Require Signed Waivers When Members Book a Facility, Event, or Lesson

INTRODUCTION

  • Feature Summary: Digitally store signed liability waivers.

  • Use Cases: System users can attach a waiver requirement to bookings on the member portal. After creating a waiver, the system user must create a signing rule.

PREREQUISITES

SETUP REQUIREMENTS

  1. Open the Manage Waivers & Agreements page.

  2. Click the Waivers & Agreements tab and then click the Create Waiver / Agreement button.

  3. On the new page, fill in the fields. (see below)

  4. Click Save.

Fill in the fields

  • Name - Enter a unique name for this waiver.

  • Version Name - CourtReserve auto-fills this field with a unique identifier. If a system user updates the waiver, CourtReserve inserts a new version name. Optionally, system users can enter a different version name.

  • Agreement text - Enter text that displays above the user's e-signature

  • Content Type - Enter the waiver terms. Type the terms into the field or upload a file (PDF). CourtReserve attaches a copy of this document to the member profile when a member signs the waiver.

  • Signing Notes - Add text to this optional field to help users understand where to sign the waiver.

  • Waiver / Agreement Date Specific - If the waiver is active for a specific period of time, check this optional box. Use the calendars to set start and end dates.

  • Is Active - Check the box to display this waiver on the member portal.

FEATURE USAGE - USERS' PERSPECTIVE

When a system user creates a waiver and a signing rule, CourtReserve prompts members to sign. When and how often the prompt displays depends on how the system user configures the signing rule.

At the Time of Booking/Registration (Required)

When a member who has never signed a waiver tries to book a court, CourtReserve displays a prompt. If the member clicks the document link, a popup window displays the full waiver text.

To sign the waiver, members:

  1. Check the box to indicate agreement.

  2. Click the grey field to open a signing window and use the mouse to digitally sign.

  3. Click the SAVE SIGNATURE button.

At the Time of Booking/Registration (Optional)

With this signing rule, CourtReserve displays a link next to the member's name on a booking page. The member can click the link and sign the waiver now.

If front desk staff do a manual check-in, CourtReserve displays a red icon that indicates the member needs to sign a waiver.

The front desk person clicks the icon, and a popup displays two signing options:

  1. Check the box to send the member an email with a link to the sign page, and then click the Push to Signing Queue button. Or,

  2. Leave the box unchecked and then click the Push to Signing Queue button.

Email option

If the front desk person selects the email option, CourtReserve sends the member an email with a link to the signing page. The member clicks the link and digitally signs the waiver.

Queue option

If the front desk person selects the second option, CourtReserve moves the signature request to the signing queue. The front desk person turns on a front desk tablet, opens the queue link (available on the Additional Settings tab), and taps the SIGN button. The member can sign the waiver at the front desk.

Upon Login

With this signing rule, CourtReserve displays the signing prompt as soon as the member logs in to the member portal. All portal features are blocked until the member digitally signs the waiver.

FEATURE USAGE - ADMINS' PERSPECTIVE

System users can view signed waivers on a member's profile page. Open a profile and click the Waivers tab.

  • CourtReserve displays a waiver icon at the top of the page. Hover the icon to see details.

  • Click the View button to open a window with signing details, including the document version number. Optionally, click the Print button to create a hard copy.
