Adding Event Notes

Display Program Information on Admin and Member Portals

INTRODUCTION

Feature Summary: Add event information onto events to optionally show on schedulers for admins and/or members.

Use Case: Display additional information on a specific events. If only admins can view the notes, internal staff notes can be included in these textboxes.

PREREQUISITES

System users should know how to create or edit Events.

If admins should view scheduler notes from the admin panel, confirm the platform can display notes on the scheduler.

  1. Go to SETTINGS > ORGANIZATION SETTINGS > GENERAL.

  2. Scroll down to the Show Events/Reservations Notes on Schedulers heading.

  3. Make sure the box is checked.

If members should view scheduler notes from the member portal, confirm the member portal can display notes on the scheduler.

  1. Go to SETTINGS > PORTAL SETTINGS > SETUP.

  2. Scroll down to the Show Events/Reservations Notes on Schedulers heading.

  3. Make sure the box is checked.


Note on Recurring Events

Create or edit a note for an event with recurring dates.

Opening the Events page

  1. Log in to the admin dashboard.

  2. Expand the EVENTS panel on the side menu.

  3. Click LIST. A new page displays.

  4. Locate the event to update and click the three-dot icon.

  5. Click Update. A new page displays.

Scroll down to the Note field. Type a message in the field and then click Save Changes.

CourtReserve adds the note to the event on the event calendar. Visibility will depend on if Show Events/Reservations Notes on Schedulers is enabled for admins (under Organization Settings > General), and for members (under Portal Settings > Setup).

Example on admin scheduler:

For events with recurring dates, the same message displays on each calendar day.

Example on member portal:


Note for a Single-Day Event

Display a note on schedulers for an event on a single date.

  1. Log in to the admin dashboard.

  2. Expand the EVENTS panel on the side menu.

  3. Click LIST. A new page displays.

  4. Locate the event to update and click the ID number. A new table displays.

In the table, click the pencil icon next to the date you want to add a note to.


In the popup window, scroll down to the Display Message for the Schedulers heading, type in a message, and click Save.

CourtReserve displays the note. Visibility will depend on if Show Events/Reservations Notes on Schedulers is enabled for admins (under Organization Settings > General), and for members (under Portal Settings > Setup).

Important

Note: Keep the following in mind when working with event notes:

  • For recurring events, on the member portal, a note added to a single date appears at the top of the event list registration page. On the event calendar, the note only displays on the date it was added.

  • Single-day events support only one note, which displays on both the admin scheduler and the member portal. Different notes cannot be made for the admin vs. player sides.

  • Event notes detailed in this article do not appear in any notifications sent to players. They are intended for use by system users managing schedules. To send a message to event registrants, select the event date and use Notify Players to send an email, text, or push notification.
