INTRODUCTION
Feature Summary: When an event allows members to register for individual dates or the full event, the withdrawal experience differs based on how the member registered. Members who registered for individual dates must withdraw from each date separately, while members who registered for the full event withdraw from all dates at once. Admins have additional flexibility and can withdraw a member from any combination of dates regardless of registration type.

OVERVIEW
CourtReserve events can be configured to allow members to register for individual dates or for the full event. How a member withdraws depends on which option they chose at registration.
Note: This article applies to multi-date events only. For single-date events, the withdrawal scenarios below do not apply.
This article covers two event registration scenarios:
Scenario 1 - Full Event vs. Drop-In Registration: Members select dates from a checklist during registration. When registering for individual dates, only the selected dates are checked. When registering for the full event, all dates are pre-checked and cannot be deselected. This scenario applies when the Event Restrictions feature is not enabled, which is the case for most organizations.
Scenario 2 - Full Event vs. Drop-In Registration (Event Restrictions Enabled): When Event Restrictions are enabled on your account, the checkbox date selection experience is removed for drop-in and single-date registrations. Members register for one date at a time using separate registration buttons instead.
Scenario 1 - Drop-In vs. Full Event Withdrawal
In this scenario, members register through a date checklist. The registration screen displays a Registering Date(s) table listing each available date, the number of available spots, and a Register? checkbox. Whether those checkboxes can be toggled depends on how the member is registering.
Drop-In Registration and Withdrawal
Registration
When registering for individual dates, the member checks only the dates they want to attend. Unchecked dates are skipped.
Member Withdrawal
After registering for drop-ins, each selected date appears as a separate booking card in the member's My Bookings page under the Active tab. There is no single card representing all dates together.
To withdraw from a date the member will:
Open the booking card for the date to cancel by clicking Edit Registration.
Click or tap Withdraw.
Enter an optional reason in the Withdraw Reason field.
Click or tap Withdraw to confirm.
The member will repeat these steps for each additional date to cancel.
Note: There is no option to withdraw from multiple dates at once from the member portal or mobile app. Each date must be withdrawn from individually.
Admin Withdrawal
From the admin panel, navigate to the member's profile and open the Events tab. Each registered date appears as its own row in the Upcoming sub-tab with a Cancel (X) button.
To withdraw the member from one or more dates:
Click the Cancel (X) button on any row.
In the Withdraw Registrant window, enter an optional Reason.
Toggle Send Withdrawal Notice to Registrant to notify the member by email.
Check the dates to withdraw from, or click Select All to select every date.
Click Save changes to confirm.
Note: Admins can withdraw a member from any combination of drop-in dates in a single action, or can only select one.
Full Event Registration and Withdrawal
Registration
When registering for the full event, all dates in the Registering Date(s) table are pre-checked and grayed out. The member can view the dates included but cannot deselect any. On the mobile app, dates appear as toggles that are on but cannot be turned off.
Member Withdrawal
A full event registration appears as a single booking card in My Bookings under the Active tab, showing the full date range rather than individual dates.
To withdraw:
Open the booking card.
Click or tap Withdraw.
The Withdraw From Entire Event screen opens, showing the full date range.
Enter an optional reason in the Withdraw Reason field.
Click or tap Withdraw to confirm.
Note: Full event registrants can only withdraw from the entire event. There is no option to cancel individual dates from the member portal or mobile app.
Admin Withdrawal
A full event registration appears as a single expandable row (indicated by a + icon) in the member's Events > Upcoming sub-tab, rather than one row per date.
To withdraw the member from the full event or select dates:
Click the Cancel (X) button on the row.
In the Withdraw Registrant window, enter an optional Reason.
Toggle Send Withdrawal Notice to Registrant to notify the member by email.
Check Create Prorated Refund Request if a refund should be generated for each withdrawn date.
Deselect any dates the member should remain enrolled in, or leave all selected to withdraw from the entire event.
Click Save changes to confirm.
After withdrawal, canceled dates move to the Canceled sub-tab in the member's Events tab. If Create Prorated Refund Request was checked, each withdrawn date shows a Pending Refund status.
Pending refund requests appear under Transactions > Refunds > Pending Refunds and must be manually accepted or refused by an admin.
Note: Any date left unchecked during admin withdrawal remains active and stays in the member's Upcoming tab. In this example, the admin left the member registered for August 3.

Scenario 2 - Drop-In vs. Full Event Withdrawal (Event Restrictions Enabled)
When Event Restrictions are enabled on your account, the drop-in registration experience changes. Members can no longer use the date checklist to select multiple dates at once. Instead, they register for one date at a time using the Register for [date] button.
Note: Event Restrictions are not the same as registration restrictions like age, gender, or skill rating. They are a separate optional feature that controls when and how often members can register for drop-in and single-date events based on membership type. To enable Event Restrictions, contact the CourtReserve Support team. Once activated, this feature applies only to drop-in and single-date event registrations — not full event registrations.
Event Restrictions allow clubs to:
Limit how often basic or trial members can register for popular drop-in events
Give premium memberships higher or unlimited access to events
Prevent a single family from registering for too many event slots in a short period
Reduce event hoarding by enforcing time gaps between registrations
Allow restrictions to relax automatically as an event gets closer
In this scenario, the event has both a Full Price and a Drop-In Price configured. On the event detail page, members see two distinct registration buttons: Register for Full Event and Register for [date].
Drop-In Registration and Withdrawal
Registration
The member clicks Register for [date] to register for a single date at the drop-in price. To register for additional individual dates, the member navigates to the Dates tab on the event detail page, where each upcoming date is listed with its own Register button.
Depending on your club's Event Restrictions settings, a member may see an error when attempting to register if they have exceeded the allowed number of registrations.
Member Withdrawal
Each individually registered date appears as a separate booking card in My Bookings under the Active tab. The member must withdraw from each date separately.
To withdraw from a date:
Open the booking card for the date to cancel.
Click or tap Withdraw.
Enter an optional reason in the Withdraw Reason field.
Click or tap Withdraw to confirm.
Note: There is no bulk withdrawal option for drop-in registrations. Each date must be withdrawn from individually.
Admin Withdrawal
From the admin panel, navigate to the member's profile and open the Events tab. Each drop-in registration appears as its own row in the Upcoming sub-tab.
To withdraw the member from one or more dates:

In the Withdraw Registrant window, enter an optional Reason.

Note: Admins can withdraw a member from multiple drop-in dates in a single action using the date checkboxes in the Withdraw Registrant window.
Full Event Registration and Withdrawal
Registration
The member clicks Register for Full Event to register for all event dates at the full price. The registration screen shows all dates included and the total due. The member clicks Finalize Registration to complete enrollment.
Member Withdrawal
A full event registration appears as a single booking card in My Bookings under the Active tab, showing the full date range rather than individual dates.
To withdraw:
Open the booking card.
Click or tap Edit Registration, then Withdraw.
