INTRODUCTION
Feature Summary: The Who’s Here Today screen gives staff a centralized, real-time view of all players, reservations, and court activity for the day. It displays details such as player names, reservation types, assigned courts, instructors, payment status, and check-in options. This feature ensures system users can efficiently manage daily operations, keep track of who is where, and quickly identify outstanding payments.

OVERVIEW
The Who’s Here Today screen provides system users with a real-time overview of all player activity at the facility on a given day. It is especially useful for quickly seeing who is on-site, which courts are in use, what times reservations are scheduled, and who still has outstanding payments. Users can also check players in directly from this screen.
Note: Be sure to refresh the screen as needed, either by navigating away and returning or by using your web browser’s refresh function.
NAVIGATION
From the admin panel, go to RESERVATIONS > WHO'S HERE TODAY.
Fields Displayed
From and To Date: By default, the screen displays the current date (Today). To view all reservations and players for the current day, select See All Players for Today. To look at a different date, adjust the From Date and To Date fields — the reservations list will automatically refresh.
Player: The name of the member or guest with their initials shown in a circle for quick identification.
Reservation: The type of booking, such as singles, doubles, events, or lessons.
Date/Time: The scheduled date and time of the reservation.
Courts: The specific court(s) assigned to the reservation. If a pencil icon exists, click to change the court assignment for the reservation.
Instructors: If applicable, the staff or pro assigned to the reservation.
Notes: Any custom notes added to the reservation.
Due: The amount owed for the reservation.
Status: Indicates whether the reservation has been paid or remains unpaid.
Pay: Provides a quick action button for the system user to process a payment.
Check-In: Allows system users to check players in once they arrive to the club.
More Actions: The three dots can be clicked to Edit or Cancel the reservation.
Default Sorting
By default, the screen is sorted by date and time, starting with the earliest reservation of the selected day. This makes it easy for staff to track activity as the day progresses.
Screen Functions
The Who’s Here Today screen not only lists player and reservation information but also provides quick links and actions that can be taken directly from the view. This makes it easy for staff to manage reservations and player activity in real time.
Some of the available functions include:
Player Name – click to open the player’s profile.
Event or Reservation Name – click to edit the booking details on the reservation or go to the edit event screen.
Court Assignment – when available, click the pencil icon next to a court to change the court.
Pay Button – process payments for unpaid reservations.
Check-In – check players in individually or in groups.
Each column includes sort and filter options that can be used as needed. From the top-right of the screen, you can also search for information or export the data to Excel or PDF.
Check-In
Use the Check-In button on the far right of each player’s row to check them in individually.
To check in multiple players at once, use the checkboxes on the left to select the players, then check them in together using the Check-In button that appears. This is especially convenient for groups.
Note on Guests:
Guests display with a "(G)" indicator, and their guest owner’s name is shown beneath them, making it easier for staff to recognize visitors and manage guest activity efficiently.
