INTRODUCTION

  • Feature Summary: Sell units of a court activity in bulk.

  • Use Cases: Generate revenue by selling bulk access. Members use punches to pay for pickleball lessons, court time, or event registrations. Clubs benefit because packages lower payment processing fees (by reducing the total number of payments handled) and improve cash flow by collecting revenue upfront for future activities.

Enabling the packages feature

  1. Log in to the admin dashboard.

  2. Click SETTINGS on the side menu.

  3. Scroll down to the ADD-ONS row.

  4. Click Manage Add-Ons. A new page displays.

Scroll down to the Packages row. Check the box to enable this feature.

Read the terms in the popup. If acceptable, click I Agree.

After you agree to the disclosure, a Setup button appears. Click the button. The Packages page displays in a new browser tab.

When the system user enables the Packages tool, CourtReserve adds two icons to SETTINGS > BILLINGS SETTINGS. Click these icons to review and configure settings for Package Categories and Packages.

Creating a category

Package categories are useful because they can be used as filters in reporting, but are not required. To create a pickleball category, go to SETTINGS > BILLING SETTINGS > Package Categories. On the new page, click the Create Category button. Enter a name and click Save.

Creating a package

On the Packages page, click the Create Package button. A form displays.

Fill in the fields

  • Name - Enter a package name. (required)

  • Price - Set the package cost. (required)

  • Allow Package to be Used While Unpaid - If enabled, the customer can use a punch from the package before payment has been collected. The default setting is disabled.

  • Package Category - This optional field is hidden if the system user does not create any Package Categories. If enabled, click the field and select a category.

  • Package Can Expire - If enabled, the package becomes invalid after a period of time. To enable an expiration period, check the box and use the drop-down menus to set the time period.

  • Total Punches - Total number of punches in the package.

  • Is Active - Use this checkbox to enable or disable the package (e.g. a summer season package).

Configuring settings

At the bottom of the page, use the four tabs to include one or more club activities that can be punched with this package.

Court Time tab

  1. Click the Type field and select one or more options.

  2. Set the duration.

  3. Enter the punch value for this type + duration combination.

  4. Optionally, click the Add Court Time link to add rows.

  5. Click Save.

Lessons tab

To create a new lesson type, go to SETTINGS > INSTRUCTOR SETTINGS >Lesson Types.

  1. Click the Type field and select an option.

  2. Set the duration.

  3. Enter the punch value for this type + duration combination.

  4. Select an instructor or use the ALL default.

  5. Optionally, click the Add Lesson Type link to add rows.

  6. Click Save.

All duration options eligible for package payment (e.g. 60 minutes and 120 minutes) should be added to the table as separate line items with the appropriate punch value.

Events Categories tab

The Events Categories tab lets system users set a punch value for a single date or drop-in date. Packages cannot be created for an entire multi-day event.

  1. Click the Type field and select an option.

  2. Set the punch value per drop-in.

  3. Select an instructor or use the ALL default.

  4. Optionally, click the Add Event Category link to add rows.

  5. Click Save.

ALL tab

The All tab displays package settings. System users can update or remove punch settings on this page. To add punches, open a tab and then click the Add button.
