How Custom Ratings Are Created in the Member Portal

INTRODUCTION

Feature Summary: Custom Ratings allow you to create and assign skill-based rating categories specific to your club's needs.

Use Cases:

  • Restrict event access based on a player's skill level or assigned rating

  • Organize members into groups using custom rating categories

  • View a member's rating directly from their profile in the admin panel


SETUP REQUIREMENTS

Create a Player Custom Rating

1. Log in to the admin dashboard.

2. Click SETTINGS > MEMBER SETTINGS > Custom Ratings.
3. To create a Rating Category, click the Create Rating Category button.

4. When completing the setup, system users have the following options:

  • Rating Category: Enter a short description of your rating category.

  • Description: Enter a longer description of your rating category.

  • Display Rating Category on Members Grid: Enable this option if you’d like to display each member’s custom rating on the Member Details or Member List in your Admin Portal. Examples below:


  • Allow Members to Update this Rating in the Member Portal: Check if you want your players/members to be able to edit their Custom Rating from their Member Portal. If this box is checked, the Create New Rating Category page displays the following field:

    • Do Not Allow Member to Update Rating After Creation. When this box is checked, players can enter their rating one time but cannot make changes on the Member Portal. To update a rating, players must ask an admin to make a change.

  • Is Required on Member Portal: check to require players/members to fill out the custom rating field.

  • Allow Multiple Rating Values: check if you'd like your players/members to be able to select multiple ratings from the options, for example, 3.0 and 3.5. Example below:

  • Save Changes when complete.

5. After creating your Rating Category, you will need to add the rating options the player/member will see in their drop down:

  • Click Add Ratings next to the category you'd like to add ratings to.

  • Each rating option will need to be added one by one.

    • Rating: Typically a numerical value (e.g., 3.0, 3.5, etc.).

    • Description: Used for internal reference only on the Custom Ratings screen. This is not visible to players or members.

    • Click Save Changes.

    • Continue adding ratings until your desired options are listed. Use the Sort, Delete (X), or Update (pencil icon) tools to organize or modify entries as needed.

  • Click the + icon to expand each Rating Category to view your and edit ratings.


ADMIN PERSPECTIVE

Once custom ratings are created, they appear throughout the admin panel as a way to control access, filter members, and personalize the registration experience. Below are three common areas where custom ratings are applied.

Applying Ratings When Adding a Member

When adding or editing a member from the admin panel, any custom ratings you've created appear as fields on the member's profile. This allows you to assign a rating at the time of registration or update it at any time.


Restricting Events by Rating

When creating or editing an event, custom ratings appear under the Registration Restrictions tab as Rating Restrictions. You can specify which rating categories and values are required for a player to register.

For example: If you're running an intermediate pickleball clinic, you can set Allowed Rating Categories to Pickleball Rating and then select 3.0 and 3.5 as the allowed values. Players outside that range will be unable to register - and if Hide Event if Member does not match Restrictions is checked, the event won't appear to them at all.


Filtering by Rating in Bulk Email

When sending a bulk email, custom ratings can be used as filters to target a specific segment of your members.

For example: If you want to notify only competitive players about an upcoming tournament, you can filter by Pickleball Rating and select 3.0 to narrow the recipient list to members with that rating assigned to their profile. Once your filter is set, click Apply Filters to update the list before sending.
