Introduction
Feature Summary: When an event doesn't appear on the member portal, mobile app, or scheduler, the cause is almost always a setting on the event, its event category, or your portal settings. This article walks through each common cause and where to fix it.
Use Cases:
Find out why members can't see an event
Show an event to a membership type that can't currently see it
Make future event dates appear on the event list
Locate a specific event date that's hard to find on the event list
Display an event on the scheduler
Overview
Event visibility is controlled in three places: the event category, the event itself, and your portal settings. A setting in any one of these can hide an event from everyone, from certain members, or only on certain dates.
Start Here: Check From the Member Portal
Before changing any settings, log in to the member portal and look for the event yourself.
If you can't see it either, the event is likely hidden from everyone. Start with The Event Is Hidden From Everyone below.
If you can see it but a member can't, the cause is likely their membership type or the event's registration restrictions. Go to The Event Is Hidden From Some Members.
Note: What you see in the member portal depends on your own membership. If your membership type isn't set to view the event, you won't see it either.

Common Causes and Fixes
The Event Is Hidden From Everyone
If no one can see the event in the member portal, check the event category first, then the event's own hide setting.
The Event Category Isn't Public
Events only appear to members when their event category is set to public.
Navigate to Settings > Event Settings > Event Categories.
Click the event category the event is assigned to. The Edit Event Category window opens.
Check Is Public.
Click Save.
Note: Is Active doesn't hide a category's events. Unchecking it only removes the category from the category filters on the event list and Public Booking.
The Event Is Hidden on Event Lists and Calendars
An individual event can be hidden even when its category is public.
Open the event and go to General Info.
Click the Additional Setup tab.
Uncheck Hide Event on Event List and Calendars.
Click Save.
The Event Is Hidden From Public Booking
If the event appears in the member portal but not on Public Booking, check the event's public registration setting. This setting is on the same tab as Hide Event on Event List and Calendars.
Open the event and go to General Info.
Click the Additional Setup tab.
Uncheck Hide Event from Public Registration. When checked, players viewing the Public Booking event list can't see the event.
Click Save.
Note: This setting doesn't hide the event in the member portal. It also hides the event from Player Network.
The Event Is Hidden From Some Members
If some members can see the event and others can't, the difference is usually their membership type or the event's registration restrictions.
The Member's Membership Type Can't View the Event
Each event controls which membership types can see it. This is separate from the event category's Is Public setting.
Open the event and go to General Info.
Click the Event Setup tab.
Find the member's membership type in the list and check its box in the Is Public column.
Click Save.
Note: This also applies to system users. If your own membership type isn't checked, you won't see the event in the member portal either.
To make the event visible to every membership type at once, check the box under the Is Public column heading.
Note: Players who aren't logged in, such as those opening a public event filter link, see events based on your club's public or non-member membership type.
Note: If a membership type has Is Public checked but Allow Online Registrations unchecked, those members can see the event but can't register for it. Unchecking Is Public also clears Allow Online Registrations and the other registration settings for that membership type.
Registration Restrictions Are Hiding the Event
An event can be set to hide itself from members who don't meet its registration restrictions. For example, if the event only allows certain rating categories, members without one of those ratings won't see it at all.
Open the event and go to General Info.
Click the Registration Restrictions tab.
Review the gender, age, rating, and member group restrictions to confirm the member should be excluded.
To show the event to members who don't meet the restrictions, uncheck Hide Event if Member does not match Restrictions.
Click Save.
Note: Unchecking this setting makes the event visible, but members who don't meet the restrictions still can't register. The event can also stay hidden if the member's Hide Full / Ineligible filter is on. See Full or Ineligible Events Are Missing below.
Future Event Dates Are Missing
If an event shows up but its later dates don't, your portal settings may limit how far ahead events appear on the event list.
Navigate to Settings > Portal Settings > Setup.
Find Hide Event Dates More Than X Days Out From Appearing on the Event List.
Enter a number of days that covers the dates you want members to see. If this field is blank, events appear up to 90 days ahead.
Click Save.
For example: If this is set to 30 days and your event runs for three months, members only see the dates within the next 30 days.
Note: This setting applies to all events on the event list, and only sets the default date range. Members can still choose dates further out using the Dates filter on the event list. The minimum value is 7 days.
A Specific Event Date Is Hard to Find
If an event has multiple dates and you can't find one of them on the event list, check whether your Event List Display Type is Grouped or Expanded.
Grouped (Show Upcoming Dates Link) - Shows each event once, with a link to view its upcoming dates. Individual dates aren't listed separately.
Expanded (Show Each Occurrence on the List) - Lists every event date as its own entry, so each date is easier to find.
To change it:
Navigate to Settings > Portal Settings > Setup.
Under Event List Display Type, select Grouped or Expanded.
Click Save.
Full or Ineligible Events Are Missing
The member portal event list has a Hide Full / Ineligible filter. When Default Hide Ineligible/Full Events is checked in your portal settings, that filter starts out checked for every member, so these events are hidden unless the member turns the filter off.
With the filter on, an event is hidden from a member if any of these apply:
The member doesn't meet the event's gender, age, rating, or member group restrictions.
The event, or an upcoming date, has no spots left.
Registration is closed for the member. This includes Allow Online Registrations being unchecked for their membership type, or the registration window not being open yet or already closed.
To show these events by default:
Navigate to Settings > Portal Settings > Setup.
Uncheck Default Hide Ineligible/Full Events.
Click Save.
Members can also uncheck Hide Full / Ineligible on the event list themselves to see these events.
Note: Showing these events doesn't let members register for them. A saved event filter link can also have its own hide setting, which overrides this default for members who use that link.
The Event Isn't on the Court Scheduler
An event needs at least one court assigned to appear on the court scheduler, for both system users and members. Each event date is checked on its own, so a date without a court won't appear even if the event's other dates do. Events without a court still appear on the event calendar and event list, and can appear on the instructor or resource scheduler if an instructor or resource is assigned.
Open the event and go to General Info.
Scroll to Courts.
In Courts, select the courts the event uses. If you've selected court types in Court Types, only courts of those types are listed. Leave Court Types blank to list courts of every type.
Click Save.
The Court Is Hidden on the Member Portal
If an event shows on the admin scheduler but not on the member portal court scheduler, check the court it's assigned to. The member portal scheduler only shows courts that are visible on the member portal, so events on a hidden court don't appear there.
Navigate to Settings > Court & Resource Settings > Courts.
Click the court the event is assigned to. The Edit Court window opens.
Check Is Visible on Member Portal?.
Click Save changes.
Note: Hiding a court only affects schedulers. The event still appears on the event list, the calendar, and Public Booking, and members can still register.
Note: You can't disable a court that has upcoming reservations or events, and disabled courts can't be selected for future events.
Other Reasons an Event May Not Appear
If none of the settings above explain it, check these:
The event or date is canceled - Canceled events and canceled individual dates don't appear on the event list.
The date has already started - Dates appear only until they start, unless the event allows members to register after it starts.
The member's own filters - Category, tag, price, time of day, day of week, and search filters stay applied for a short time after a member sets them. Ask the member to clear their filters.
An event filter link - A saved event filter link can show only some events. Check the filter the link uses.
The member can't access the Events page - Members need a valid membership and an approved account.
Frequently Asked Questions
Why can members see my event but not its court?
Your club may have Hide Court Assignment on Member Portal turned on. This hides court names on event details in the member portal and on Public Booking, and also hides court details in member reminder notifications. To show courts, navigate to Settings > Portal Settings > Setup and uncheck Hide Court Assignment on Member Portal.
Why can members see my event but not register for it?
Check the event's Event Setup tab. If Allow Online Registrations is unchecked for a member's membership type, they can see the event but can't register. Registration also isn't available before the registration window opens or after it closes, or if the member doesn't meet the event's registration restrictions.
I've checked every setting and a member still can't see the event. What else should I check?
The cause may be on the member's side. Ask the member to:
Update the mobile app to the latest version.
Clear any filters on the event list, such as category, tag, price, time of day, or day of week.
Uncheck Hide Full / Ineligible on the event list.
Use the Dates filter to choose dates further out, if the event is more than a few weeks away.
Make sure they're logged in to the member portal or mobile app.
Open the event list directly instead of through a saved event filter link.
