Manually Create Member Directories

INTRODUCTION

Feature Summary: Create and manage Static Member Groups to manually control which members belong to a group. Static groups allow admins to add or remove players directly, rather than relying on automatic criteria.

Use Cases: System users may want full control over which members appear in a group. By using a Static group, admins can manually add or remove players rather than having CourtReserve automatically include members based on dynamic criteria.

This is especially helpful when managing curated lists, directories, or invite-only groups.

PREREQUISITES

Understand how to create a member group.


SETUP REQUIREMENTS

There are two ways to create a static group: create a new group or convert a dynamic group.


Creating a New Group

Create a new member group and select the Static option under the heading Group Type.

When the system user clicks Save, CourtReserve displays player selection at the bottom of the page. Scroll down the page and add filters as required.

Scroll down to the Select Members You Want To Add heading. The page has two tables. The table on the left lists all players who meet the system user's filter criteria. The table on the right shows members in the static group. The Group Members table should include the members you want to include in your static group.

To move a name into the static group table:

  1. Locate a name in the left table or use the Search filter to find a member.

  2. Click the Add To Group button. CourtReserve adds the name to the group table.

  3. Click Save to keep the list.


Removing a Name

To remove a member name from a static group, click the Remove button. CourtReserve deletes the name from the group and adds the name to the list in the left table.


Converting a Dynamic Member Group to Static

Use this option to change an existing dynamic group into a static group.

  1. Navigate to MEMBERS > GROUPS > ALL GROUPS.

  2. Locate the Dynamic group in the list and click the pencil icon to edit.

  3. At the top of the new page, click the Convert to Static button. Click Yes in the confirmation popup window.

CourtReserve creates two tables (as described above): the table on the left has a list of potential members, and a table on the right with a list of the group's members.

System users can manually add or remove members from the group list. Click Save to keep the changes.

Converting a Static Member Group to Dynamic

Use this option to change an existing Static Member Group into a Dynamic Member Group.

  1. Navigate to MEMBERS > GROUPS > ALL GROUPS.

  2. Locate the Static group in the list and click the pencil icon to edit.

  3. On the Edit Group page, under Group Type, select Dynamic.

  4. Click Save.

Once saved, the bottom of the page will display the members being automatically included based on the selected filters.

Note: A Static Member Group cannot be switched to Dynamic if it is actively being used as a registration restriction for an event.

When a Static Member Group is attached to an event as a registration restriction, the system prevents changes to the Member Group - Group Type to maintain the integrity of event eligibility and registrations.


Managing a Group

Open the Member Groups page (MEMBERS > GROUPS > ALL GROUPS) to see a list of groups.

  1. Click View to open a new page and see the names of members in the directory.

  2. Click Delete to remove the group.

  3. Click the pencil icon to edit group settings and manually add or remove players.
