Beta Status: Sync a Tournament to Swish

Send Your Divisions and Players to Swish to Run the Brackets

Written by Mari Bern

This feature is currently in Beta, meaning it is actively being tested and refined before a full release. It is not available to all organizations. Access is currently limited to clubs with an active CourtReserve + Swish integration. To request access, contact our Customer Support team via live chat or email.

Introduction

Feature Summary: During the Tournaments Beta, brackets run in Swish. From a tournament's Bracket stage, you send its divisions and registered players to your club's Swish account, then run the brackets in the Swish app or dashboard. Registration and payments stay in CourtReserve, and the roster in Swish stays up to date as registrations change.

Use Cases:

  • Send a tournament's divisions and players to Swish when you publish.

  • Keep Swish rosters current as players register, withdraw, or change partners.

  • Choose which Swish format each division uses, or keep a division out of Swish.

  • Push the latest roster to Swish right away before brackets start.

  • Open the tournament in the Swish app from your phone on tournament day.

Overview

A tournament syncs to Swish as one Swish tournament, with each division you choose inside it. Each time it syncs, CourtReserve sends the full, current roster, and Swish replaces what it had before.

What's Sent to Swish

  • Tournament details - The tournament name, your club's name and location, the start and end dates and times, the banner image, and a link back to the tournament page in the member portal.

  • Divisions - Each division’s name, Swish format, maximum spots, and price. The price sent is the division’s lowest price, which is often the member price, plus the tournament entry fee if there is one.

  • Players - Each registered player’s name and DUPR ID. Divisions using Set Partner Round Robin, Single Elimination Bracket, Double Elimination Bracket, or Custom Team are sent as teams. Divisions using Rotating Partner Round Robin, Minor League Pickleball Round Robin, or Singles are sent as a list of players.

What Isn't Sent

  • Ratings, other than the DUPR ID.

  • Payment status.

  • Waitlisted, withdrawn, or unapproved registrations.

  • Match schedules or court assignments. These are set up in Swish.

  • Separate prices for each membership type. Swish shows one price per division.

When the Tournament Syncs

When

What happens

You publish the tournament

The tournament is sent to Swish automatically, if Keep in sync with Swish is on.

You save changes to a published tournament

The tournament is sent again, if Keep in sync with Swish is on.

You cancel or merge a division

The tournament is sent again, if Keep in sync with Swish is on.

Every 6 hours

The latest roster is sent automatically, if Keep in sync with Swish is on and the tournament is already in Swish. Refreshes stop 6 hours before the tournament starts.

You click Sync now

The latest roster is sent right away.

Note: New registrations and withdrawals don’t sync the moment they happen. They reach Swish at the next automatic refresh, the next time you save changes, or when you click Sync now. The automatic refresh only updates tournaments already in Swish. If a tournament isn’t in Swish yet, click Sync now to send it.

Prerequisites

  • Swish integration - Your club's Swish integration must be turned on and set up with the API key and location from Swish. For setup steps, see CourtReserve + Swish Integration. If it isn't, syncing fails with Swish is not set up for this organization.

  • Tournament visibility - The tournament must be Public or Members only to sync automatically when you publish, save changes, or cancel or merge a division.

  • Permissions - To click Sync now, you need permission to edit the tournament. For details, see Tournament Staff Permissions.

Navigation

  1. Navigate to Tournaments.

  2. Click the tournament’s card.

  3. Click the Bracket stage in the progress tracker.

The Bracket stage shows two ways to run brackets. For this Beta release, Generate CourtReserve brackets is marked Coming soon, and Sync to Swish is marked Ready.

The Swish Sync Panel

The Swish sync panel shows whether the tournament is in Swish and when it last synced.

  • Sync status - Shows Synced with Swish along with the time of the last push and the last roster refresh. When auto-sync is on, it also notes that new registrations reach Swish on the next auto-refresh, every 6 hours.

  • Swish account - The tournament lives in your club's Swish account, shown with its Swish ID. You run the bracket from the Swish app or dashboard.

  • Keep in sync with Swish - Checked by default. While it's checked, the tournament syncs when you publish or save changes, and the roster refreshes every 6 hours. Uncheck it to stop automatic syncing. Swish only updates when you click Sync now.

  • Sync now - Sends the latest divisions and roster to Swish right away. Use it after a batch of last-minute registrations or partner changes.

  • Open on your phone - Scan the QR code, or click Copy link, to open the tournament in the Swish app.

The panel also compares the last package sent to Swish with the current roster, so you can see whether any registrations haven't reached Swish yet. When everything matches, it shows Up to date.

Why it matters: Players keep registering and changing partners right up until tournament day. Auto-sync keeps Swish current without any extra work, and Sync now covers the last-minute changes.

Divisions to Sync

Under Divisions to sync, each division is matched to a Swish format based on its CourtReserve format. You can change a division's Swish format from its dropdown, or choose Don't sync to keep it out of Swish.

Swish format

Preselected for

Rotating Partner Round Robin

Round robin with partner swap or rotating partners

Set Partner Round Robin

Round robin with set partners, and doubles divisions with no format set

Single Elimination Bracket

Single elimination

Double Elimination Bracket

Double elimination

Minor League Pickleball Round Robin

Minor League Pickleball team format

Singles

Singles divisions, played as one-player entries

Custom Team

Team divisions of more than two players with no format set

Formats Swish Can't Run

Swish doesn't support Double round robin, Pool play to Bracket + Consolation, or Pool play with set partners to Playoff. Divisions using these formats show that the format isn't available on Swish and stay in CourtReserve. They're set to Don't sync automatically.

Note: If a division is set to Don't sync after it was already sent to Swish, it's removed from Swish at the next sync.

Needs Attention

The Needs attention section lists anything that could keep the tournament from syncing, or that's worth a second look. Each item appears only when it applies.

Must be fixed before syncing:

  • Tournament name or dates missing.

  • No divisions defined.

  • Format set for every division - Some divisions don't have a format yet. Swish needs a format to create each division.

  • No division uses a format Swish can run - Click Fix formats to choose supported formats.

  • No division is set to sync - Every division is set to Don't sync.

Worth checking:

  • No registrations yet.

  • Registration is still open - New registrations keep reaching Swish until registration closes.

  • Under-filled divisions - Divisions with fewer entries than a bracket needs. Click Open Prep to merge or cancel them, or set them to Don’t sync. Do this before you publish or save changes, since those send under-filled divisions to Swish without a warning.

Note: When you click Sync now, a warning appears for each under-filled division, and you can cancel. Publishing or saving changes sends under-filled divisions to Swish without a warning. A division is under-filled if it has fewer than four entries, or fewer than its maximum when its maximum is under four.

When there's nothing to fix, the section shows Everything Swish needs is ready.

After Registration Closes

If Keep in sync with Swish is on, the roster keeps refreshing every 6 hours until 6 hours before the tournament starts. Withdrawals, substitutions, and partner changes made after registration closes reach Swish at the next refresh, or right away when you click Sync now.

The Swish sync panel and Sync now stay available until the day after the tournament ends. However, Swish locks the tournament from 6 hours before it starts until 24 hours after it ends, so clicking Sync now during that window shows an error. Make final roster changes at least 6 hours before the tournament starts.

Turning Sync Off

  • Uncheck Keep in sync with Swish - Automatic syncing stops, but nothing is removed from Swish. The tournament and its last roster stay in Swish as they were. You can still click Sync now to send updates. Cancelling or unpublishing the tournament still updates Swish.

  • Cancel the tournament - The tournament is hidden in Swish, and each division is renamed with CANCELLED in front of it. A cancelled tournament can't be synced again.

  • Unpublish the tournament - The tournament is hidden in Swish. If you publish it again, it reappears.

Tournament Day in Swish

Once your divisions are in Swish, you run the brackets from the Swish app or dashboard. Registration and payments stay in CourtReserve, while players, spectators, and organizers get a live tournament-day experience in Swish.

When you click Sync now and it fails, staff also receive a Swish sync failed email with the error and a link back to the Bracket stage to try again.

Common Errors

  • Swish is not set up for this organization - Your club's Swish integration isn't set up. Check Settings > Additional Features, under Integrations. For setup steps, see CourtReserve + Swish Integration.

  • No divisions selected to sync - Every division is set to Don't sync. Choose a Swish format for at least one division.

  • Choose a supported Swish game format for this division - The division's format isn't one Swish can run. Choose a format from the dropdown, or set it to Don't sync.

  • This tournament was cancelled on Swish and can't be re-synced - Create a new tournament instead. To reuse its setup, copy it with Start from existing.

Some Registrations Aren't in Swish

New registrations and withdrawals don't sync the moment they happen. If the panel shows registrations that aren't in the last package, click Sync now to send them right away.

Summary

Syncing to Swish lets your club keep registration and payments in CourtReserve while running brackets in a tool built for live play. Divisions and players reach Swish when you publish, rosters stay current on their own, and Sync now handles the last-minute changes, so tournament day starts with the right players in the right brackets.
