This feature is currently in Beta, meaning it is actively being tested and refined before a full release. It is not available to all organizations. Access is currently limited to clubs with an active CourtReserve + Swish integration. To request access, contact our Customer Support team via live chat or email.
Introduction
Feature Summary: Once a tournament is published, its management page brings everything into one place: registration numbers, revenue, recent activity, and a checklist of what still needs attention before tournament day. From here, you can edit the tournament, message players, close registration, resolve divisions that didn't fill, and review a full history of changes.
Use Cases:
Check how many players have registered and how much revenue has come in.
Message everyone registered in the tournament, or in one division.
Close registration early once the tournament is full.
Merge or cancel divisions that didn't fill.
Add sponsors, documents, or coordinators after publishing.
See who changed what, and when.
The Management Page
To open a tournament's management page, navigate to Tournaments and click the tournament's card.
The Tournament Header
The header at the top of every stage shows the tournament's name and sport, where registration stands, and how many entries have registered. If any divisions are under-filled, a tag shows how many, with a Resolve in prep link.
Right after you publish, a banner confirms the tournament is live. For the first 24 hours, it includes Announce to members, which opens an email to members with a link to register. You choose who receives it before sending.
Quick Actions
The buttons under the tournament name are available on every stage:
Action | What it does |
Edit | Opens the tournament's setup steps to make changes. |
Share | Copies the tournament's link, or opens your device's share options. The link opens the tournament's page in the member portal. |
Notify | Sends an email, text, or push notification to registered players. See Notifying Players in The Registration Stage below. |
View transactions | Opens a list of the tournament's transactions in a new tab. Requires the Transactions permission. |
Progress Tracker
The progress tracker at the top of the page shows where the tournament is. Click any stage to open it. Under each stage, a short status shows progress, such as how many players have registered or how many prep items are done. Each stage is covered in its own section below.
Stage | What it’s for |
Overview | A snapshot of registrations, revenue, prep, and recent activity. |
Setup | Review and edit the tournament’s setup, sponsors, documents, coordinators, and non-member pricing. |
Registration | View and manage registrations, close registration early, and message players. |
Prep | Work through the checklist of what’s left before tournament day. |
Bracket | Choose how to run the brackets. During the Beta, brackets run in Swish. |
Wrap-up | Final standings. Coming soon. |
The Overview Stage
The Overview stage gives you a quick snapshot of how the tournament is doing, from registrations and revenue to what’s left to prepare. To return to it from any stage, click Overview in the progress tracker. It includes:
Prep reminder - What still needs attention in prep, such as under-filled divisions or how many prep items are left, with a link to Open Tournament prep.
Registrations - Entries registered out of the total available, how full the tournament is, and how many entries are awaiting approval.
Revenue - The amount collected, after refunds, along with the total taken and the total refunded.
Divisions - The number of divisions and registrations, with a View details link.
Recent activity - The six most recent changes, such as registrations and withdrawals. Click View full history to see more. After the tournament ends, this section is titled Final activity log.
Tournament History
Every tournament keeps a record of changes, including who made each one and when. There are two places to review it:
History - Shows changes for one tournament, newest first. To open it, click View full history under Recent activity. Filter by type (All, Setup & lifecycle, Divisions, or Registrations), date range, or person, or click Player-side only to see only changes players made. Click Clear filters to reset, or Back to overview to return.
Audit Log - Shows changes across all of your club's tournaments. To open it, click Audit Log at the top of the Tournaments page. Search or filter each column. Available to admins and staff with club-wide tournament permissions.
Both record changes like:
Creating, editing, publishing, un-publishing, and cancelling the tournament.
Adding, editing, merging, or removing divisions.
Registrations, approvals, withdrawals, refunds, partner links and substitutions, and division moves.
Changes to sponsors, documents, prize money, coordinators, and co-organizers.
Closing and re-opening registration, signing off on prep, and Swish sync settings.
Messages sent with Notify, check-ins, and waitlist changes aren't recorded in tournament history.
The Setup Stage
To review the tournament's setup after publishing, click Setup in the progress tracker. The Setup stage summarizes each setup step and holds the options you can change after publishing.
Setup summaries - Cards for Basics, Divisions, Courts, Fees & refunds, and Polish & policies. Click Edit on a card to open that setup step.
Sponsors - Add, edit, or remove sponsors, with a name, website, logo link, and tier: Presenting, Gold, Silver, or Supporting.
Documents - Add links to documents for players, such as rules or a court map, with a name and link.
Coordinators - Choose staff who help the organizer run this tournament, then click Save coordinators. Requires the Manage Tournament Staff permission. For details, see Tournament Staff Permissions.
Public / non-member registration tier - Choose a membership type to price non-members at, or leave it set to None (use default pricing). Requires the Manage Tournament Staff permission.
Danger Zone
The Danger zone card at the bottom of the Setup stage holds actions that can't easily be undone.
Action | When it's available | What happens |
Un-publish | Before the tournament starts, and only if it has no registrations | The tournament moves back to a draft. Players aren't notified. |
Cancel tournament | While the tournament is published | Every registration is cancelled, players receive a cancellation email, paid entries get a refund request in Pending Refunds, and courts are released. The tournament moves to Past right away, marked Cancelled. |
Delete tournament | For drafts, and past or cancelled tournaments | The tournament and its registration records are deleted, and its courts are released. This can't be undone. No refunds are created and no one is notified. |
Note: Cancelling a tournament requires a reason. Waitlisted players aren't notified when a tournament is cancelled.
Editing a Published Tournament
Click Edit in the header, or Edit on any card in the Setup stage, to open the tournament's setup steps. Make your changes on any step, then click Save. Changes save back to the existing tournament.
A few things can't be changed once players have registered:
Removing a division - A division with registrations can't be removed. Cancel or move its registrations first, refunding any paid entries.
A division’s day - Once a division is published, its day stays as is. You can still change its start time. If you change the tournament’s dates so a division’s day falls outside them, the division moves to the tournament’s new start date, along with its court holds.
Note: When a division’s day or time changes, registered players and staff receive a Tournament Rescheduled email. If you change the tournament’s dates and a division’s day doesn’t change, players aren’t notified, so let them know with Notify.
Note: If someone else saves changes to the tournament while you're editing, you'll see This tournament was changed elsewhere. Click Reload to see their changes, or Save anyway to keep yours.
The Registration Stage
The Registration stage lists the tournament’s entries. This is where you add registrations, take payments, link partners, manage the waitlist, and process withdrawals. For details, see Managing Tournament Registrations.
Closing Registration Early
If a tournament fills up or you’re ready to move on to prep, you can close registration before its close date. Close registration early is available while registration is open, to anyone who can edit the tournament.
In the tournament header, click Close registration early.
Click Close registration to confirm.
Note: For 24 hours after publishing, if no one has registered yet, Share invite link shows in its place. Close registration early appears once someone registers or the 24 hours pass.
Once registration is closed:
Players can no longer register or join the waitlist from the tournament page, which shows Registration closed.
Players already registered keep their spots.
Organizers can still add registrations and manage the waitlist, including promoting players.
To reopen registration:
In the tournament header, click Re-open registration.
Click Re-open registration to confirm.
Registration reopens right away with its original close date. You can reopen until the original close date passes, or until the tournament starts if it has no close date.
Note: Closing or reopening registration doesn’t notify players or trigger a Swish sync. A tournament set to Keep in sync with Swish still refreshes every 6 hours, or you can click Sync now on the Bracket stage to send changes sooner. Both actions are recorded in the tournament’s history.
Notifying Players
Use Notify to message players registered in the tournament.
In the tournament header, click Notify.
Under Send to, choose All divisions or a single division. The number of recipients shows below your choice.
Choose how to send the message: Email Registrants, Text Registrants, or Notify Registrants (Push).
Click Continue.
Your club's standard email, text, or push notification composer opens in a new tab, with the players already selected. Write and send your message from there.
Good to know:
Both partners on a team receive the message.
Walk-up guests without a member account, waitlisted players, and entries awaiting approval aren't included.
You can message up to 200 players at a time. For larger tournaments, send to one division at a time.
The channels you see depend on your club's settings and your messaging permissions. For example, Text Registrants requires your club's text messaging add-on.
If no one with a member account has registered yet, the window shows 0 recipients and Continue stays unavailable.
The Prep Stage
The Prep stage includes a checklist of what still needs attention before tournament day. The top of the checklist shows how many required items are left.
Completed items show a check mark and a short summary. Items that still need attention show a button to finish them.
Item | Required? | What it shows |
Block courts for tournament window | Required | Whether courts are assigned. Click Pick courts to choose the courts the tournament will use. |
Choose tournament format | Required | The format the divisions use, such as Round robin · Set partners. |
Confirm capacity | Optional | Entries registered out of the tournament's total capacity. |
Set prize money | Optional | The total prize money across all divisions. |
Waivers selected | Optional | The waivers players sign at registration. |
Resolve undersized divisions | Required, when any divisions are under-filled | The divisions that are under-filled. Click Resolve to merge or cancel them. |
Waivers signed | Optional, shows once players register | Which players haven't signed their waivers yet. |
Below the checklist, Partner pairings lists any players in doubles or team divisions who still need a partner. Click Pair on Registrations to link them, or All teams paired shows when everyone has one.
Resolving Under-filled Divisions
A division is under-filled if it has fewer than four entries, or fewer than its maximum when its maximum is under four. Short divisions make very short brackets, so merge or cancel them before tournament day.
Next to Resolve undersized divisions, click Resolve.
For each under-filled division, choose one:
Merge - Choose a division under Merge into and click Merge. Players keep their spots, move into the other division, and are emailed about the change. This can’t be undone.
Cancel division - Each player is withdrawn and notified, and each paid entry gets a full refund request in Transactions > Refunds > Pending Refunds. You can't cancel a published tournament's only remaining division. To cancel it, cancel the tournament instead from the Danger zone on the Setup stage.
Click Done.
Signing Off on Prep
Once the required items are done, check I've reviewed prep. This tournament is ready for bracket generation. to sign off. Sign-off is recorded in the tournament's history.
The Bracket Stage
The Bracket stage is where you choose how to run the tournament’s brackets:
Generate CourtReserve brackets - Run draws, seeding, results, and match scheduling in CourtReserve. Coming soon.
Sync to Swish - Run the brackets in Swish. CourtReserve sends the divisions and players.
During the Beta, brackets run in Swish. The Bracket stage shows the tournament’s Swish sync status, anything that needs attention before syncing, and the format each division uses in Swish. For details, see Sync a Tournament to Swish.
The Wrap-up Stage
The Wrap-up stage will show the tournament’s final standings. It’s coming soon.
Summary
A published tournament's management page keeps everything an organizer needs in one place. See registrations and revenue at a glance, reach every player in a few clicks, work through a clear prep checklist, and keep a full record of every change, so tournament day starts organized and on time.
