This feature is currently in Beta, meaning it is actively being tested and refined before a full release. It is not available to all organizations. Access is limited to clubs in CourtReserve's Early Access Groups. To request access, contact our Customer Success team via live chat or email.
INTRODUCTION
Feature Summary: CourtReserve now supports access control for Public Booking, allowing organizations that use smart lock or keypad entry systems to grant facility access to players using Public Booking. A Door Access "card" appears on the public booking confirmation page and guides players through the unlock process based on their current access status.
Use Cases:
Allow public bookers to unlock a facility door directly from their reservation confirmation page without needing a PIN code
Enforce waiver requirements before granting door access to public bookers
Restrict door access to the configured time window surrounding the reservation
Support Brivo and RemoteLock integrations for Public Booking access control
Visual Example of Door Access on the Public Booking Confirmation Page:
OVERVIEW
Organizations using access control integrations (Brivo or RemoteLock) previously could not offer Public Booking because there was no mechanism to grant facility entry to unauthenticated guest bookers. This feature resolves that blocker by adding a Door Access card to the public booking confirmation page.
Rather than displaying a PIN code to the player, CourtReserve handles access on the backend and presents the player with an Unlock door button when access becomes available. The player taps the button, and CourtReserve triggers the unlock directly through the integration - no PIN entry required.
The Door Access card follows the same time window rules configured in your Access Control settings. For example, if your rule allows access beginning 15 minutes before the reservation start time and ending five minutes after the reservation end time, the unlock button will only be active during that window.
Door Access Card States
The Door Access card on the confirmation page can appear in four states depending on the player's waiver status and the current time relative to the reservation.
1. Waiver Required
If your organization has a waiver configured, players must sign the waiver before door access is enabled. The Door Access card will appear in a disabled (grayed-out) state with the message "Sign waiver to enable door access."
A separate Waiver(s) Required banner will appear above the Door Access card prompting the player to sign.
Example of the Waiver Required state:
2. Before Window
Once the player has signed any required waivers, the Door Access card becomes active but the unlock button remains disabled until the access window opens.
This window is determined by the Buffer Minutes - Reservation Start value configured in your Access Control rules.
Example of the Before Window state:
3. Active
When the current time falls within the configured access window, the Unlock door button becomes active. The player taps the button to trigger the door unlock. After a successful unlock, the button displays "Door unlocked" as confirmation. At this time, the player can access the facility.
If the player needs to unlock the door again during the same window (for example, if the door closed before they entered), the button resets and can be used again.

4. Expired
After the reservation is complete and the access window has closed, the Door Access card displays "Access expired" and the unlock button is no longer available.

Review Access Control Settings
Access Control settings are configured in the admin panel. To review or update your access control rules:
Log in to your CourtReserve admin panel.
Navigate to Settings > Additional Features > Access Control.
Click the Rules tab to view or edit your access window configuration.
Key rule fields that affect Public Booking door access:
Action Type - The action triggered by the rule (for example, Create Pin Code). For Public Booking, this action is executed on the backend and not displayed to the player.
Time Before Reservation - When the PIN code or unlock credential is created (for example, at reservation creation).
Buffer Minutes - Reservation Start - How many minutes before the reservation start time the unlock button becomes active.
Buffer Minutes - Reservation End - How many minutes after the reservation end time the access window closes.
Court(s) - The courts this rule applies to. Setting this to ALL applies the rule across all courts.
Note: These same rules govern access for both member reservations (where a PIN code may be displayed) and public bookings (where the door is unlocked via the button on the confirmation page). No separate rule configuration is needed for Public Booking.
Audit Log
Every door unlock triggered through Public Booking is recorded in the audit log, giving admins a full record of when a guest accessed the facility.
To view this activity, navigate to Audits > Audit Log in the admin panel.
Admins can see the history of a public booking reservation, including when it was created and when the guest unlocked the door. Each entry captures details such as the access control provider used, the specific lock triggered, the timestamp of the unlock, and core reservation information like the court, player name, and cost. Player names from public bookings will appear with a (P) after the name.
