Using the Member Report to Gather and Export Data

INTRODUCTION

Feature Summary: Generate a list of organization members.

Use Cases: System users can create a segmented list based on a wide variety of filters, including membership type, status, payment profile, and more. Optionally, admins can send targeted messages to members on the list (e.g., a reminder that accounts must be settled by July 1).


SETUP REQUIREMENTS

Go to the side menu and click REPORTS > MEMBERS. On the next page, set the report filters. Here are some different filters that can be used on the Members Report:

  • Current Membership Status: You can filter to show either Active, Inactive, or Suspended players.

  • Membership Types: You can filter based on a particular membership type, or leave this field to 'ALL' to include everyone.

  • Upcoming Membership Status: You can filter to show members that do, or do not, have upcoming memberships

  • Upcoming Membership Types: You can filter based on a particular members with upcoming memberships, or leave this field to 'ALL' to include everyone.

  • Payment Profile Status: You can filter by whether or not someone has a Payment Profile created.

  • Gender: You can filter by Male or Female gender

  • Family Role: You can filter based on a particular family role (ex. Primary or Children).

If we keep scrolling, we will see the other options here such as:

  • Amount Due: You can use this filter to look for individual with outstanding balances/balances over a certain amount.

  • Account Credit: Filter by account credit dollar amount range.

  • Penalty Cancellations: You can filter players based on how many Penalty Cancellations they have on their account.

  • Filter By Groups: You can filter players based on the Member Groups that are included in.

  • Last Login Date To/From: You can customize these dates to see who has not logged in in over X days.

  • Created Date From/To: When was this user created in the system.

  • Payment Profile Created From/To: Use this to see who created payment profiles from X to X date.

  • Next Payment Date From/To: Use this to see who has payment dates from X to X date.

  • First Visit Date From/To: A First Visit is the first time a member had a reservation or registered for an event.

  • Reservation/Event Start Date/Time: Use this to filter members based on reservation/event times.

  • Current Membership Start Date (From / To): Filters players based on the start date of their current membership within the selected date range.

  • Cancellation Date (From / To): Filters players based on the cancellation date of their current membership within the selected date range.

  • Custom Ratings: Filter to show members in specific Custom Rating values.

  • Event Session: Filter members based on specific event sessions.

  • Reservation Types: Use this to filter players by Reservation Type.

  • Lesson Types: Filter members based on the type of lessons.

  • Event Category: Use this to filter players by Event Category.

  • Search for Events: Use this to search for members for a specific Event.

  • Tags: Filter players based on Event Tags.

  • Attended From/To: Use this to filter player Attendance (check-in) at the club from X date to X date.

  • # of Days Attended: Filter players by the total number of days they have checked in or attended the club within the selected criteria.

  • Filter by Recurring Fees: Here you can choose to filter by 'Has' or 'Has Not' to see players that do or do not have Recurring Fees.

  • Ages From/To: Filter players based on their age within the specified age range.

  • Marketing Text Status: Filter players based on their marketing text message subscription status (All, Subscribed, Unsubscribed, or Pending).

  • System Text Alert Status: Filter players based on their system text alert subscription status (All, Subscribed, Unsubscribed, or Pending).

  • Push Notification Status: Filter players based on their push notification subscription status (All, Subscribed, or Unsubscribed).


Setup Report Output

After customizing the information above, review the Setup Report Output fields below. If certain information is not needed for this particular report, simply uncheck the corresponding box(es). Once the customization of these rows is complete, run the report.

Note: Any custom fields or ratings created that should be included in this report will appear at the very bottom of the Setup Report Output list (e.g., Emergency Contact #1, Tennis).


Useful Functions from the Members Report Output

Once the report is run, system users can take action on the results using the available options, including Export to Excel, Export to PDF, Email Players, Text Players, Push Notifications, and Create New Member Group. Note: Text and Push Notification options are only available if those features are enabled.

Selecting Email Players, for example, opens the Email Players screen pre-populated with the list of members included in the report.

The Create New Member Group option directs you to the Edit Group screen, where the members filtered from the Members Report are automatically carried over to the grouped members list. From there, you can make any necessary adjustments, assign a group name, and save to quickly create a new member group. These groups can then be used for marketing campaigns, reporting, and ongoing member management.
