Beta Status: Tournaments: Player Perspective - Registering for a Tournament

See What Players Experience When They Find, Register for, and Manage Tournament Entries

Written by Mari Bern

This feature is currently in Beta, meaning it is actively being tested and refined before a full release. It is not available to all organizations. Access is limited to clubs with an active CourtReserve + Swish integration. To request access, contact our Customer Support team via live chat or email.

Introduction

Feature Summary: Players find your club's tournaments on the member portal and mobile app, check which divisions they can enter, and register in a few steps. They can add a partner, sign waivers, answer registration questions, and pay, then return to the tournament page to pay a balance, leave a waitlist, or withdraw.

Use Cases:

  • Help players find upcoming tournaments and the divisions open to them

  • Walk a player through registering for one or more divisions

  • Explain partner options for doubles, including guests and invitations

  • Explain what each registration status means

  • Help a player withdraw or leave a waitlist

Overview

Note: This article is written from the player’s point of view, so “you” in the steps means the player. Use it to follow along when helping a player register, or share sections with players at your club.

Players can see your club's upcoming tournaments, including tournaments that are still open for registration, starting soon, or in progress. Completed and canceled tournaments aren't listed.

Players can:

  • Search, filter, and sort tournaments

  • See each tournament's dates, fees, prize money, divisions, and rules

  • Check which divisions they're eligible for

  • Register for one or more divisions in the same order

  • Join a waitlist when a division is full

  • Pay, leave a waitlist, or withdraw after registering

This article shows the mobile app. Players can also register on the member portal, which has the same pages and steps in a wider layout. For the differences, see Using the Member Portal below.

Navigation

  1. In the mobile app, tap Tournaments under Explore More on the home screen.

  2. To see your club’s tournaments, tap List.

  3. To see the tournaments you’ve registered for, tap My Tournaments. This opens My Bookings, filtered to show tournaments.

On the member portal, click Tournaments in the top menu, then List or My Tournaments.

Finding a Tournament

The Tournaments page lists your club's upcoming tournaments, with a count at the top (for example: "3 tournaments").

Tournament Cards

Each tournament card shows:

  • The tournament's banner, sport, and format (for example: "Tennis · Round robin · Set partners")

  • The tournament name and dates

  • How many divisions the player is eligible for (for example: "2 of 4 divisions at your level")

  • Spots left, when 10 or fewer remain (for example: "3 spots left"), or Full if the tournament is full

  • The prize pool, if there is one

  • The registration status (for example: Registration open, Closes in 3 days, or Registration closed)

  • The price (for example: Free, or "$25-$40 per division")

If the player has already registered, a strip at the top of the card shows their status, such as You’re registered, Awaiting payment, Waiting on club approval, or You’re on the waitlist.

To open a tournament, tap its card.

Searching, Filtering, and Sorting

  • Search - Search tournaments by name.

  • Sort - Starting soonest (the default), Starting latest, Closing soonest, or Name (A-Z).

  • Filters - Filter by Dates (Any date, This week, This month, or Next 3 months). Sports appears when the tournaments listed include more than one sport, and Skill level appears when their divisions include more than one skill level. To hide tournaments with no divisions you can enter, check Hide Full / Ineligible under Visibility. Tournaments you’ve already registered for are never hidden.

To open filters and sorting, tap the filter icon at the top right. Choose your options, then tap Apply.

The Tournament Page

The top of the tournament page shows the tournament's format, dates, price (for example: "$25-$40 per division"), how many divisions are open to the player (for example: "2 of 4 divisions open to you"), prize money if any, the host club, and when registration closes.

After you register, it shows how many divisions you’re in and how many more are open to you.

  • Choose your divisions - Jumps to the list of divisions. Shown while registration is open.

  • Share (icon at the top) - Share a link to the tournament.

  • Add to calendar (icon at the top) - Add the tournament to your calendar.

When registration isn't open, the page says so instead (for example: Registration opens Oct 8 or Registration is closed).

Note: If a tournament is for members only, players without a membership can still see the tournament and its divisions, but they can’t register. Instead, a message explains that the club’s members can enter, with a See membership options button.

Divisions

A line above the divisions sums up what's open to the player (for example: "2 of 4 open to you · $25-$40 per division"). Divisions are grouped by day. Each division shows its name, fee, date, and how many spots are left (for example: "16 spots left").

Tap the arrow on a division to see its details, including its type (for example: "Singles · Men"), how full it is (for example: "0 of 16 players"), its fee, and its prize money. Divisions may also show skill level and age requirements, and who has already registered.

Each division shows the player's status if they've registered, such as You're registered, You're on the waitlist, Awaiting club approval, or Awaiting payment.

Divisions the player can't enter, such as divisions for a different gender or skill level, are grouped under "[number] divisions you can't enter." Tap it to see them.

Note: If a division is limited by gender or age and the player's profile doesn't include it, the division shows Add your details. The player adds their gender and date of birth, then taps Save & recheck.

Divisions, Details, and Agreements Tabs

The tournament page has three tabs: Divisions (above), Details, and Agreements.

  • About this tournament (on Details) - The tournament description and sport.

  • Club and details (on Details) - The club, with Directions and Copy address, the tournament contact, and any other information from the club.

  • Sponsors (on Details) - The tournament's sponsors, if any (for example: "Presenting sponsor").

  • Waivers and agreements (on Agreements) - The waivers players will sign, and the cancellation and refund policy. Tap a waiver or the policy to read it.

Registering for a Tournament

  1. On the tournament page, tap Choose your divisions, or scroll to the divisions.

  2. Check each division you want to enter. A bar at the bottom shows how many divisions you've chosen and the total. To start over, tap Clear.

  3. Tap Continue. The Register page opens, with each division you chose and who's entering. To remove a division, turn off its switch. If you have family members on your account, choose who's entering each division under Entering. Otherwise, the page shows your name next to Entering as.

  4. For a doubles division, choose your partner under Doubles partner (see Choosing a Partner below).

  5. If the tournament has waivers, review and sign each one (see Signing Waivers below).

  6. Answer any Registration questions (for example: your T-shirt size). If you’re registering family members or adding a guest as your partner, answer the questions for each of them too.

  7. Review the Order Summary, which lists each division, any entry fee, the Subtotal, and the Total. Tax is included where it applies. The Cancellation and refunds box shows the tournament's refund deadline.

  8. Tap Register. The button shows the total.

If the tournament takes online payments, a timer shows how long you have to pay (for example: "You have 15 minutes to finalize payment"), and the Checkout page opens when you tap Register:

  1. Choose a Payment method (for example: a saved card).

  2. To use a promo code, tap Apply Promo Code.

  3. Tap Pay. The button shows the total.

Note: If a promo code brings your total to $0.00, you can complete checkout without a saved card.

A Payment Receipt appears with your receipt number, the division, and how you paid. Tap Done. A receipt is also emailed to you.

If the division is free, you go back to the tournament page, and the message "You're entered." appears.

Note: If the timer on the Checkout page runs out before you pay, your spot goes back to the pool.

Note: If two divisions start at the same time, a warning appears. To enter both, check I understand and want both.

Note: If a division is full, you join its waitlist instead. Nothing is charged until a spot opens and the club moves you in. The button reads Join waitlist.

Choosing a Partner

For doubles divisions, choose your partner under Doubles partner.

Continue stays grayed out until you choose one of these options:

  • Search club members - Search by name (at least two letters), select your partner, and tap Confirm. Your partner is entered with you, but they haven't confirmed anything yet, and they pay their own entry fee. To pick someone else, tap Change.

  • Add Guest - Enter a guest's First name and Last name, and optionally their Phone and Email. Tap Save guest. You pay for your guest's entry, since a guest doesn't have an account to pay from.

  • Invite - Enter Their email, and optionally a phone number for a text and a note. Tap Save Invite. You're entered on your own, and they're sent the registration link after you finish registering, so they can sign up and pay for themselves.

  • I don't have a partner yet - Turn this on to enter on your own. You can add a partner later, or the club can help you pair up. Your spot is held while space remains. To lock it in, complete your team.

Note: Guests and invitations aren't available when joining a waitlist. Invitations aren't available for members-only tournaments. A spot isn't held for an invited partner.

Signing Waivers

If the tournament has waivers you haven't signed yet, a notice before Register shows how many need your signature (for example: "3 waivers need your signature"), and the button reads Continue.

  1. Tap Continue. The Sign your waiver page opens.

  2. For each waiver, tap Review Waiver Details to read it, check I have read and agree to [waiver name], and sign in the Tap to sign box.

  3. Tap Register.

Register stays grayed out until every waiver is signed. One signature covers every division you're entering. Your club's waiver may also be included, if you haven't signed it yet.

After Registering

After you register, the division shows You're registered, and your registration appears under Your entries at the top of the tournament page.

It also appears under My Bookings on the home screen of the mobile app.

If you register for more than one division, or you don't pay right away, a confirmation shows how each division went:

Status

What It Means

You're in

You're registered, and nothing is owed.

Awaiting payment

You're registered, and money is due. Your spot is held until you pay.

Waiting on approval

The club needs to approve your entry. Your spot is held, and you’ll pay after the club approves it.

On the waitlist

You'll be moved in if a spot opens. Nothing has been charged.

Not entered

The division couldn't be added, with the reason. You can try again or join the waitlist.

If money is owed, tap Pay [amount], or Pay later if no payment timer is running. If the club requires online payment, a timer shows how long your spot is held. If it runs out, your spot is released.

If you invited a partner, the confirmation shows that the registration link is being sent to them.

Managing a Registration

After registering, your entries are listed under Your entries on the tournament page, with each division's status and schedule:

  • Registered

  • Registered · Partner invited

  • Awaiting club approval

  • Awaiting payment

  • On the waitlist

To enter another division, tap Add another division, or check another division and tap Continue.

If family members are registered for the tournament, their entries are also listed under Your entries, under their name.

In the mobile app, your registration also appears under My Bookings on the home screen, with your partner's name for doubles.

Note: You can also open your registration from My Tournaments, or from View My Registration in your registration email.

Paying a Balance

To pay for an entry that’s Awaiting payment, tap Pay now on the division. The division also shows the amount due. Balances that the club collects are paid from My Balance.

Leaving a Waitlist

To leave a waitlist, tap Leave waitlist on the division. The message "You left the waitlist." appears.

Changing a Division or Partner

To switch to a different division or change your doubles partner, tap Manage on the entry under Your entries. If you change divisions, your fee is updated to the new division’s price. If you aren’t eligible for the new division, such as when your rating is outside its range, your entry is held for the club to review. If you change partners, the tournament’s refund and approval rules apply. The partner search shows every club member, and players who aren’t eligible for the division are marked.

Withdrawing

  1. On the tournament page, tap Manage on the entry under Your entries. The Manage registration window opens.

  2. Tap Withdraw. In a doubles division, choose Withdraw just yourself to leave your partner registered, or Withdraw full team to withdraw you both.

  3. 3. Check the Cancellation and refunds box, which shows whether you’ll get a refund (for example: “Your $25 refund request goes to the club for approval.”). If you paid by card, it also notes that the card convenience fee isn’t refunded.

  4. Enter a Reason for withdrawal (required).

  5. Tap Withdraw, or Keep my spot to cancel.

A message confirms that you've withdrawn and what happens with your refund (for example: "Withdrawn. Your $40 refund request was sent to the club for approval."). Depending on the tournament, refunds are either sent automatically or need the club's approval first.

Note: If you withdraw just yourself from a doubles division, your partner stays registered and is listed as looking for a partner.

Note: If withdrawals are closed, the tournament page says so, and players need to ask the organizer.

Tournament Emails

Players get emails as their registration changes:

When

Email Subject

They register or join a waitlist

"Registration received - [Tournament name]"

Staff add them to a tournament

"You've been added to [Tournament name]"

Staff approve, decline, or move their entry, or a division is canceled

"Update to your [Tournament name] registration"

They withdraw

"Withdrawal confirmed - [Tournament name]"

Staff refund them

"Your refund has been processed - [Tournament name]"

Staff move them off the waitlist

"A spot opened in [Tournament name]: confirm your spot"

A partner invites them

"[Partner name] invited you to [Tournament name]"

A division's date or time changes

"Tournament Rescheduled - [Tournament name]"

The tournament is canceled

"[Tournament name] has been canceled"

The Registration received email shows the division, the player's status (for example: Confirmed), the date, the entry fee, and, when they apply, the partner, amount paid, and waitlist position. It may also include:

  • A reminder that the payment receipt comes in a separate email

  • For a player registered without a partner in a doubles division, a reminder to invite a partner or match up with another player from the tournament page

  • For tournaments with waivers, a Sign your waiver link

If the club registers the player, the email says "the club has registered you."

Most of these can also be sent by text or push notification, depending on your club’s and the player’s notification settings. Players manage these in the Tournaments section of their notification preferences. If a family member doesn’t have their own email address, their emails go to the family’s primary contact.

Note: Players aren't emailed when payment is due, and partners aren't emailed when they're added to a doubles entry.

Note: The green text in this example is custom text added by the club.

Using the Member Portal

Players can also find and register for tournaments on the member portal. The steps are the same, with a few differences:

  • Tournaments are in the top menu, under Tournaments.

  • Filters and sorting appear next to the list of tournaments.

  • The tournament page shows its sections one after another instead of in tabs. On a computer, Club and details and Waivers and agreements appear in a sidebar on the right. In a phone’s browser, they’re collapsible sections at the bottom of the page.

  • Share and Add to calendar are buttons near the top, and All tournaments returns to the list.

  • Your entries appears at the top of the sidebar, with Manage for each entry and Add another division.

  • Directions opens Apple Maps on an iPhone, or Google Maps in other browsers.
