Make Changes to a Player's Membership from the Admin Panel

INTRODUCTION

Feature Summary: Club administrators can change or update a player's membership directly from the admin panel. This allows for transitions between membership types β€” such as upgrading a player from a free membership to a paid premium membership β€” without the player needing to take action. Updates can be applied immediately or scheduled to take effect on a future date, helping clubs manage membership changes efficiently while keeping player access uninterrupted.

Use Cases:

  • A player requires admin assistance to be assigned a membership.

  • A player has a free membership and wants to upgrade to a paid premium membership starting next month.

  • A club admin needs to downgrade a player's membership (e.g., from premium to free) effective at a future date.

  • An admin wants to extend or modify a player's existing membership term.

  • A player signs up for one membership but later qualifies for or requests a different membership type.

  • Managing promotional membership upgrades that take effect after a trial period.


SETUP REQUIREMENTS

  1. Log in to the admin dashboard.

  2. Click MEMBERS > SEARCH on the side menu.

  3. Search for a player's name.

  4. Open the player profile.

  5. On the player profile page, click the Membership tab.

  6. Navigate to either Family or Individual Membership tab based on what is relevant for the selected member.


Adding a Membership

If a member does not have a membership assigned, you can assign one from the member profile. Navigate to the Family or Individual Membership tab, click the Membership dropdown, and select a membership. Review the payment options and select a Payment Frequency (if options are available for the membership). Use the calendar icons to set the Membership Start Date and confirm or adjust the Next Payment Date.

To generate a prorated fee for the first month of membership until the Next Payment Date, check the Create Billing Cycle between START DATE and NEXT PAYMENT DATE box.

Click Assign Membership.

Example:

In this example, the member is being assigned to a monthly membership at $55 per month. The membership starts on 4/21/2026, and the next full payment of $55 is due on 5/1/2026. Because "Create Billing Cycle between START DATE and NEXT PAYMENT DATE" is checked, a prorated payment will be created to create the fee for the last 10 days of April.


Updating a Membership

From the Membership tab, click the Change/Pre-Purchase Membership button. In the popup window, choose a membership to change to. On the next screen, review the payment options and select the Payment Frequency (if options are available for the selected membership). Use the calendar icons to set the Membership Start Date and confirm or adjust the Next Payment Date.

To generate a prorated fee for the first month of membership until the Next Payment Date, check the Create Billing Cycle between START DATE and NEXT PAYMENT DATE box.

Click Assign Membership.

Example:

In this example, the member is changing to a monthly membership at $40 per month. The membership starts on 4/1/2026, and the next full payment of $40 is due on 5/1/2026. Because "Create Billing Cycle between START DATE and NEXT PAYMENT DATE" is checked, a prorated payment will be created to create the fee for the last 15 days of April.

CourtReserve updates the Billing Details section to reflect the change.

If the membership change isn't immediate, the page displays the current membership plan's end date based on the membership update (Cancels on) and the new membership plan's name and start date (Upcoming Membership).

Cancelling a Pre-Purchased Membership

System users can cancel a pre-purchased membership before it starts.

  1. Open the player profile page and click the relevant Membership tab.

  2. Go to the Upcoming Membership line and click the link.

  3. In the popup window, click Cancel Membership.

  4. In the confirmation popup, add a reason (optional) and click Cancel Membership.

CourtReserve displays the current plan on the Billing Details page and removes the pre-purchased membership details.
