Additional Event Settings

This article will cover additional settings found during Event Setup, including Registration Restrictions and Embed Codes / Links

Overview of the Additional Settings for Events

To locate the settings covered in this article, go to an Event's General Info tab and scroll to the bottom of the page. Look for the following list of tabs:

Description Tab

This tab system users can input a description that will be shown to players registering for the Event on the Member Portal. Here are a few key settings to know about on the Description Editor:

  1. Insert Hyperlink -- add a URL to a text element in the description

  2. Insert Picture

  3. Change Font -- uses one of the supported fonts in CourtReserve

  4. Change Font Size

Registration Restrictions

These settings are used to limit registration to an event to only a subset of your members/players.

Hide Event if Member does not match Restrictions - When checked, any member/player who does not meet ALL registration restrictions set on this page will not see this Event appear on the Event List or Event Calendar, and the time and court will only show "Reserved" to them on Schedulers and will not show any event info. Note that this setting will hide the event from players even if their membership type would allow them to see the event as "public".

Age Restrictions - Specifies a minimum and/or maximum registration age (inclusive) for the Event. Note that when enabled, registrants MUST have a Date of Birth on their profile, otherwise the system will assume they are not eligible.

Rating Restrictions - Restrict registration to a specific Rating Category and specific Rating(s) within that category. Multiple Rating values can be entered / selected in the "Allowed Rating" field.

Select the Rating Category first to show the Allowed Ratings field:

Member Groups - Specify a Member Group to restrict registration to. Note that only STATIC Member Groups are eligible for restriction at this time. For other dynamic groups that needs to be filtered, consider using a Rating Category restriction instead, or contact our support team for assistance with a solution for your specific needs.

Waivers Setup

This section of events is for Event Specific waivers. Do you have a waiver that you only want to be signed for this specific event? If so, you can apply to the event.
Waivers that are included in Signing Rules cannot be added to an event.

Guests Setup

The Guests Setup tab enables and defines how members can bring additional guests as part of their registration for the Event. Note that there is not currently a way for a true Guest (someone without a CourtReserve account) to register for an event. They will need to either be (A) registered along with the member bringing them, or (B) added by a System User.

Total Guest(s) Allowed for each Event Occurrence (1) - This setting determines a maximum TOTAL amount of guests that are allowed on a single event occurrence. This setting takes precedence over Max Guests (3), meaning that even if a membership type has the ability to bring 1 guest by Max Guests, if the Total Guests is reached, members will no longer be able to register with guests.

Allow Guests (2) - This determines whether a Membership Type can bring guests.

Max Guests (3) - This setting determines the amount of allowed guests per player registration. If left blank, there is currently a limit of 10 Guests that can be added per registration.

Embed Code

Under the Embed Code tab, you will find a URL and full HTML code for use in linking to / displaying this Event as needed. Note this tab will only appear after initial event creation, when you first save the event.

The URL is a great tool to use to direct members directly to Event Sign-Up via an email blast from your organization, or for putting in a website element as a link directly to the event.

The Embed Code is for web developers who would like to embed a visual element in an external website outside of CourtReserve. It is not necessary or supported to use the embed code on the courtreserve.com domain. For further questions on setting up the Member Portal and linking to events, see our website setup articles.
