Align Member Billing to a Consistent Start Date

INTRODUCTION

Feature Summary: The prorate membership fees feature allows system users to charge a partial first payment when a member joins mid-cycle, so that all future billing aligns to a consistent start date - the first of the month for monthly plans, or a selected month for annual plans.

Use Cases:

  • Simplify billing and accounting by ensuring all members share the same due date rather than having due dates spread throughout the month

  • Automatically calculate a member's first prorated payment based on their join date

  • Set a fixed annual billing start month for yearly membership plans

OVERVIEW

When prorated fees are enabled on a membership type, CourtReserve calculates a reduced first payment covering only the remaining days in the current billing period. Starting the next cycle, the member is billed the full membership fee on the standard billing date.


SETUP REQUIREMENTS

  1. Log in to the admin dashboard.

  2. Go to the side menu and click MEMBERSHIPS. A new page displays.

  3. Select a membership type (Individual or Family) and click the pencil icon to edit a membership.

  4. On the next page, click the Membership Price tab.

Scroll down to the Prorate Membership on Member Portal field. Check the box to enable prorated fees. Monthly fees are automatically prorated so that the billing cycle starts on the first of the month.

If the membership fee has a yearly option, CourtReserve displays a Yearly Frequency field. Click the field and select a month to start the billing cycle.

After saving the changes, CourtReserve displays an icon on the Memberships table.

Membership types with prorated fees enabled are marked with a circular icon.


USER PERSPECTIVE

For example: A member purchases a $40/month membership on May 11, 2026. May has 31 days, and the member is joining with 21 days remaining in the month (May 11–May 31). CourtReserve divides the monthly rate by the total days in the month and multiplies by the remaining days: $40 ÷ 31 × 21 = $27.10. With upfront payment required, the new member pays $27.10 when joining. On June 1, 2026, the member's full $40.00 monthly charge begins.


ADMIN PERSPECTIVE

After a member is enrolled in a prorated membership, system users can view the billing details directly on the member's profile.

Navigate to the member's profile and click the Membership tab. Under Individual or Family Membership, the Billing Details panel displays:

  • Started On - The date the member joined and the prorated period began. In this example, 5/11/2026.

  • Membership Price - The full recurring rate. In this example, $40.00/Month.

  • Next Billing Date - The date the first full billing cycle begins. In this example, 6/1/2026.

Scrolling down, the Billing Cycles table shows a record of all billing activity for the member. The prorated charge appears as the first entry, reflecting the partial billing period, the frequency, the prorated amount, and the date it was paid.
