INTRODUCTION
Feature Summary: Public Booking Waivers allow clubs to require (or optionally offer) waiver signing for public (non-member) reservations and event registrations. Waivers are presented after the booking or registration is completed, on the Confirmation page, and help ensure participants have signed the appropriate documents before attending.
Use Cases: Clubs commonly use public booking waivers to:
Require waivers before a participant can check in
Add event-specific waivers (example: summer camp)
Capture parent/guardian consent when a minor is registered for an age-restricted event
Give staff a clear visual indicator of who still needs to sign from the admin portal
OVERVIEW
How Waivers Work in the Public Booking Reservation Flow
For public booking reservations (court bookings, event registrations, etc.), the waiver prompt appears after the reservation is completed, on the confirmation page.
What the player sees:
A callout box indicating whether the waiver(s) are Required or Optional.
A Sign Now button to complete the process.
When a player clicks Sign Now, they are taken to the waiver signing screen. At the top, they will see:
Their name
A Signed By selection option:
Myself (if 18 or older)
Parent or guardian (if signing on behalf of someone under 18)
Next, the waiver card displays:
The waiver title
A Required label (if applicable)
A Review Waiver Details button to read the full waiver text in a scrollable window
Example when Review Waiver Details is clicked:
To complete the process, the player must:
Check the acknowledgment box agreeing to the terms
Tap the Tap to Sign area to provide their digital signature
Once signed, the screen updates to show:
The signature
The date and time signed
The name of the signer
This confirms the waiver has been successfully completed and they'll click Save & Finalize to return to the Confirmation screen.
How Required vs. Optional Waivers Behave for Public Booking:
Required waivers must be signed to fully complete the waiver requirement for participation.
Optional waivers may be skipped, but the player will continue to see an optional waiver reminder until it’s signed.
Important Confirmation-Page Behavior:
CourtReserve hides the check-in QR/code until any required waiver is signed.
After signing, the confirmation page updates to show:
The check-in code (if applicable).
A waiver entry under “Additional Information,” so the player can view what they signed.
Note: The Waiver(s) section is included in the Custom Confirmation Page Content area at the bottom of the Public Booking Settings page. This section cannot be removed; however, you can adjust its display order using the sort functionality. The order set here determines where the Waiver(s) section appears within the Additional Information area at the bottom of the player’s confirmation page.
How Public Booking Waiver Requirements Are Determined
Membership Rules Tied to Public Bookings
Important: The waiver signing rules that apply to public booking reservations and event registrations are tied to the membership(s) selected in the Public Booking Settings fields shown above.
This means the system will evaluate waiver signing rules based on the membership chosen under Membership Rules to Use for Public Reservations for reservations and/or events.
If a waiver is restricted to specific membership types, it will only trigger in public booking when that membership is selected in these settings.
Waivers may come from two places:
Signing Rules (Waiver Settings): These determine when waivers are presented (for example, at booking/registration). If a signing rule is configured to require signing at booking/registration, the waiver will present as required in public booking.
Waiver Presented On in the Signing Rule Settings
At the Time of Booking/Registration (Required): Selecting this option makes the waiver required during the public booking process.
At the Time of Booking/Registration (Optional): Selecting this option presents the waiver during public booking, but it is optional.
Upon Login: Selecting this option requires the participant to sign the waiver during the public booking process.
Event-Specific Waivers (added in event setup, General Info > Waivers ): Clubs can add an extra waiver directly to an event (example: “Summer Camp Waiver”). Event-specific waivers are required for the event they are linked to.
How Waivers Work in Public Booking Event Registration With Age Restrictions
Example: Parent Signing a Summer Camp Waiver for a Child
Example scenario:
A parent registers their child for a Summer Camp event that has an age restriction (for example, ages 10–14).
Because the event includes an age requirement, CourtReserve can validate that the participant is a minor under 18 by requiring birth date before proceeding.
What happens during waiver signing:
The waiver signing flow automatically requires Parent/Guardian signing (the child cannot sign as “Myself” in this scenario).
The parent enters their name, selects their relationship (Parent or Guardian), and confirms they are authorized to sign.
This parent/guardian information is stored with the signed waiver and is visible to the player and admins.
Key callout:
Age validation in public booking occurs only when an event has an age restriction when birth date is required to proceed with registration. (Public bookings don’t otherwise collect or validate birthdays.)
Admin Experience and Tracking for Public Booking Waivers
From the admin side, public booking waivers are designed to mirror the existing waiver experience staff already know:
Players who still owe a waiver show a clear waiver indicator (for example, a red waiver/signature icon). Public Booking players will have a (P) next to their name.
Admins can also manage waivers through the same signing queue workflows used for regular member waivers. For example, admins can send the waiver link to the player via email, which routes the player back to their confirmation page to sign.
In this example, the admin clicks the Check-In / Info notice from the scheduler and sends the waiver directly to the public booking participant.
Admin Tip #1: To see who has signed a specific waiver, go to Manage Waivers & Agreements (navigate to Settings > Reservation Settings > Waivers & Agreements), expand the desired waiver, and click View in the Signed column.
The system will display a list of all signed entries, including the signer’s name, date signed, and signature.
Participants who signed the waiver through the Public Booking flow will be identified with a (P) next to their name.
Additionally, use the Waiver(s) Report to review who in your organization has signed all waivers or a specific waiver. You can filter by date range, waiver type, or membership type as needed.
To include Public Booking waiver signings, be sure to check the box for Include Guest Waiver(s)? in the report filters.
As with other waiver views, participants who signed through the Public Booking flow will be identified with a (P) next to their name.
Admin Tip #2: To quickly see which participants still need to sign a waiver, use the Who’s Here Today screen.
Players who have not yet signed will display the standard red waiver indicator. Public booking participants will also have a (P) next to their name, making it easy to distinguish them from regular members.
Important Notes and Limitations
Public booking waivers do not link to an existing member account. Even if someone is a member and has already signed a waiver in their member profile, public booking will still prompt them again because it operates as a separate guest-style booking flow.
Public booking waiver signing also does not sync with Guest Waiver Kiosk signing—these are separate experiences.
