Understand the Portal Settings in CourtReserve

INTRODUCTION

Feature Summary: The Portal Settings section in CourtReserve allows admins to configure the key elements of the member experience. Each icon represents a different area you can customize or manage. This article provides a high-level overview of each option, with links to more detailed resources.


NAVIGATION

To access the Portal Settings in the admin panel, navigate to the Settings > Portal Settings row.


1. Setup

Use the Setup icon to customize the essential settings that shape your Member Portal experience. From here, you can:

  • Access and share your Portal Link so players can easily find your club online.

  • Decide whether the Member Portal is turned on (for clubs using CourtReserve with players) or off (for staff-only use).

  • Control whether players can create their own accounts online or if accounts must be created by admins.

  • Manage whether members can log in to the portal during setup or only once your club is ready to go live.

  • Choose if new members are auto-approved or require admin approval before gaining access.

These settings establish the foundation for your club’s online presence and member access.

2. Sign-Up Form

The Sign-Up Form icon controls how new players create an account in CourtReserve. From here, admins can:

  • Add custom instructions to guide players.

  • Enable or require optional fields during registration.

  • Control membership visibility (required, optional, or hidden).

  • Create custom fields to collect extra information.

  • Require a payment profile during sign-up (credit card; ACH added after sign-up if using Stripe).

  • Add a custom disclosure if needed.

3. Welcome Email

The Welcome Email icon lets admins customize and send a welcome email message to new members. From here, admins can:

  • Read and customize the default Welcome Email template.

  • Add a subject line, format text, and include images, documents, or links.

  • Insert custom fields (e.g., {{First Name}}, {{Organization Name}}) that auto-fill for each member.

  • Include helpful resources such as links to tutorials or videos.

  • Send the Welcome Email to new members who have not yet logged into the portal (CourtReserve does not send this automatically).

4. Upload Logo

The Upload Logo icon allows clubs to brand their CourtReserve system with their own logo. From here, admins can:

  • Upload a new logo to display on the Member Portal.

  • Preview the current logo in use.

5. Website

The Website icon lets admins configure the overall look and feel of the Member Portal. From here, admins can:

  • Customize colors – set primary background, button, header/footer colors, and text colors for the portal and app.

  • Choose colors – use HEX codes, a color picker tool, or preset palettes to match club branding.

  • Add website and social media links – include links to your club’s external site, Facebook, and Instagram.

  • Display hours of operation – show facility hours in the portal footer (with options for different seasonal schedules).

  • Adjust portal footer – choose whether the footer appears on all pages, home page only, or is hidden.

  • Control announcements and event layout – show/hide the announcements link in the header and reorder tabs on event pages.

6. Mobile

The Mobile icon lets admins configure how their organization appears in the CourtReserve mobile app. From here, admins can:

  • Set an Organization Short Name to display in the app (helpful if the full name is long).

  • Choose whether to display the club’s location (city, state, zip) on the mobile dashboard.

  • Enable or disable the weather display for the club’s location.
