How To Activate and Customize Event Restrictions

INTRODUCTION

Feature Summary: If your club would like to enable event restrictions, you must contact CourtReserve Support team to have this feature activated. Once activated, this feature applies only to Drop-In and Single-Date event registrations.

Event Restrictions allow clubs to control when and how often members can register for Drop-In and Single-Date events based on membership type. After selecting the event categories the restrictions apply to, administrators can define specific limits for each membership, ensuring fair access, reducing over-booking, and minimizing manual oversight.

Use Cases:

  • Limit how often basic or trial members can register for popular drop-in events

  • Give premium memberships higher or unlimited access to events

  • Prevent a single family from registering for too many event slots in a short period

  • Reduce event hoarding by enforcing time gaps between registrations

  • Allow restrictions to relax automatically as an event gets closer

Once Event Restrictions are activated, navigate to SETTINGS > BOOKING SETTINGS > Event Restrictions:


How Event Restrictions Work

  1. Select the Event Categories that the restrictions should apply to.

  2. Review the available restriction options.

  3. Configure limits per membership type.

  4. Save your settings to enforce restrictions automatically during member registration.

Reminder: Each membership type can have its own unique limits.

Select the event categories you would like to apply restrictions to. Note: Restrictions will apply only to the event categories selected.


Enter Event Restriction Options

By Registration Count

These settings limit how many event slots a member can register for within specific time frames.

  • Number of Slots a Member Is Allowed to Register per Day: Limits the total number of event registrations a member can make in a single day.

  • Number of Slots a Member Is Allowed to Register per Week: Limits the total number of event registrations a member can make in a week.

  • Number of Slots a Family Is Allowed to Register per Day: Limits the total number of event registrations across all members in a family account per day.

  • Number of Slots a Family Is Allowed to Register per Week (Mon–Sun): Sets a weekly registration limit across the entire family account.

  • Number of Slots a Member Is Allowed to Register for the Next 7 Days: Limits how many upcoming event registrations a member can hold at one time for the next 7 days.

  • Number of Slots a Family Is Allowed to Register for the Next 7 Days: Limits the total number of upcoming event registrations across a family account for the next 7 days.

  • Number of Total Outstanding Slots a Member Is Allowed to Register: Lmits the total number of future event registrations a member can have at any given time.

    Example: If the maximum is set to 4 outstanding registrations, the member may hold up to four upcoming event spots at once. As soon as one of those events is completed, it automatically “rolls off,” leaving the member with 3 outstanding registrations and the ability to register for another event.

  • Number of Total Outstanding Slots a Family Is Allowed to Register: Caps the total number of future event registrations across all members in a family account.

Note: Unlike 7-day restrictions, outstanding restrictions are not time-based. An outstanding registration refers to any upcoming event the member is currently registered for, regardless of when it occurs. These limits apply until the event is completed, at which point it automatically rolls off the outstanding count.


Real-World Example: Event Restrictions by Registration Count

A club offers popular Pickleball Social drop-in events that tend to fill quickly. To balance access and reward higher-tier members, the club sets different event restrictions by membership type.

Basic Membership

  • Members can register for 1 Pickleball Social per day

  • Members can hold up to 10 total outstanding Pickleball Social registrations at any time

Tier 1 Membership

  • Members can register for up to 2 Pickleball Socials per day

  • Members can hold up to 20 total outstanding Pickleball Social registrations at any time

How this works in practice

  • A Basic member can sign up for one Pickleball Social per day. If they try to register for another on the same day, the system blocks the registration.

  • A Tier 1 member can register for two socials in a single day, giving them more flexibility and priority access.

  • Once a Pickleball Social event ends, it automatically “rolls off” a member’s outstanding count, allowing them to register for future events without staff intervention.

This setup ensures fair access to high-demand events, reduces front desk management, and clearly differentiates membership benefits—all handled automatically by CourtReserve.


Time Between Registrations

These settings enforce a minimum waiting period between event registrations.

  • Time Between Registrations per Member: Requires a set amount of time to pass before a member can register for another event.

  • Time Between Registrations per Family: Requires a set amount of time to pass before any member in a family account can register for another event.


Bypass Restrictions

  • Bypass Restrictions if Time Is X Hours Out: Allows all restrictions to be ignored once an event is within a specified number of hours of starting. This helps fill last-minute spots and maximize participation.


Real-Life Example: Adding Time-Based and Bypass Restrictions

In addition to registration count limits, the club decides to add time-based restrictions to further manage demand for Pickleball Social events and reduce last-minute congestion.

Time Between Registrations

To prevent members from signing up for multiple events back-to-back, the club sets the following:

  • Time Between Registrations per Member: Members must wait 2 hours between registering for Pickleball Social events.

How this works in practice

  • If a member registers for a Pickleball Social at 9:00 AM, they cannot register for another until 11:00 AM.

Bypass Restrictions for Last-Minute Openings

To ensure events don’t go unfilled, the club enables a bypass window:

  • Bypass Restrictions if Time Is X Hours Out: Set to 4 hours before the event start time.

How this works in practice

  • Once a Pickleball Social is within 4 hours of starting, all event restrictions are ignored.

  • Any eligible member can register, regardless of event restrictions in place.

This allows the club to maximize participation and fill last-minute spots without front desk involvement.


USER PERSPECTIVE

In this example, the member is limited to one Pickleball Social event per day. They can successfully register for the first event, but when they attempt to register for an additional event on the same day, the system blocks the registration.
