Written by Kim Lehman

INTRODUCTION

Feature Summary: Enterprise Billing in CourtReserve combines the subscription billing for all locations in your Enterprise into one monthly payment. Enterprise Managers can review billing terms, manage the payment method on file, view payment history, and monitor usage charges by location.

Use Cases:

  • Combine subscription billing for multiple locations into one monthly payment

  • Review your billing terms, including per-location pricing and included email and text amounts

  • Manage the payment method used for your monthly Enterprise Billing payment

  • Review past payments and download receipts

  • Monitor email, text message, and proration usage by location to spot overages before the bill is issued

SETUP REQUIREMENTS

  • Your organization is set up as an Enterprise.

  • Your Enterprise has multiple locations.

  • At least one person in your Enterprise has the Enterprise Manager role. If you can’t create this role, contact the Customer Support team.

  • Enterprise Billing is turned on for your Enterprise. To set this up, contact your Engagement Coordinator or the Customer Support team.

Overview

Enterprises can choose Enterprise Billing instead of Monthly Per Location Billing. With Enterprise Billing, subscription charges for all your locations are combined into one monthly payment instead of being billed separately for each location.

Once Enterprise Billing is set up, Enterprise Managers can access Billing Details from the Enterprise Dashboard. Billing Details has four tabs:

  1. Billing - Your billing contact information and billing terms

  2. Payment Profiles - The payment method used for your monthly payment

  3. Payments - Your payment history and receipts

  4. Usage - Email, text message, and proration usage by location for current and past billing cycles

Navigation

  1. From the Enterprise Dashboard, click Billing in the left navigation.

  2. Select the tab you want to view: Billing, Payment Profiles, Payments, or Usage.

Setup and Coordination

To set up Enterprise Billing, contact your Engagement Coordinator or the Customer Support team. Once Enterprise Billing is configured, the Enterprise Manager can access four tabs in Billing Details:

  1. Billing

  2. Payment Profiles

  3. Payments

  4. Usage

Payment Profiles

The Payment Profiles tab shows the payment method on file for your monthly Enterprise Billing payment. Payment profiles can be a credit card or ACH/eCheck.

The table shows the Billing Name, Billing Email, Account Type, Added On date, and Last 4 digits of the account for each profile. Use the Search field or column filters to find a specific profile.

Update Your Payment Method

  1. Click Create Payment Profile.

  2. Enter the new payment details and save the profile.

  3. To remove the old profile, click Delete next to it.

Note: Add the new payment profile before deleting the old one so there’s always a payment method on file.

Payments

The Payments tab shows your payment history for Enterprise Billing.

Each payment shows the following:

  • Billing Email - The billing email associated with the payment.

  • Date - The date and time the payment was processed.

  • Amount - The total amount charged.

  • Payment Status - The status of the payment, such as Completed.

  • Notes - A description of the payment, including the billing period it covers.

  • Last 4 - The last four digits of the account charged.

To view or download a receipt, click View Receipt next to the payment. Receipts include your base subscription and any usage charges for the billing cycle.

Note: To see usage charges by location before a payment is processed, use the Usage tab.

Usage Tab

The Usage tab shows email, text message, and proration usage for each location in your Enterprise, for both the current billing cycle and past cycles. Use it to see which locations are close to or over their included amounts before the monthly bill is issued.

To view usage, navigate to Enterprise Dashboard > Billing > Usage.

Note: Charges on this tab are usage charges only (overages and proration). They do not include your base subscription.

Select a Billing Cycle

The Usage tab opens to the last completed billing cycle. To view a different cycle, select it from the cycle dropdown or use the arrow buttons to move between cycles. The label next to the cycle dates shows the cycle’s status:

  • Current - The cycle is still open. Charges are not final and will increase as more emails and text messages are sent.

  • Billed - The cycle is closed and usage charges have been billed.

When viewing the current cycle, click Refresh to load the latest usage.

Note: Usage history starts with July 2026 billing cycles, when enterprise-level tracking began.

Note: If your Enterprise has many locations, the current cycle may take a moment to load.

Usage Summary

The summary at the top of the tab shows totals for the selected cycle across all locations:

  • Locations - The number of locations included in the cycle.

  • Emails Sent - The total number of emails sent.

  • Text Messages - The total number of text messages sent.

  • Prorated - The number of locations with prorated charges.
