INTRODUCTION
Feature Summary: Create a group of members based on one or more shared characteristics.
Use Cases:
Simplify player management tasks, like sending bulk email messages, by organizing members into groups
Share a group with players so they can contact other members
What Is a Member Group?
A Member Group is a way to organize members within CourtReserve based on shared characteristics, interests, or eligibility (e.g., leagues, skill levels, programs, or social groups).
Member Groups can be helpful for:
Controlling reporting filters
Managing booking permissions
Segmenting members for communication
Applying pricing rules or eligibility requirements
Keeping organized lists of specific member types
Static vs. Dynamic Member Groups
CourtReserve offers two types of Member Groups:
Static Member Groups
A Static group requires admins to manually add or remove members.
Best for custom lists (e.g., “Wednesday Morning Friendly Players” or “Neighborhood Group”)
Members remain in the group until an admin updates it
Dynamic Member Groups
A Dynamic group automatically updates based on selected criteria.
Members are added or removed automatically based on filters (such as membership type, age, or status)
Ideal for groups that should stay current without manual maintenance
In short, Static groups are manually managed, while Dynamic groups are rule-based and automatically maintained.
SETUP REQUIREMENTS
To create a new member group:
Log in to the admin dashboard.
Go to the side menu and click SETTINGS > MEMBER SETTINGS > GROUPS.
Click the green Create Group button.
Fill in the form (see below).
Click Save changes.
Filling in the Form
Group Name - Enter a unique name for internal purposes.
Group Type - Choose Static or Dynamic. A static group requires a system user to manually add each member to the list. A dynamic group automatically adds every member who meets the screening requirements created with filters (see below).
Navigation Name - This name displays on the member portal. Usually, copy and paste the Group Name.
Rating categories to be displayed on Members Grid - Click the field and choose an option, or leave the field blank.
Display Options
Display this group on Member Portal / Mobile - Check the box to show the group on the member portal. The default setting is unchecked. Checking this box displays three additional fields: Standard Columns to be displayed on Member Portal & Mobile App, Custom Field Columns to be displayed on Member Portal & Mobile App, and Show Group To Following Memberships.
Standard Columns to be displayed on Member Portal & Mobile App - Click the field and select one or more columns of information to display on the member portal.
Custom Field Columns to be displayed on Member Portal & Mobile App - Click the field and select one or more custom fields to display on the member portal. For example, if an organization creates an Emergency Contact custom field, the organization can display this information for members to view on the member portal.
Show Group To Following Memberships - Use this option to limit access to the group on the member portal by selecting one or more membership plan types. The default setting is All.
Description - Add a brief description of the group.
Default Sorting - Click the field and choose how to sort the list of group members. The default setting is First Name.
Editing the Group
Filters
Note: These filters only display for dynamic groups.
After the system user saves the page, CourtReserve opens a new page. The page shows the group fields plus filters and the active directory. System users configure the fields to define which players are included in the group. Click Save when finished.
Filter Members By Memberships - Click the field and select one or more membership types to filter the group directory. The default setting is All.
Include Active Members / Include Not Active Members - Check one or both boxes to include active and/or inactive players in the group. Include Active Members is checked by default; Include Not Active Members is not checked by default.
Filter Members By Family Roles - Click the field and select one or more family roles to include in the group. The default setting is All.
Filter Members By Gender - Click the field and select a gender option. The default setting is All.
From Age - Enter the minimum age for this group.
Max Age - Enter the maximum age for this group.
Rating(s) - Enter any required rating level for this group.
Reviewing the Group
Scroll down the page to the Group Members directory. It shows a list of all players in the group that meet the filter requirements.
Posting Links
Scroll down to the Links section. System users can use these links to share the group with other members.
Copy the URL link and paste it into email messages, text messages, social media posts, or anywhere else you'd like to share the directory. When a user clicks the link, a new browser tab opens and shows the directory.
Use the Copy Embed Code tool to paste the group directory into a website. Note: This code can be used for external websites but should not be added to the CourtReserve member portal.
Viewing Groups from the Side Panel
System users can also view member groups from the admin panel side navigation. Click Members > Groups to expand a list of all groups, then click a group name to open its directory
USER PERSPECTIVE
Members and players can see and open the member group on the member portal if system users enabled this feature. The group displays under the Groups heading. When a player clicks the group, the directory displays.
If a player clicks the link, the group directory displays.
