INTRODUCTION
Feature Summary: The Mass Update feature allows admins to make bulk changes to member accounts quickly and efficiently. Instead of updating memberships one member at a time, admins can filter members by specific criteria and apply actions—such as updating billing dates, changing memberships, or canceling memberships—all in a single workflow.
Use Cases:
Adjust next billing dates for multiple memberships at once
Cancel or change memberships in bulk
Update membership pricing or penalty cancellations
PREREQUISITIES
You must be logged in as an admin with permission to manage members.
Members must already exist in the system and applicable memberships must be set up and assigned.
OVERVIEW
The Mass Update tool is accessed from the Members section of the admin dashboard and is designed to help clubs efficiently make membership changes in bulk. Admins can filter members based on membership status, frequency, billing dates, and more, then apply a selected action to selected matching members at once. This feature is especially useful for seasonal updates, billing adjustments, and membership clean-up tasks.
SETUP REQUIREMENTS
Log in to the Admin Dashboard.
Navigate to MEMBERS > OTHER ACTIONS from the side menu.
Select MASS UPDATE.
Filter Members
The Mass Update page includes several key components to filter the members admins want to update.
Admins can filter members using the following options:
Membership Is: Select Current Membership or Last Membership
Current Membership (default): Filters members based on the membership they currently hold.
Last Membership: Filters members based on the most recent membership they held and excludes players who currently have an active membership. This makes it possible to mass update members who effectively don’t have a membership at all.
Network Membership Note: The following applies to enterprise organization's who sell network memberships:
Current Membership will only display the primary network membership that can be sold at that location.
Last Membership will display both primary and network counterparts so admins can locate members who had this membership previously but currently don't have one assigned.
Membership(s): Select one or more memberships to include in the update. Defaults to All memberships.
Account Type: Filter by Individual or Family accounts. Defaults to All account types.
Member Status: Filter by Active or Inactive members. Defaults to All.
Next Billing Date / Payment Date: Filter members based on upcoming billing dates using Greater Than, Less Than, or Equal To conditions along with a Payment Date, making it easy to target members within specific payment timelines.
Membership Frequency: Filter by billing frequency (such as Monthly, Annual, or other available frequencies). Defaults to All frequencies.
Membership Price / Amount: Filter members based on membership price using Greater Than, Less Than, or Equal To conditions and a membership price dollar amount to target specific pricing levels.
These filters help ensure that updates are applied only to the intended group of members.
Action Type
The Action Type dropdown determines what update will be applied to the selected members.
Once an action is selected, the system will guide you through any additional required inputs before applying the update.
Available actions include:
Update Next Billing Date - Mass update the next payment date for member's memberships in your organization. This will automatically only populate memberships with configured pricing (greater than $0) and billing cycles. This allows organizations to adjust the next billing date for memberships already sold to members. See the full article on this functionality here.
Cancel Membership(s) or Change / Assign Membership - Selecting Cancel Membership(s) or Change / Assign Membership allows admins to cancel, change, or assign memberships in bulk for the selected members. Because these actions are permanent and cannot be undone, admins are prompted to contact CourtReserve Support to ensure the updates are completed correctly and to avoid unintended changes.
Update Penalty Cancellations - Enables admins to reset or update the penalty cancellation count for the selected members. This is useful for clearing penalties or standardizing counts across multiple accounts at once.
Filter by Penalty Cancellations - Allows admins to filter members based on the number of penalty cancellations on their account by setting a minimum and/or maximum value.
Update Penalty Cancellations - Sets the penalty cancellation value for the selected members.
Update Membership Price - Allows admins to set a new membership price for the selected members. This is similar to Update Next Billing date and will only pull paid memberships. This action updates the price on existing memberships, making it useful for adjusting rates in bulk due to pricing changes or corrections.
New Membership Price - Set the dollar amount for the new membership price.
Select Members
After setting your filters, select the members to include using the Select All checkbox or by selecting members individually. Then, click the button in the bottom-right corner to perform the selected action.
A confirmation message will appear based on the action performed.
After the action runs, admins will see a summary of the results. Click Expand to view detailed information for each affected member.
