How to Run and Customize the Cancellations Report

INTRODUCTION

Feature Summary: Create a report to review and analyze all canceled reservations and event dates within a selected timeframe.

Use Cases:

  • Recover from accidental cancellations by identifying affected reservations or event dates

  • Quickly locate impacted players to communicate updates or next steps

  • Recreate canceled reservations or events with accurate participant details

  • Audit cancellation activity to understand what was canceled and when

  • Minimize disruption to member experience by restoring bookings efficiently


OVERVIEW

The Cancellations Report provides a comprehensive view of all reservations and event dates that have been canceled by your organization. This report is especially valuable for auditing cancellations, identifying impacted players, and getting the information needed to move forward in restoring bookings when needed.

Go to the side menu and click REPORTS > CANCELLATIONS.


Report Filters

Use the available filters to refine your report and focus on specific data sets:

  • Cancel From / Cancel To – Defines the date range in which cancellations occurred.

  • Start Date / End Date – Filters results based on the original reservation or event date.

  • Court(s) – Limits results to specific courts or facilities.

  • Resource(s) – Filters by associated resources (e.g., ball machines).

  • Include Court Bookings – Includes canceled court reservations in the report.

  • Include Events – Includes canceled event registrations.

  • Reservation Type(s) – Filters by reservation types.

  • Event Category(s) – Filters by event categories.

  • Tag(s) – Filters by any tags applied to events.

  • Instructor(s) – Limits results to cancellations tied to specific instructors.

  • Membership Type(s) – Filters results by the membership type of the player associated with the canceled reservation or event.

  • Closure Type(s) – Filters by the closure type.

  • Group Reservations by Member – When enabled, groups multiple players under a single reservation or event. When disabled, each player is listed individually, allowing for clearer visibility into player-specific details such as Membership Type.


Setup Report Output

Scroll to the Setup Report Output section to customize which data columns appear in your report. Check or uncheck fields to include relevant information such as player name, reservation details, and membership type.


Running the Report

After selecting filters and configuring output fields, run the report to generate results based on your criteria.


Report Output & Actions

Once generated, the report includes the following functionality:

  • Details Button – Available on each cancellation row. Opens a detailed view of the canceled reservation or event, including access to the Audit Log for a full history of changes.

  • Export to Excel – Download the report in Excel format for further analysis.

  • Export to PDF – Generate a PDF version for sharing or record-keeping.

  • Email Players – Redirects the user to the Bulk Email editor, with subscribed players from the Cancellations Report automatically populated as the default recipients.

  • Text Players – Redirects the user to the Bulk Text tool, with subscribed players from the Cancellations Report automatically populated as the default recipients.

  • Push Notification – Redirects the user to the Bulk Push Notification tool, with subscribed players from the Cancellations Report automatically populated as the default recipients.

The Cancellations Report acts as a critical safety net for your organization. Whether cancellations occur accidentally or intentionally, administrators can quickly identify what was canceled, who was affected, and take immediate action to restore bookings or communicate with members—ensuring minimal disruption and a better member experience.
