Batch Billing: Regenerating Voided Invoices

Recreate a Voided Invoice on the Batch Billing Dashboard

Written by Ashley Owens

Introduction

Feature Summary: Regenerate an invoice that was voided.

Use Cases: If an invoice is voided, either manually or automatically by the system, the void can’t be reversed. Regenerating creates a new copy of the same invoice with the same line items and amounts.

Important: You can’t edit invoice details when you regenerate. If the amount, items, or due date need to change, don’t regenerate. Create a new invoice instead. See Batch Billing: Generating an Invoice for Individual Member.

Prerequisites

Enable the Batch Billing add-on and complete the setup process.

How to Regenerate a Voided Invoice

  1. Log in to the admin dashboard.

  2. Go to the side menu and click TRANSACTIONS > BATCH BILLING.

On the next page:

  1. Select a row in the Batch Billings table.

  2. Scroll down and click the Invoices tab.

  3. Locate the voided invoice and click the Regenerate button.

On the Regenerate Invoice pop-up:

  1. Confirm the invoice details are correct. These fields are read-only.

  2. Choose the invoice terms: keep the default Generate Invoice Only or select Generate Invoices & Collect Payment.

  3. Click Regenerate.

CourtReserve displays the Invoices table on the Batch Billings page. The table shows two rows: a Voided - Regenerated line and a payment status line. In the screenshot below, the status is Pending Payment.

Need to Change the Invoice?

Regenerate only recreates the original invoice. To bill a different amount, or to split a balance across multiple payments or due dates:

  1. Void the incorrect invoice if you haven’t already. See Batch Billing: Manually Void Invoices.

  2. Create a new invoice for each amount and due date you need. See Batch Billing: Generating an Invoice for Individual Member.

Player Perspective

On the member portal, players can see two rows on the Invoices table: the regenerated invoice and a new invoice with a PAY button.
