Manage Your Club from the Court with the CourtReserve Admin Mobile App

Note: This article covers the admin / system user side of the CourtReserve mobile app only. It does not cover the member/player mobile app experience.

INTRODUCTION

Feature Summary: The CourtReserve admin mobile app gives system users an admin view of their club, letting them manage schedules, events, members, closures, and global announcements from a mobile phone or tablet instead of a desktop computer. This means system users can handle situations as they come up, right from the courts, instead of stepping away to a computer. While the mobile app doesn't have the same broad functionality as the admin desktop, it offers many useful features that we'll outline in this article.

Use Cases:

  • Check players in for lessons, reservations, and events from the Who's Here Today screen

  • Let instructors view their own schedule, adjust court or time assignments, and cancel lessons on the go

  • Publish a global announcement to notify players of a weather delay or closure

  • Close courts for weather or maintenance without returning to a desktop

  • Monitor events for last-minute registration changes and add a registrant on-site

  • Look up a member's profile, edit their details, and check their login information from the court

Note on what's not available. The admin mobile app does not include:

  • Reports or CourtReserve Pulse analytics

  • POS, promo codes, or issuing refunds

  • Waivers

  • Creating or editing memberships, membership types, or packages

  • Adding new members or new system users

  • Club settings, integrations, or notification/email template setup


OVERVIEW

When a system user is added in CourtReserve, the system automatically creates a member profile using that same email address. This lets the system user toggle back and forth between the member side and the admin side of the app using one login while using their mobile phone or tablet.

By default, logging in to the CourtReserve mobile app opens the member (player) view. To reach the admin view shown throughout this article, tap More from the bottom navigation, then tap Admin Panel.

Note: The Admin Panel option only appears on the member More menu when the account is logged in with the email address used for that system user's admin login.

To switch back to the member view from the admin side, tap More > Member Portal.

What appears on the Home screen and inside the menu options depend on that system user's permissions. For example, an instructor account may only see the Instructor Scheduler, while an admin or sub-admin may see every scheduler set up for the club.

The admin view is organized around a bottom navigation bar with four main areas: Home, Schedulers, Events, and More. Members is also accessible from the Home screen menu.


Why Admin Panel might not show up

If a system user doesn't see Admin Panel under More, it's almost always an email mismatch between their system user login and the member profile they're logged in with on the app. Common causes:

  • The system user's email doesn't match their member profile's email. If either was changed after the accounts were created, or the system user was set up with a different email than their existing member record, the two accounts are no longer linked and Admin Panel won't appear.

  • There's a duplicate member profile. The person may be logged in on the app under a different, older member profile than the one tied to their system user account.

  • The same email is used across multiple organizations.

Permissions by menu item

What a system user sees on the admin mobile app depends on the permissions tied to their system user account. The table below maps each menu item to the permission that controls it.

Home

The Home screen is the main menu for the admin app. Depending on permissions and enabled features, a system user may see some or all of the following:

  • Schedulers - Opens the list of standard and custom schedulers available to that system user

  • Reservations - Manage court reservations

  • Events - Opens the Events menu (List, Categories, and Calendar)

  • Leagues - Manage league sessions and calendar

  • Members - Opens the member list

  • Global Announcements - Publish a message to players, such as a weather delay or maintenance notice.

  • Closures - Close one or more courts for weather, maintenance, or other reasons.

Note: Global Announcements and Closures are especially useful for handling weather-related situations in real time, since a system user can publish a notice and close affected courts without leaving the courts.

Real-Life Example: A system user is out on the courts and needs to handle several things at once, such as checking a player in, publishing a notice, or looking up a member, all from the Home screen menu instead of returning to a desktop.


Reservations

Tapping Reservations from the Home screen opens five options: Courts, Lessons, Resources, Events, and Who's Here Today.

Tapping Courts shows a searchable list of court reservations, including the reservation type, payment status, date and time, court, and player.

Tapping a reservation opens its Reservation Details screen, showing the reservation type, date and time, court(s), player, and cost and payment status. From here, a system user can:

  • Pay an outstanding balance

  • Edit the reservation

  • Check-In the player

  • View Players on the reservation

  • Cancel the reservation

Lessons and Resources follow the same pattern as Courts, showing bookings for instructor lessons and rentable resources.

Who's Here Today shows everyone with a reservation, lesson, or event for the current day, and is the main screen system users use to check players in from the court.

Real-Life Examples:

  • A member walks up to a court and says she has a reservation and doesn't know her court number, but the front desk staff is helping someone else. A system user opens Reservations > Courts, finds her reservation, confirms her court, and checks her in right from the courts.

  • A player wants to settle an unpaid balance before starting play. Instead of sending them inside, a system user opens the reservation and taps Pay on the spot.

  • A system user is walking the courts at the start of the day and uses Who's Here Today to confirm everyone scheduled has actually shown up, without checking a desktop screen.


Schedulers

Tapping Schedulers from the Home screen shows every scheduler the system user has permission to view. This can include standard schedulers as well as any custom schedulers your club has set up.

A club's list may include schedulers such as:

  • Scheduler - The club's main court scheduler

  • Instructor(s) - Shows lessons by instructor

  • Resource(s) - Shows bookings by resource

  • Consolidated - Combines multiple schedulers into one view

  • Custom schedulers - Any additional schedulers your club has created, such as sport- or membership-specific schedulers

Note: A system user with limited permissions, such as an instructor, may only see the Instructor Scheduler in this list rather than the full set shown above.


Instructor Scheduler

A system user with access to the Instructor Scheduler — typically an instructor — can view their schedule in Day or Weekly format and tap a lesson to see its details.

Tapping a lesson opens the Lesson Details screen, showing the lesson type, date and time, instructor, court, and player(s). From here, a system user can:

  • Edit the lesson

  • Check-In the player

  • View Players on the lesson

  • Cancel the lesson

Canceling a lesson opens the Cancel Lesson screen, which shows the lesson, date and time, court, instructor, and cost and payment details, along with a Reason field to document why the lesson was canceled.

Real-Life Examples:

  • An instructor arrives at Court 2 for a private lesson and realizes it was booked on a court that's already occupied. They open Schedulers > Instructor Scheduler, tap the lesson, and edit it to an open court before the player arrives.

  • A player calls to say they're sick and can't make their upcoming lesson. The instructor cancels the lesson directly from the court, noting the reason, instead of waiting until they're back at a computer.

  • A system user wants to confirm an instructor's afternoon is fully booked before assigning them a new private lesson request, and checks the Weekly view on their phone to see at a glance.


Events

Tapping Events from the Home screen opens three options: List, Categories, and Calendar.

Event List

The Event List shows all upcoming events with their category, date and time, court(s), registration count, and pricing. A search field at the top lets a system user quickly find a specific event.

Tapping an event opens its Event Details screen, showing the event name, category, date and time, court(s), and registrant count. From here, a system user can:

  • Register a player for the event

  • View All Dates for recurring events

  • Edit the event for that date

  • Cancel the event for that date

Note: The Register button on Event Details is how a system user adds a last-minute registrant from the court.

Real-Life Examples:

  • A player walking by asks to join today's Cardio Tennis clinic that still has open spots. A system user opens Events > List, finds the clinic, and taps Register to add them right there.

  • A member asks if a recurring pickleball social has any other dates open this month. A system user pulls up All Dates on the event to check without leaving the court.


Leagues

Tapping Leagues from the Home screen opens two options: Sessions and Calendar.

Sessions lists the club's league sessions, and Calendar shows league matches and events in a calendar view.

Real-Life Example: A league captain asks a system user on-site whether tonight's match is still scheduled after a court maintenance issue. The system user checks Leagues > Calendar on their phone to confirm before the captain's team arrives.


Members

Tapping Members from the Home screen opens the Member List, which can be searched by name. Each entry shows the member's name, family role, email, membership type and status, and balance due.

Tapping a member opens their profile, pulled from the member's Details tab. From here, a system user can:

  • Tap Edit Details to update and save the member's basic information, such as name, gender, birth date, and rating(s).

  • Tap Login Details to view the member's email, username, and last login.

Real-Life Examples:

  • A member mentions her address on file has changed. A system user pulls up her profile under Members, corrects the address, and saves the update without leaving the courts.

  • A parent asks a system user to double-check their child's gender or family role was entered correctly during sign up. The system user opens the child's profile from the court and corrects it on the spot.


Global Announcements

Tapping Global Announcements from the Home screen opens a searchable list of announcements. If none exist yet, the screen displays No items to display.

Tapping Create Global Announcement opens a form where a system user can write a message, set the date range it should display, choose whether to limit it to specific membership types or member groups, and mark it as urgent or featured on the welcome page.

Real-Life Examples:

  • Lightning is spotted near the courts. A system user opens Global Announcements, creates a message titled "Courts Closing Due to Lightning," marks it Urgent, and saves it so players see it immediately on the member portal and mobile app.

  • The club is closing outdoor courts for the season. A system user schedules an announcement in advance with an Active From date at the start of the closure, so players are notified without staff needing to remember to post it that day.


Closures

Tapping Closures from the Home screen opens a searchable list of courts, showing each court's open or closed status.

Tapping Create Closure opens a form where a system user can select the reason for the closure, the court(s) and date/time range affected, and whether existing bookings on those courts should be canceled. Before saving, the screen shows the number of affected bookings and players so a system user can review the impact.

Once saved, the affected court(s) show as CLOSED in the list, along with the closure type, date, and time.

Real-Life Examples:

  • Lightning is detected near the club. A system user opens Closures, creates a closure for the affected courts with a Weather closure type, sets the start time to now, and cancels existing reservations for the safety of players already checked in.

  • A system user notices a cracked court surface before matches start. They close just that one court so new bookings can't be made on it, without affecting the rest of the schedule.

  • A storm is expected to pass by 11 PM. A system user sets the closure's End Date/Time in advance so the court reopens automatically instead of needing a follow-up visit to the app.


More

Tapping More from the bottom navigation opens additional account options:

  • My Profile - View the logged-in system user's own profile

  • Member Portal - Open the member-facing portal

  • Desktop Version - Switch to the desktop version of CourtReserve

  • Log Out - Log out of the app

Real-Life Example: A system user needs to check something only available on the full site, such as a report. They tap Desktop Version from More to switch over without needing a computer nearby.
