suggested questions. Dismissing can't be undone.

Note: You can't dismiss an insight you've already acted on while its results are being measured.

When a Pulse IQ Insight Type Can Appear Again

To keep your cards from repeating, Pulse IQ shows only one card of each type at a time, then waits before showing that type again. The wait is longer after you dismiss a card, since dismissing tells Pulse IQ you don't need it right now.

When Pulse IQ Insights Refresh

Pulse IQ builds new insights every night, after the Pulse data refresh at 2 AM ET (Eastern Time).

Each insight uses its own date range, not the date range selected on your dashboard.

To see the dates an insight covers, open it and check Why you're seeing this.

What Pulse IQ Doesn't Do

Pulse IQ only reports what your club's data shows. Here's what it isn't built to do.

  • Pulse IQ doesn't forecast. Insights describe what has already happened at your club, not what will happen.

  • Pulse IQ doesn't compare your club with other clubs. Every insight is based only on your own club's data.

  • Pulse IQ doesn't use AI (artificial intelligence) to write insights. Insights come from fixed rules applied to your data, with fixed wording. Ask Pulse, the chat, is the part of Pulse that uses AI.

  • Pulse IQ doesn't let you switch insight types on or off. Insight types are managed by CourtReserve. If an insight doesn't fit your club, dismiss it to hide that type for a while, or click Not helpful to tell us why.

The Insights Tab in Pulse IQ

The Insights tab is the full history of every insight Pulse IQ has surfaced for your club. It shows what was acted on, what was dismissed, and the results. To see it, open the Insights tab in Pulse.

Note: The date range picker still appears at the top of the Insights tab, but it doesn't change the list. Insights always use their own date ranges.

Find an Insight on the Insights Tab

  • Search insights: Type part of an insight's headline to find it.

  • Status: Use the status dropdown to choose one or more statuses: Open, Action Taken, Dismissed, and Closed. Open and Action Taken are selected by default, so select Dismissed to find an insight you dismissed.

  • Rows per page: Choose how many insights show per page at the bottom of the list.

Columns on the Insights Tab

  • Insight: The insight's headline.

  • Area: The area and category label, e.g. MANAGE · CASH. Click it to open that tab.

  • Status: Where the insight stands:

    • Open: Not acted on yet.

    • Action Taken: You've acted on it, and results are being measured.

    • Dismissed: Someone at your club dismissed it.

    • Closed: Its result has been measured, or it expired or was replaced by a newer insight.

  • Surfaced: The date Pulse IQ surfaced the insight.

  • Sent to: How many players the list was emailed to, once the email is confirmed as sent. Until then, it may show Pending, No matching send, or Unverified.

  • Result: The result of a suggested action, once it has been measured.

  • View Details: Opens the insight's side panel.

  • Did we get this right?: After you act on a suggested action, rate whether it was a good suggestion based on its results.

View the Pulse IQ Insight Audit Log

The Insight Audit Log records when someone at your club sends, rates, or dismisses an insight. It shows who took each action and when.

  1. On the Insights tab, click View Audit Log.

  2. Review the list. Each entry shows:

    • Action Type: The kind of action. Create means a suggested action was sent, Edit means an insight was rated, and Delete means an insight was dismissed.

    • Action By: The system user who took the action. An (A) after the name means the action was taken by an admin.

    • Created On: The date and time of the action.

    • Name: What the action was taken on, e.g. Pulse Insight.

    • Description: What happened, e.g. "Sent the suggested action to 12 recipient(s).", "Rated the insight: helpful.", or "Dismissed the insight."

  3. Use Search to find specific entries, and choose how many rows to show per page at the bottom of the list.

  4. Click Close when you're done.

Note: A send is recorded when you click Email and the list is built, before the email goes out. Activity from before the audit log was added doesn't appear. If nothing has been recorded yet, the log shows Sending, rating or dismissing an insight will appear here.

Pulse IQ Suggested Actions

Pulse IQ offers two suggested actions, each focused on a different opportunity: winning back players and collecting overdue balances.

Each suggested action only appears when your data meets all of its conditions. That way, a card only shows up when the pattern is large enough to be worth acting on.

Suggested action

What it finds

Appears when

Figure shown on the card

Quiet Members
ENGAGE · RETENTION

Regular players whose reservations have dropped sharply. A player is included when they averaged at least two reservations a month, their reservations in the last 30 days fell by 60% or more compared with the previous 90 days, and their last reservation was between 21 and 120 days ago.

At least five players are included and at least $250 a month is at risk. For clubs without memberships that bill on a repeating schedule, at least 30 bookings a month are at risk.

Monthly revenue at risk, e.g. $X /mo at risk, or bookings at risk, e.g. N bookings/mo at risk

Overdue Balances
MANAGE · CASH

Overdue invoices that are building up, or aging faster than usual for your club.

All of the following are true:
The overdue total is above $500 or 2% of your last 90 days of gross sales, whichever is higher.
Either 30% or more of it is over 60 days old, or it's 20% above your usual level.
There are at least five overdue invoices and five members with a balance and an email address.
Not shown when overdue amounts are more than 40% of 90-day gross sales, which usually points to a billing setup issue.

How overdue balances compare with normal, e.g. N% past 60 days, +N% vs your usual level, or Nx your usual level

All amounts show in your club's currency.

Messages

Sometimes Pulse IQ shows a message instead of, or above, your insights. Most of these are normal, such as having no insights this week, or point to a temporary delay in the nightly data refresh. Find the message you received in the table below to see what it means and what to do next.

Message

What it means

Nothing needs your attention this week.

Your data didn't meet any insight conditions. This is normal, especially for smaller or steady clubs.

Insights are paused while your data catches up. Last night's snapshot hasn't landed yet.

The nightly data refresh is running late. Insights return once it completes.

These insights use data that's more than two days old.

The nightly refresh hasn't completed for over two days. Figures reflect the last completed refresh.

Insights could not be loaded. Refresh to try again. Tonight's run will also refresh them.

A temporary problem. Reload the page.

This insight has already been acted on, so its result is still being measured.

Appears when you try to dismiss an insight you've acted on while its results are being measured.

No recipients match your filters.

No players in the Who this is about list match the Player # values you filtered by. Clear or change the filter.

Permissions

Pulse IQ follows your existing Pulse permissions, so there's nothing extra to set up.

  • Seeing insights: Anyone who can open Pulse can see insights and the Insights tab. There's no separate sub-admin checkbox for Pulse IQ.

  • Contacting players: Sending to a list uses your usual email, text, and push permissions.

  • Insight types: CourtReserve manages which insight types are on. They can't be switched off from Pulse Settings.

Pulse IQ: Frequently Asked Questions (FAQ)

Why don't I see any Pulse IQ insights?

Pulse IQ only shows an insight when the numbers clearly call for it. Many clubs, especially smaller or steady ones, won't see any insights, and that's normal. It usually means nothing needs your attention. In the meantime, you can use Ask Pulse to ask questions about your club.

Why doesn't a Pulse IQ insight match the numbers on my tabs?

Each insight uses its own date range, not the one selected on your dashboard. Open the insight and check Why you're seeing this to see the dates it covers.

Why don't I see Overdue Balances when we have a lot overdue?

Overdue Balances isn't shown when overdue amounts are more than 40% of your 90-day gross sales. At that level, it usually points to a billing setup issue rather than a collections trend.

Can I get a dismissed Pulse IQ insight back?

No, dismissing an insight is permanent. You can still find it on the Insights tab by selecting the Dismissed status, and the same type of insight can appear again after its waiting period.

Why can't I dismiss this Pulse IQ insight?

You've already acted on it, so Pulse IQ is still measuring the result.

Can I turn off a Pulse IQ insight type?

No. CourtReserve manages insight types. If an insight doesn't fit your club, dismiss it and that type stays hidden for 45 to 60 days, depending on the type. Click Not helpful to tell us what was wrong.

Does Pulse IQ use AI (artificial intelligence) to write insights?

No. Insights come from fixed rules applied to your data, with fixed wording. Ask Pulse, the chat, is the part of Pulse that uses AI.

Why is the list I sent different from the players shown today?

Once you act on a suggested action, Pulse IQ saves the list exactly as it was built. This lets it measure the result fairly, even as the players shown today change.
