Beta Status: Pulse AI Assistant Connector

Ask Questions About Your Pulse Data Directly in Claude, ChatGPT, and Other AI Assistants

Written by Mari Bern

This feature is currently in Beta, meaning it is actively being tested and refined before a full release. It is not available to all organizations. Access is limited to clubs in CourtReserve's Early Access Groups. To request access, contact our Customer Support team via live chat or email.

Introduction

Feature Summary: The AI Assistant connector links CourtReserve Pulse to AI tools like Claude and ChatGPT, so system users can ask questions about your club's Pulse data without leaving the chat. It works like Ask Pulse, but questions count toward each user's own account limits instead of your club's Ask Pulse limit.

Use Cases:

  • Ask questions about sales, court utilization, and member engagement in the AI assistant your staff already use

  • Keep asking Pulse questions after your club reaches its Ask Pulse usage limit

  • Use Pulse answers alongside other work in your assistant, such as drafting a board update or a staff email

  • See which system users have connected, and limit or revoke their access when needed

Overview

What Is the AI Assistant Connector?

The AI Assistant connector within CourtReserve Pulse lets system users connect Ask Pulse to their own AI assistant account, such as Claude or ChatGPT. Once connected, they can ask questions about your club's Pulse data directly in that assistant.

The AI Assistant connector is an MCP connector, so you don't need any technical setup. You only need your club's server URL, which you can find in CourtReserve.

Your AI assistant only sees totals and aggregates from your club's Pulse data, never member names.

What Is an MCP Connector?

MCP (Model Context Protocol) is an open standard that lets AI assistants connect to other software. You can think of it like a universal adapter. Instead of each AI assistant needing its own custom setup for every product, one MCP connector works with any assistant that supports the standard.

With an MCP connector in place, your AI assistant can pull information from that software while you chat, rather than relying only on what it already knows. For the AI Assistant connector, this means your assistant can look up your club's Pulse data to answer your questions.

An MCP connector only gives your assistant access after you log in and approve the connection. The AI Assistant connector is read-only, and it only shares totals and aggregates from your club's Pulse data, never member names. Your assistant can't make changes in CourtReserve. CourtReserve records what your assistant requests, not the wording of your conversation. You can disconnect it at any time.

How Is This Different From Ask Pulse?

Ask Pulse is the chat built into the Pulse dashboard. Each club has a limit on how many questions it can ask in Ask Pulse. With the AI Assistant connector, questions go through your own AI account instead, so they count toward that account's usage limits, not your club's Ask Pulse limit.

To learn more about the built-in chat, see Ask Pulse.

What Can I Ask?

Your AI assistant can answer questions about the areas of Pulse you have access to. Each area requires access to a Pulse tab.

Your AI assistant can't answer questions about anything outside Pulse.

Your assistant can answer questions about totals and trends, such as how many players haven't booked in 30 days. It can't list member names. For a named list of players, use Pulse in CourtReserve, for example the Players by Spend list on the Engagement tab.

Supported AI Assistants

  • Claude: Available now

  • ChatGPT: Available now

  • Google Gemini: Coming soon

  • Microsoft Copilot: Coming soon

Availability

During Beta, the AI Assistant connector is only available to clubs in CourtReserve's Early Access Groups.

Note: At full release, the AI Assistant connector will be available to all clubs with CourtReserve Pulse, except those on Legacy pricing plans.

Who Can Connect an AI Assistant?

To connect an AI assistant, a system user must be one of these:

  • Admin: Admins can connect, and can ask about every Pulse area.

  • Sub-Admin: Sub-Admins need the Can View CourtReserve Pulse permission, plus access to at least one Pulse tab. Their assistant can only ask about the Pulse tabs they can see.

Only Admins can open the AI Assistant setup page to view, edit, or revoke connections.

Note: You can't connect an AI assistant while signed in to the Enterprise portal. Sign in to the club you want to connect.

How Connections Work

Each system user connects their own AI assistant account. When someone connects, they log in with their CourtReserve login and approve the connection. They also choose when it expires. Their assistant can then only access what that system user can see in CourtReserve. If they lose access to a Pulse tab, their assistant loses access to it too, starting with its next question.

A connection is for the club the system user is signed in to. If they have access to several locations, they can choose which locations to include.

Every connection appears on the AI Assistant setup page in CourtReserve, along with when it was last used, how much it's been used this month, and when it expires. Admins can limit what a connection can ask about, or revoke it at any time.

Navigation

Open the AI Assistant Setup Page

  1. In the admin panel, go to Settings.

  2. Under Additional Features, click Additional Features.

  3. In the Integrations section, find AI Assistant and click Setup.

After initial setup, click the AI Assistant icon in the Additional Features section of Settings to go straight to the settings page.

You can also go to the Settings tab in Pulse and click Manage connected assistants on the AI Assistant connector card.

Find Your Server URL

You need your club’s server URL to add the connector to Claude or ChatGPT. You can copy it from either of these places:

  • The AI Assistant setup page

  • The AI Assistant connector card on the Pulse Settings tab

Settings

AI Assistant Setup Page

The AI Assistant setup page is where Admins manage the AI Assistant connector for your club. From here, you can copy your server URL, see every connection made at your club, limit what a connection can ask about, and revoke access when needed. You can also review the audit log for a history of connection activity. Only Admins can open this page.

  • Server URL - The address you add to your AI assistant as a custom connector. Click the copy icon next to the URL to copy it.

  • Search - Find a connection in the list.

  • Connections list - Every AI assistant connected to your club's Pulse data. If no one has connected yet, the list shows No connections.

    • Name - The AI assistant that connected, e.g. Claude (claude.ai).

    • Status - Whether the connection can be used:

      • Active - The connection hasn't expired or been revoked.

      • Expired - The connection has passed its expiration date.

      • Revoked - An admin revoked the connection.

    • Locations - The locations the connection covers. This is only filled in when a connection covers more than one location.

    • Can Ask About - The Pulse areas the assistant can answer questions about. All tools means every area.

    • Last Used - The last time the assistant used the connection. Shows Never if the assistant hasn't used it yet.

    • Questions This Month - How many times the assistant requested data from CourtReserve this month, including requests that failed or weren't allowed. A single question can count more than once if the assistant needs several types of data to answer it, or not at all if the assistant reuses data from earlier in the chat. The count resets on the 1st of each month (UTC).

    • Expires - When the connection expires.

    • Created - The date and time the connection was made.

    • Created By - The login of the system user who connected the AI assistant.

Expired and revoked connections stay in the list as a record, but they can't be edited or reactivated. To use the connector again, the system user needs to reconnect, which creates a new connection.

Edit a Connection

You can limit which Pulse areas an AI assistant can ask about, and at which locations. The assistant still can't see anything beyond what the system user who connected it can see.

  1. In the connections list, click the ... at the end of the connection's row.

  2. Click Edit.

  3. Under Locations, check the locations the assistant can ask about. This section only appears if the system user who connected has access to more than one location. The club they connected from is always included.

  4. Under Can ask about, check the Pulse areas the assistant can answer questions about, and uncheck any you want to block. At least one area must be checked.

  5. Click Save.

Note: Only the system user who connected the assistant can change its locations. For anyone else, the Locations checkboxes are grayed out.

Note: If a Pulse area shows Not available at the selected locations, none of the locations you've checked offer that area. This can happen if the system user who connected doesn't have access to that Pulse tab at those locations.

Note: Editing a connection doesn't change its expiration date. To extend access, the system user needs to reconnect when the connection expires.

Revoke a System User's Access

  1. Go to Settings > Additional Features > AI Assistant.

  2. In the connections list, click the ... at the end of the connection's row.

  3. Click Revoke, then confirm.

The assistant stops working immediately, and the connection's status changes to Revoked. If the connection covers several locations, it's revoked for all of them.

Note: Only Active connections can be edited or revoked.

Audit Log

The audit log shows a history of AI assistant connections at your club, including when a connection is made, edited, declined, or revoked. Questions asked through the connector aren't recorded here. To see how much a connection is used, check Last Used and Questions This Month in the connections list.

  1. On the AI Assistant setup page, click Audit Log in the top-right corner.

  2. Review the entries:

    • Action Type: The type of action taken:

      • Create - An AI assistant was connected.

      • Edit - A connection's locations or Pulse areas were changed.

      • Cancel - A connection request was declined.

      • Delete - A connection was revoked.

    • Action By: The system user who took the action. (A) after the name means an Admin, and (SA) means a Sub-Admin.

    • Created On: The date and time of the action.

    • Name: The AI assistant the action applies to, e.g. Claude (claude.ai).

    • Description: What happened. For new connections, this includes the expiration date, and you can click Can ask about to see which Pulse areas the connection includes.

  3. Use Search to find specific entries, and choose how many rows to show per page at the bottom of the list.

  4. Click Close when you're done.

Note: For connections that cover several locations, an entry is recorded at each location.

Connect Your AI Assistant

Connecting takes three steps:

  1. Copy your server URL from CourtReserve.

  2. Add the connector in your AI assistant.

  3. Log in to CourtReserve and approve the connection.

Connect Claude

Before You Start

  • An Owner or Primary Owner of your Claude organization must add the connector first.

  • You can't add the connector from the Claude mobile app. Once it's added on the web or desktop, it's available on mobile too.

  1. In Claude, click Customize in the left sidebar.

  2. Click the Connectors tab, then click Add.

  3. Click Add Custom Connector

  4. Enter a name, such as "CourtReserve Pulse," and paste your server URL.

  5. Click Add, then Connect.

  6. Log in to CourtReserve and approve the connection.

Approve the Connection in CourtReserve

After you click Connect in your AI assistant, CourtReserve opens so you can log in and approve the connection.

  1. Log in with your CourtReserve login, signed in to the club you want to connect.

  2. On the Connect an AI assistant screen, review the Connection request:

    • App - The AI assistant asking for access, e.g. Claude (claude.ai).

    • Club - The club the assistant will connect to. This is always the club you're signed in to.

    • Returns to - Where you'll be sent after approving.

  3. If you have access to more than one location, review Connect these locations. The club you're signed in to is always included. Other locations you can connect are checked by default, so uncheck any you want to leave out.

  4. Review The assistant can ask about. This lists the Pulse areas you have access to.

  5. Under Expires in, choose when the connection should expire: 30 days, 90 days, 180 days, 1 year (default), or 2 years.

  6. Click Allow. You're sent back to your AI assistant, and the connector is ready to use.

Note: Only allow a connection you just started from your AI assistant. If you didn't start one, click Deny.

Note: Connection requests expire after 10 minutes and only work in the browser where you started them. If your request expires, start again from your AI assistant.

Note: To connect a different club, switch to that club in CourtReserve, then start again from your AI assistant. To include a location that's grayed out, open it once from Enterprise > Locations > Access, then connect again.

Answers are sent to the AI assistant named under App and are handled under that assistant's own terms.

Use the Connector in Claude

  1. In a Claude chat, click + in the message box.

  2. Select Connectors, then turn on CourtReserve Pulse.

  3. Ask your question. If your connection covers several locations, include the location in your question.

Claude shows when it uses CourtReserve Pulse, along with the tool it used, such as Get court performance. Click the tool name to see more detail.

For example:

  • What were our headline metrics for last month?

  • Which courts had the lowest utilization last week?

  • What's our revenue breakdown for September?

Note: The figures come from your club's Pulse data, but your AI assistant may add its own explanations or suggestions, such as possible reasons for a trend. To confirm a figure, check the same date range in Pulse.

Manage the Connector in Claude

After you connect, you can choose when Claude is allowed to use CourtReserve Pulse, or disconnect it.

  1. In Claude, click Customize in the left sidebar.

  2. Click the Connectors tab, then Yours.

  3. Click CourtReserve Pulse.

  4. Under Tool permissions, review the Read-only tools. Each tool looks up one area of your Pulse data, such as Get metrics or Get revenue breakdown.

  5. Choose when Claude can use the tools:

    • Always allow - Claude uses the tools without asking. This is the default.

    • Needs approval - Claude asks you before each use.

    • Blocked - Claude can't use the tools.

    • Custom - Set a different permission for each tool, using the icons next to it.

Note: You can also get here from a chat. Click +, select Connectors, then click Manage connectors.

Note: If your club uses a Claude Team or Enterprise plan, you'll only see the tools your Claude organization has given you access to.

To disconnect, click Disconnect at the top of the page. Disconnecting in Claude doesn't end the connection in CourtReserve. It stays Active on the AI Assistant setup page until it expires or an admin revokes it. To fully remove access, revoke the connection in CourtReserve.

Connect ChatGPT

Before You Start

  • Plan: Adding the connector requires a paid ChatGPT plan: Plus, Pro, Business, Enterprise, or Edu.

  • Workspaces: On a Business, Enterprise, or Edu workspace, your workspace admin may need to add the connector for you.

  • Mobile: You can’t add the connector from the ChatGPT mobile app.

Add the Connector

  1. In ChatGPT, go to Settings > Plugins, then click Browse directory.

  2. Click Add, then Add custom MCP server.

  3. Enter a name, such as “CourtReserve Pulse,” and paste your server URL under Connection. Leave the other settings as they are.

  4. Check I understand and want to continue, then click Create as a plugin.

  5. Click Connect.

  6. Log in to CourtReserve and approve the connection.

Note: If your workspace admin has already added the connector, go to Settings > Plugins > Browse directory, open the tab with your workspace’s name, and click + next to the connector. Then log in to CourtReserve and approve the connection.

Use the Connector in ChatGPT

Ask your question in any ChatGPT chat. ChatGPT uses CourtReserve Pulse when your question is about your Pulse data. If your connection covers several locations, include the location in your question.

Note: If ChatGPT answers without using your Pulse data, type @, select CourtReserve Pulse, and ask again.

Manage the Connector in ChatGPT

  1. In ChatGPT, go to Settings > Plugins.

  2. Click CourtReserve Pulse.

  3. Choose what to do:

    • Reconnect: To reconnect after your connection expires or is revoked, click ... next to your account under Connected accounts, then click Reconnect.

    • Uninstall: To remove the connector from ChatGPT, click Uninstall.

Note: Uninstalling the connector in ChatGPT doesn’t end the connection in CourtReserve. It stays Active on the AI Assistant setup page until it expires or an admin revokes it. To fully remove access, revoke the connection in CourtReserve.

Common Questions

Which AI assistants can I connect?

Claude and ChatGPT are available now. Google Gemini and Microsoft Copilot are coming soon.

Do questions asked through the connector count toward our Ask Pulse limit?

No. Questions asked through the connector count toward your AI assistant account's usage limits, not your club's Ask Pulse limit. CourtReserve doesn't set a monthly limit on the connector.

Why don't I have access to the AI Assistant connector?

The AI Assistant connector is in Beta and only available to clubs in CourtReserve's Early Access Groups. To request access, contact our Customer Support team via live chat or email.

Can my AI assistant make changes in CourtReserve?

No. The AI Assistant connector is read-only. Your AI assistant can view your club's Pulse data to answer questions, but it can't create, edit, or delete anything in CourtReserve.

What can my AI assistant access?

Only what you can see in Pulse. When you connect, your assistant uses your CourtReserve login, so it follows the same permissions and location access you have. It only receives totals and aggregates, never individual member names.

Can my AI assistant see member names?

No. Your AI assistant only receives totals and aggregates from your club's Pulse data, such as sales, utilization, and player counts. Individual member names never leave CourtReserve. If you need a list of players by name, use Pulse in CourtReserve. Example shown here:

Does CourtReserve see my conversations with my AI assistant?

No. CourtReserve records what your assistant requests, such as a revenue total for last month, but not the wording of your conversation or the assistant's replies.

What happens to Pulse data once it reaches my AI assistant?

Answers are sent to the AI assistant you connected and are handled under that assistant's own terms.

How current is the data?

Your AI assistant uses the same nightly Pulse data as the dashboard. If the data is out of date, your assistant will let you know.

Can I connect more than one club?

Each connection is for the club you're signed in to. To connect another club, switch to it in CourtReserve, then start again from your AI assistant. If you have access to several locations, you can include them in one connection when you approve it.

Why isn't my assistant working when the connection shows Active?

Active only means the connection hasn't expired or been revoked. Your assistant also needs you to have access in CourtReserve. It can't answer if you're no longer an active system user at the club, you've lost access to Pulse, or you don't have access to the Pulse area it's asking about. When your access is restored, the assistant works again without reconnecting.

Can a connection last forever?

No. Every connection expires, from 30 days up to 2 years after it's created. When it expires, reconnect from your AI assistant. In ChatGPT, use Reconnect.

Why can't I add the connector in Claude?

If you're on a Claude Team or Enterprise plan, an Owner or Primary Owner must add it first. If you're on the Free plan, you may already be using your one custom connector. You also can't add connectors from the Claude mobile app.

Why can’t I add the connector in ChatGPT?

Adding the connector requires a paid ChatGPT plan: Plus, Pro, Business, Enterprise, or Edu. On a workspace, your workspace admin may need to add it for you. You also can’t add connectors from the ChatGPT mobile app.

How do I disconnect?

To fully end a connection, an Admin revokes it from the AI Assistant setup page in CourtReserve. Removing the connector from Claude or ChatGPT, by clicking Disconnect in Claude or Uninstall in ChatGPT, removes it from that platform, but the connection stays Active in CourtReserve until it expires or is revoked.
