INTRODUCTION

  • Feature Summary: Learn how to create an event.

  • Use Cases: Configure essential settings such as waitlists, schedules, fees, and registrant limits.

SETUP REQUIREMENTS

  1. Log in to the admin dashboard.

  2. Click EVENTS on the side menu.

  3. Click CREATE EVENT. A new page displays.

Adding details

  1. Enter a name for the event.

  2. Click the Category field and select an option.

  3. Add one or more tags. (optional)

  4. Select a session. (optional)

  5. Enter the maximum number of registrants, if needed.

Once the event reaches the maximum number of registrants, CourtReserve hides the signup button and displays a join waitlist button (if the event creator enabled this feature).

Setting dates and times

  • Override Hours of Operation - Check the box if the event starts or finishes outside normal business hours (e.g. 9 am to 9 am). The default setting is not checked.

  • Event Date - Use the calendar to select a date.

  • Start Time / End Time - Use the clock icons to set the start and finish times.

Allow waitlist

The waitlist option is an important part of event management. Click to read the waitlist article.

Require minimum registration

Optionally, check the Require Minimum Participation for this Clinic to Occur box to set a minimum enrollment for the event. If the minimum is not met by a set date, CourtReserve auto-cancels the event.

  • Minimum Participation - Click the field and set the minimum. This number cannot be greater than the maximum number of registrants for the event.

  • Automatic Clinic Cancellation Time Before Start - Set the deadline to achieve the minimum number of registrants. The deadline is relative to the event's start date (i.e. hours, days, or weeks).

Member cancellation

Optionally, place a time limit on when players can withdraw from an event.

Custom fields

Display custom fields on the registration form to collect special information (e.g. player shirt size) when the player signs up on the member portal. Click the field and select one or more options.

Member portal display

When a system user enables the auto-cancel feature, CourtReserve displays a note on the Event Details page. The note describes the minimum number of registrants and cancellation date.
