Introduction
Feature Summary: The Registration stage of a tournament lists every entry by division, along with each player's fee, payment status, and partner. From here, you can add walk-up and phone-in entries, collect payments, pair players without a partner, manage the waitlist, approve entries, check players in, and handle withdrawals and refunds.
Use Cases:
Add a member or walk-up player at the front desk, and collect payment right away.
Pair two players who each registered without a partner.
Swap a partner when a player can't make it.
Move a player to a different division, or promote someone off the waitlist.
Check players in on tournament day.
Withdraw a player and handle their refund.
Overview
To open a tournament’s registrations, navigate to Tournaments, click the tournament’s card, then click Registration in the progress tracker.
The top of the page shows how many players are listed (for example: "24 of 24 players"), with these tools:
Search by name - Find a player.
Filters - Narrow the list by Divisions, Partner status (Complete team or Looking for a partner), Roster status (On the roster, Awaiting approval, or Waitlisted), or Payment (Everyone, Paid, or Owes money). Each option shows how many players match. To pick divisions quickly, use All, None, or a shortcut such as Men's or Doubles. Active filters show as chips you can remove one at a time, or click Clear all.
Add registration - Add an entry (see Adding Registrations below).
More actions - View waitlist, Export CSV, Expand all divisions, or Collapse all divisions.
Below the toolbar, next to Jump to, a chip for each division shows how many spots are filled (for example: "2/16"). A check mark means everyone in the division has paid, and an alert icon means money is owed. Hover over the icon to see which, or click a chip to jump to that division.
To stop new registrations before the deadline, click Close registration early at the top of the tournament. For details, see Managing a Published Tournament.
Items That Need Attention
Above the divisions, banners flag entries that need attention:
[number] entries awaiting approval - Click Review to list the entries, with Approve and Decline next to each one. Click Hide to collapse the list. For details, see Approving Entries below.
[number] players looking for a partner - Click Review to see them.
[number] refund requests waiting - Click Open pending refunds to review them.
Division Tables
Each division has its own table. The heading shows how many entries it has out of its maximum, its format, and its fee, along with how many players are waitlisted or awaiting approval. Use Notify to email, text, or send a push notification to the players in that division. The number on Notify shows how many players it reaches. To add an entry, click Add to division.
To collapse a division and show only its heading, click the arrow next to its name. To collapse or expand every division at once, click More actions, then Collapse all divisions or Expand all divisions. Collapsing divisions makes it easier to find your way around a tournament with many registrations.
Each table has these columns:
# - The entry's number. Doubles partners share one number as a team.
Player Name - With icons and tags for anything to note. A red signature icon means the player has a waiver to sign, and a yellow one means the waiver is already in the signing queue. An info icon shows their answers to registration questions. Tags include guest, Checked in, Ineligible, Looking for a partner, and Partner invited.
Rating - The player's rating, shown only in divisions with rating requirements.
Fee - The entry fee.
Due - The amount still owed.
Status - Awaiting approval, Unpaid, Partially Paid, Paid, Refunded, or Partially Refunded. Unpaid entries also have a Pay button.
Entries awaiting approval are listed in their own group below the roster, numbered A1, A2, and so on. They don't count toward the division until they're approved. Waitlisted players are numbered W1, W2, and so on.
The bottom of each table shows how many spots are still open, and how much is outstanding in the division.
Note: Once a tournament is over, its registrations can be viewed but not changed.
Adding Registrations
Add entries for players who register at the front desk, by phone, or as a complimentary entry.
Click Add registration, or Add to division on a specific division.
Choose the Division. If the division has a maximum, the number already registered appears below it (for example: "6 / 16 players registered").
Under Player, search for the player by name, using at least 3 letters. Each result shows whether the player is Eligible, Ineligible, or already Registered, along with their membership and price. To see how the price is calculated, click it.
To register the player in more divisions at the same time, add them under Also register in. The one-time entry fee is charged only once, and their answers to registration questions carry over.
If the tournament has registration questions for staff, answer them for the player and their partner, including walk-up players. If a player or partner has already answered them, a note names who answered.
If the division requires waivers, a notice lists them. Email the player a confirmation is checked by default, and the email includes a link to sign any waivers.
Click Add and pay to collect payment now, or Add and pay later to add the fee to the player's account as a balance due.
When you click Add and pay, the Payment Details window opens with the fee listed as Tournament - [division name], so you can collect payment like any other fee. If nothing is owed, or the entry is waiting for approval, the payment window doesn't open.
In doubles divisions, Add and pay collects the first player's fee. The partner's fee shows as Unpaid on their own row, with a Pay button.
Note: Add and pay isn't available in team divisions. If a division is full and has a waitlist, a message below Division says the entry goes on the waitlist, and the button changes to Add to waitlist.
Doubles and Team Divisions
In doubles divisions, Add registration also includes a Partner section. Search for the partner by name, or add them as a walk-up. To pair the player with someone already looking for a partner, click Show players looking for a partner. Each player pays their own membership price, and the team's total entry fee appears below the partner (for example: "Entry fee $80.00 ($40.00 + $40.00)").
If the player doesn't have a partner yet, check No partner yet, list this entry as looking for a partner. If you leave it unchecked and don't choose a partner, you're asked to confirm that you're registering an incomplete team.
In team divisions, build the team with Add player. The roster shows how many players have been added out of the team size.
Partner Fees
In doubles and team divisions, each player pays their own entry fee at their own membership price. Who pays depends on how the partner was added.
When you add an entry from the Registration stage:
Partner | How Their Fee Works |
Club member | The partner is charged their own membership price. Add and pay collects the first player’s fee only. The partner’s fee shows as Unpaid on their own row, with a Pay button. |
Walk-up | The partner is charged your club’s visitor or public membership price for the division, if one is set, or the division’s regular price, plus any one-time entry fee. Their fee shows on their own row, tagged guest. |
When a player registers on the member portal or mobile app:
Partner | How Their Fee Works |
Club member | The partner is entered with the player, but owes their own entry fee. |
Guest | The player pays for their guest’s entry, since a guest doesn’t have an account to pay from. The guest’s fee is added to the player’s total. |
Invited partner | The player is entered on their own. The invited partner gets a registration link, and signs up and pays for themselves. No spot is held for them. |
No partner yet | The player pays only their own fee. An unpaid entry without a partner doesn’t hold a spot until a partner is linked. |
Note: When you link two solo players, each player’s fee and payment status carry over to the team. When you substitute a partner, the new partner is charged their own price, and if the outgoing partner already paid, their refund is requested.
Walk-Up Players
To add a player who isn't a member, click + Add a non-member (walk-up) and enter their first name, last name, email, and phone. All four are required. Walk-up players are added as guests for this tournament only, and no CourtReserve account is created. If you send them a confirmation email, it includes a Set Up Your Account button. If the tournament has waivers, they're also emailed a link to sign.
Walk-up guests aren’t checked against a division’s gender, age, rating, or membership requirements, and they can’t join a waitlist. When you add a walk-up, you answer the tournament’s registration questions for them. If their answers don’t save, a warning lets you know.
Eligibility and Full Divisions
If a player doesn't meet a division's requirements, you can still add them if you're an admin or have the Can Register Against Tournament Restrictions permission. You're asked to confirm, and the entry is marked Ineligible on the roster.
To add a player to a full division, you need the Allow exceeding maximum enrollment on a Full Division permission. You're asked to confirm before going over the limit. Without the permission, add the player to the waitlist instead. For details, see Tournament Staff Permissions.
Managing an Entry
Click the ... menu on any entry to manage it.
The options depend on the entry:
Action | What It Does |
Approve or Decline | Approve or decline an entry that's awaiting approval (see Approving Entries below). |
Pay | Collect the entry fee. Shown on unpaid entries. |
Receipt | Print the receipt on a Receipt Printer (3 1/8") or Standard Printer (8.5" x 11"), or Email it to the player. Shown on paid entries. |
Override fee | Change the entry fee for this player, such as for a discount or a complimentary entry. Shown on unpaid entries. |
Void fee | Remove the entry fee so the player no longer owes it. Shown on unpaid entries. |
Refund or Refund remaining | Refund some or all of what the player paid (see Refund a Player below). |
Check in or Undo check-in | Mark an approved player as checked in on tournament day. |
Move to division... | Move the entry to another division of the same type. Every player on the team is charged the new division’s price. If the new division costs less, the difference is refunded to the player’s account credit. |
Link partner... | Pair a player without a partner with another solo entry (see Link Two Solo Players below). |
Substitute partner... | Swap the partner on a complete team. In larger teams, this reads Substitute players.... |
Withdraw | Remove the player from the division (see Withdraw a Player below). |
On a partner's row, the menu has fewer options. To change an unpaid entry's fee, you can also click the fee.
Player Details
Click a player's name in a division table to open their details. The window shows the player's division and payment status, along with their partner or teammates, registration date, membership, gender, rating, and waiver status. It also shows their answers to registration questions, a breakdown of their fee and what they've paid, and an Activity history of changes such as moves and refunds.
To manage the entry from here, click Actions. The options are the same as the entry's ... menu. To open the player's member profile in the admin panel, click their name at the top of the window.
Unsigned Waivers
A red signature icon next to a player's name means they still have a waiver to sign.
Click the icon. The Pending Signature window opens.
To send the waivers by email, check Allow Signing from Email? and enter the player's Email (required).
To send them by text message, check Allow Signing from Text Message?. This option is only available if your club uses text messages.
Under Sign, check each waiver to send.
Click Push to Signing Queue.
Once the waivers are queued, the icon turns yellow.
Checking In Players
On tournament day, click the ... menu on a player's entry and choose Check in. A Checked in tag appears next to their name. To reverse it, choose Undo check-in. Players are checked in one at a time, and only approved entries can be checked in.
Players can be checked in whether or not they've paid.
Managing Partners
Players Looking for a Partner
In doubles and team divisions, players can register without a partner. Their entry shows a Looking for a partner tag with a Match link, and a banner at the top of the Registration stage shows how many still need one. If a player has invited a partner who hasn't registered yet, their entry is tagged Partner invited instead.
An unpaid solo entry doesn't hold a spot in the division until a partner is linked. A paid solo entry does. Once linked, both players appear together as one team.
Link Two Solo Players
On a solo entry, click Match, or click the ... menu and choose Link partner....
Under Pair with, choose the other player.
Click Link partner.
Both registrations stay as they are, so each player's fee and payment status carry over to the team. The message "Partner linked" confirms it.
Substitute a Partner
Click the ... menu on a complete team and choose Substitute partner....
Under Partner, click Change, then search for the new partner by name, or click + Add a non-member (walk-up).
Click Substitute.
The player who created the entry keeps their spot. The outgoing partner is refunded whatever they paid, and any balance they still owed is removed. The new partner is charged their own price. Neither partner is emailed about the change.
When a Complete Team Fills a Spot
In a full doubles division, a complete team can still register. When they do, the solo player who has been waiting longest without a partner gives up their spot, moves to the top of the waitlist, and is notified. If they paid, a full refund is requested.
Players who have invited a partner who hasn't registered yet keep their spot.
Approving Entries
If the tournament's Registrant approval setting is Manual approval required, new entries are held in an Awaiting approval group below the roster, numbered A1, A2, and so on. They don't count toward the division until you approve them, and a banner shows how many are waiting. This includes entries you add yourself. Entries can also move to Awaiting approval when a player changes to a division they aren’t eligible for, such as one outside their rating range, even if the tournament doesn’t require approval. Players see Awaiting club approval until you approve them, and they pay after they’re approved.
To approve or decline an entry, click Review on the banner and use the Approve or Decline button next to the entry. You can also click the ... menu on the entry, or click the player’s name and then Actions.
Approve - The entry is confirmed, and its fee is added to the player's account as a balance due.
Decline - The player's spot opens up, any pending fee is removed, and the player is notified. Click Reject registration to confirm.
Once approved, the entry joins the roster. Either way, the player is sent a Registration update email with their new status.
Managing the Waitlist
When a division is full and allows a waitlist, players can join it at no charge. You can also add a player to a waitlist from Add registration, with Add to waitlist.
Waitlisted players are listed in a Waitlist group below each division's roster, numbered W1, W2, and so on, in the order they joined. Their status reads Waitlisted. Doubles partners who wait together count as one position. To show only waitlisted players, click More actions and choose View waitlist.
To give a waitlisted player a spot, click Promote, then click Promote again to confirm. They're registered right away, even if the tournament requires approval. Their fee is added to their account as a balance due, and they're emailed that a spot opened up. A doubles pair is promoted together as one team. A single player waiting for a doubles division joins as a solo entry looking for a partner.
Promote is grayed out while the division is full.
Note: If a division has Auto Register From Waitlist turned on, a spot freed by a withdrawal is filled from the waitlist automatically.
Withdrawals and Refunds
Withdraw a Player
Click the ... menu on the player's entry and choose Withdraw.
Enter a Reason for withdrawal (required).
Send Withdrawal Notice to Registrant is checked by default. To withdraw the player without emailing them, uncheck it.
Click Withdraw.
Staff can withdraw players at any time, even after the player withdrawal deadline.
When a player is withdrawn:
Unpaid entries - The entry fee is removed.
Paid entries - A refund request, based on the tournament's refund policy, goes to Transactions > Refunds on the Pending Refunds tab. Your club's auto-refund settings may process it automatically.
Entries paid in full with a promo code - No refund request is created, since nothing was charged.
If the division has Auto Register From Waitlist turned on, the open spot is filled from the waitlist.
Note: Players can also withdraw themselves from the member portal or mobile app, if the tournament allows it. Their refund is automatic only when your club's auto-refund settings allow it. Drop-In Event Registrations must be checked under Auto Refunding, the withdrawal must be made far enough before the division starts, the amount must be under your approval limit, and each payment type must have a refund destination. Otherwise, the refund request goes to Pending Refunds for your approval.
Refund a Player
To refund a player directly, click the ... menu on their paid entry and choose Refund.
The Amount is filled in with what the player paid. To refund less, change it.
Choose a Reason: Player withdrawal (the default), Division cancelled, Overpayment / duplicate, Director discretion, or Other.
Optionally, add a Note. It's shown in the player's Activity history.
Click Refund [amount].
The refund goes back to the player's original payment method without waiting for approval, and the player is emailed. If an entry has already been partly refunded, choose Refund remaining instead.
Note: Refunding a player doesn't remove them from the division. They keep their spot. To remove them, use Withdraw.
Exporting Registrations
To download a list of entries, click More actions and choose Export CSV. The file includes each entry's division details, the registrant's and partner's names, member IDs, contact information, ratings, and genders, the team roster, whether they're looking for a partner or checked in, the fee, amount due, amount paid, payment status, registration status, and registration date. If you've searched or filtered the list, only the entries shown are exported.
Summary
The Registration stage gives organizers one place to run every entry, from the first walk-up at the front desk to the last check-in on tournament day. Collect payments, pair partners, fill open spots from the waitlist, and handle withdrawals without leaving the tournament.
