Create a Pickleball League's Session

INTRODUCTION

  • Feature Summary: Organize pickleball players, schedules, tournament rules, fees, match play, and dates.

  • Use Cases: Clubs use sessions to plan, create, and run pickleball league tournaments. Because each pickleball session is a stand-alone program on the CourtReserve platform, managing registrants, players, payments, and match play is remarkably efficient.

Opening a session page

The first step is to open the Create League Session page. There are two options.

  • Option 1 - Create a new session inside the new league workflow. Click the Create New Session button and follow the steps described below.

  • Option 2 - From the dashboard, go to the side menu, click LEAGUES > LIST, and then click the Sessions button. After that, click the Create New Session button and follow the steps described below.

Creating a session

System users can create multiple sessions (e.g. juniors, seniors, pro, etc) inside one league. Each session can have different game fees, rules, and registration requirements.

When players sign up for tournament play on the CourtReserve platform, they are joining a session.

On the Create League Session page:

  1. Enter a unique session name.

  2. Click the Rating Category field and select an option.

  3. Click the Eligible Ratings field and select one or more options to limit access.

  4. Optionally, check the Restrict By Age box and enter minimum and maximum age restrictions.

  5. Optionally, check the Time-Based option to set a match duration. This helps ensure rotations are completed on a schedule. If enabled, the match cards indicate a time limit is set per game. Your facility must track time because this feature does not come with an alarm. Admins can also set a Max Score (e.g. 21) for a game. This can prevent large point percentage gaps and create a more balanced and competitive environment.

Price and players

  1. Click the Price Type field and select an option: On League Registration (pay one fee to join the league) or On Each Opt-In Day (pay a separate fee for each day the player decides to attend).

  2. Click the Ranking Algorithm field and select an option: 1-up/1-down or
    ​Points Won %. Learn more.

  3. Set the maximum number of players that can register.

  4. Set the maximum number of players that can opt-in per game day.

Max movement

If the system user selects Points Won %, CourtReserve displays an Enable Max Movement box. When enabled, a player cannot move up too far based on a single day of play. Select a movement type (fixed or percent) and enter a value for the number of spots or a percentage.

Player permissions

Review these options and enable them as required.

  1. Check the box to enable a waitlist.

  2. Check the Allow 4-person Rotation Type and select an option (1 to 11, 1 to 15, 1 to 21, or 2 to 11).

  3. Check the Allow 5-person Rotation Type and select an option (1 to 11, 1 to 15, 2 to 11, or 2 to 7).

Check the boxes to enable these optional features and permissions:

  1. Show member and player names on the member portal.

  2. Players can withdraw on the member portal and go inactive.

  3. Players can report game scores on the member portal.

  4. Assign coordinator(s) to this specific session.

Sub-admins can be assigned the Coordinator role if organizations wish to give a sub-admin limited access to specific Leagues, League Sessions, or actions within managing Leagues. CLICK HERE to learn more on League Coordinators.

Configuring Set and Rules

Scroll to the bottom of the page and configure the Setup settings and session rules.

Setup tab

Click this tab to set fees and configure registrant access. System users can apply the same settings to each membership type or enter different settings.

  • League Price - Set the session price for each membership type. Apply one price for all or a different price for each membership type.

  • Is Public - Check this box to display the event on the portal of the selected member type.

  • Allow Online Registrations - Check this box to let members log into their CourtReserve account and register for the session.

  • Requires Approval - If enabled, a system user must manually approve each session registration. Go to the side menu and click the TO DO tab to approve registrants.

  • Registration Starts / Ends - Decide when members/players can begin registering for the session and the last day for registrations. Optionally, add a clock time for the start and end dates.

  • Opt-in Opens / Closes - Decide when members/players must opt-in for each match and the last day for registrations. Optionally, add a clock time for the start and end dates.

  • Show standings - Check the box to show player standings during match play on the member portal.

Rules tab

  1. Write/paste session rules into the field. Use the toolbar to add formatting.

  2. Click Save.

Embed Codes/Widgets tab

There are two options to promote your league code. Public League URL and Standings Public URL. Each option has a link that can be shared and a block of code that web developers can place a visual element in an external website outside of CourtReserve. Do not embed code on the courtreserve.com domain.


Saving Session

After the system user clicks Save, CourtReserve displays new menu tabs at the top of the page. This is where system users create a schedule and manage session data (i.e. players, standing, and waitlist).
