Track Guest Activity Across Reservations and Events

INTRODUCTION

Feature Summary: The Guests Report generates a list of guests added to court reservations or registered into events, along with details about the member who brought them. Use this report to monitor guest activity, verify guest policies, and export data for further review.

Use Cases:

  • Review which members are bringing guests to reservations and how frequently

  • Verify that guest phone numbers and names are being collected consistently

  • Cross-reference guest activity with specific date ranges, reservation types, or courts

  • Export guest data to Excel or PDF for reporting or audit purposes


NAVIGATION

In the admin panel, go to Reports > Guests Report.


OVERVIEW

The Guests Report pulls guest records based on the report criteria and output columns you configure. You can filter by date range and select which data fields appear in the exported report.

Filtering by Date Range

Use the Reservation Start and Reservation End date fields to limit results to guests included in reservations booked within a specific time period. Leave these fields blank to return all guest records regardless of date.

The arrow buttons between the date fields allow you to step forward or backward through date periods quickly.


Setting Up Report Output

The Setup Report Output section lets you choose which columns appear in your report. Select the checkbox next to each field you want to include. Use Check All to select every available column at once.

Available output columns include:

  • Guest First Name - The first name of the guest

  • Guest Last Name - The last name of the guest

  • Guest Phone Number - The phone number associated with the guest

  • Reservation Date/Time - The date and time of the reservation the guest was added to

  • Member # - The member number of the member who added the guest

  • First Name - The member's first name

  • Last Name - The member's last name

  • Email - The member's email address

  • Membership - The membership type associated with the member

  • Confirmation # - The reservatio confirmation number

  • Reservation Type - The type of reservation the guest was added to

  • Courts - The court(s) associated with the reservation

  • Guest Full Name - The guest's full name as a combined field

  • Guest Owner Full Name - The full name of the member who brought the guest

  • Instructors - Any instructors associated with the reservation

  • Created By - The system user who created the reservation

  • Payment Status - The payment status of the reservation

  • Day of the Week - The day of the week the reservation occurred


Running and Exporting the Report

Once your filters and output columns are configured, click Run Report to generate results.

Note: This report can be exported to Excel or as a PDF using the export options available after the report runs.

You can also save your current configuration using Save Report and retrieve it later via Saved Reports.
