Help Players Remotely Sign Waivers at the Front Desk

INTRODUCTION

  • Feature Summary: Collect member digital signatures via email or a front desk tablet.

  • Use Cases: In some cases, members may not be able to digitally sign a waiver or membership agreement on the member portal. Club staff can offer members three signing alternatives - via email on a mobile device or on a tablet at the organization's front desk.

A different article shows system users how to configure digital signature requests on the Additional Settings tab. This article shows users three ways to execute signature requests:

  • send an email prompt from the admin Check-in page, or

  • copy the signature URL and send the member a direct message with the link, or

  • go to the Signature Queue, open the signing page, and ask the member to sign the waiver/agreement on a front desk tablet.

PREREQUISITES

Know how to create a waiver or agreement.

SETUP REQUIREMENTS

Option 1 - Check-In page email prompt

Send an email prompt to the member from the admin Check-in page. The email prompt has a link that takes the member to a digital signing page. Members open the link and digitally sign the document on their mobile device.

  1. Go to SCHEDULERS > EXPANDED.

  2. Locate the member's reservation.

  3. Click the Check-In icon. A new window displays.

  4. Locate the member and click the red icon next to their name. A popup window displays.

An orange icon indicates a digital signature is in progress.

In the popup window:

  1. Check the Allow Signing from Email? box.

  2. Confirm the email address (auto-filled by CourtReserve).

  3. Confirm the Sign box is checked.

  4. Click the Push to Signing Queue button.

The member opens the message on their mobile device, taps the link, logs in to their member portal account, and digitally signs the document.

Option 2 - Copy the signature URL

Systems users can use this option if a member visits the front desk but does not have a booking. The member asks the front desk staff to email a signature link.

  1. Go to SETTINGS > RESERVATION SETTINGS.

  2. Click the Waivers & Agreements icon.

  3. Click the Additional Settings tab.

  4. Scroll down to the Use this URL to Direct Players to the Signing Page heading.

  5. Click the Copy URL button.

Next, open the player's profile page.

  1. Click the Send Email button.

  2. Paste the URL into the field.

  3. Send the email.

The member opens the message on their mobile device, taps the link, logs in to their member portal account, and digitally signs the document.

Option 3 - Push players to the Signing Queue

This option does not send an email message. Instead, the member signs at the front desk on a tablet.

Locate a player's name on a booking (e.g. court booking, instructor, lesson, or event). If there is a red icon next to the name, the member needs to sign a document. Click the red icon.

In the popup window:

  1. Confirm the Allow Signing from Email? box is not checked.

  2. Confirm the Sign box is checked.

  3. Click the Push to Signing Queue button.

Optionally, a system user could open the member's player profile page, click the Waivers tab, and then click the Push to Signing Queue.

Opening the tablet

Front desk staff go to the tablet with the pre-loaded signing link from the Additional Settings page. The Signature Queue page displays.

Locate the member name and click SIGN.

The member taps the links and saves a digital signature for the document. CourtReserve removes the member's name from the Signature Queue.

FEATURE USAGE - USERS' PERSPECTIVE

CourtReserve sends the member an email message with a link. The member taps the link and logs in to their member portal account.

The member follows the workflow, signs the document, and taps SAVE.

FEATURE USAGE - ADMINS' PERSPECTIVE

After the system user sends an email request, the icon on the Check-In page changes to orange. After the member completes the signature request, CourtReserve removes the icon.

System users can view waiver and membership agreement signatures and details on a member's profile page. Open a profile and click the Waivers tab.

  • CourtReserve displays a waiver icon at the top of the page. Hover the icon to see details.

  • Click the View button to open a window with signing details, including the document version number. Optionally, click the Print button to create a hard copy.
