INTRODUCTION
Feature Summary: When your club no longer needs a waiver, you can inactivate it or delete it. Both options stop members from being prompted to sign. Inactivating keeps all past signatures visible, while deleting hides them from member profiles and reports.
Use Cases:
Retire an outdated waiver while keeping signed records for liability purposes
Pause a seasonal or event-specific waiver and turn it back on later
Remove a waiver that was created by mistake and never signed
OVERVIEW
In most cases, inactivate a waiver rather than delete it. Inactivating stops all signing prompts but keeps every signature members have already given, and you can turn the waiver back on at any time.
Only delete a waiver that was created by mistake and has no signatures. Deleting hides existing signatures from member profiles, the member portal and mobile app, and the Waivers report. System users cannot undo a delete.
| Inactivate | Delete |
Members are prompted to sign | No | No |
Past signatures on member profiles | Visible | Hidden |
Past signatures in My Waivers (member portal and mobile app) | Visible | Hidden |
Waivers report | Waiver and signatures still appear | Waiver and signatures no longer appear |
Signing rules and event waiver requirements | Paused; resume if reactivated | Stop working permanently |
Can be undone by system users | Yes | No |
Note: CourtReserve does not check whether a waiver has signatures, signing rules, or events attached before you delete it. Review the waiver before you click Delete.
NAVIGATION
Navigate to Reservation Settings or Event Settings and click the Waivers & Agreements icon.
On the Manage Waivers & Agreements page, click the Waivers & Agreements tab.
Each waiver in the grid has an Edit button (pencil icon) and a Delete button (trash icon). The Is Active? column shows each waiver's status, and inactive waivers display an Inactive badge next to the name.
Note: System users need the Org Admin role, or the Can Manage Disclosures or Can Update Members permission, to access this page. There is no separate permission for deleting waivers.
Inactivate a Waiver
On the Waivers & Agreements tab, click Edit (pencil icon) next to the waiver.
Uncheck Is Active.
Click Save.
CourtReserve displays "Disclosure was successfully updated!" and the waiver shows an Inactive badge in the grid.
What members see
Members are no longer prompted to sign the waiver at login, at the time of booking or registration, or through event waiver requirements. Members who already signed can still view and download their signed copy under More > My Waivers in the member portal and mobile app.
Reactivate a waiver
To turn a waiver back on, click Edit, check Is Active, and click Save. Signing rules and event waiver requirements that use this waiver resume automatically.
Note: If the waiver already has signatures, changing the Is Active setting creates a new version entry in the waiver's version history. Existing signatures are not affected.
Delete a Waiver
Note: Deleting a waiver hides all of its signatures from member profiles, My Waivers, and the Waivers report. System users cannot restore a deleted waiver. If members have signed this waiver, inactivate it instead.
On the Waivers & Agreements tab, click Delete (trash icon) next to the waiver.
Review the confirmation message.
If the waiver has more than one version, choose whether to check Delete Entire? (see below).
Click Delete.
CourtReserve displays "Success! Delete Successful."
How Inactivating or Deleting Affects Existing Data
Past signatures
When you inactivate a waiver, signatures stay visible on the member's Waivers tab in the admin panel and in My Waivers in the member portal and mobile app. System users can still click View and Print.
When you delete a waiver, CourtReserve keeps the signature records but hides them. They no longer display on member profiles, in My Waivers, or in the waiver's version grid. If you delete only the latest version, only the signatures on that version are hidden.
Waivers report
An inactive waiver still appears in the Waivers report dropdown, and its signatures still appear in the results.
A deleted waiver no longer appears in the dropdown, and its signatures drop out of the results. Saved reports that included the deleted waiver no longer return data for it.
Signing rules and event waivers
Inactivating or deleting a waiver stops every signing rule and event waiver requirement that uses it. Members are not prompted at login, at the time of booking or registration, or at event registration.
CourtReserve does not remove the signing rules or event links. If you reactivate an inactive waiver, those requirements resume. A deleted waiver's rules and event links stay in place but no longer do anything.
Pending signature requests
If a member opens an emailed or texted signing link, or a front desk staff member opens the signing queue, after the waiver is inactivated or deleted, there is nothing to sign.
Frequently Asked Questions
Can I delete a waiver, or can I only inactivate it? You can do either. Any system user with access to the Manage Waivers & Agreements page can delete a waiver. In most cases, inactivating is the better choice because it keeps signature history visible.
Can I restore a deleted waiver? System users cannot restore a deleted waiver.
Will members lose their signed waivers if I inactivate a waiver? No. Members can still view and download signed copies under More > My Waivers, and system users can still see them on the member profile.
Why does my waiver have a new version after I changed Is Active? If a waiver already has signatures, changing Is Active creates a new version entry. This does not affect existing signatures.
