How to Create Dynamic Member Groups For Your Club.

INTRODUCTION

Feature Summary: Create and manage Dynamic Member Groups in CourtReserve.

Use Cases: System users can maintain an up-to-date member directory by applying predefined filters. CourtReserve automatically adds or removes members from the group based on these criteria, ensuring the group stays current and relevant without manual updates.


SETUP REQUIREMENTS

To create a Dynamic Member Group:

  1. Log in to the admin dashboard.

  2. Go to the side menu and click MEMBERS > GROUPS.

  3. Click ADD GROUPS or ALL GROUPS. A new page displays.

  4. Click the green Create Group button.


Add New Member Group

  • Group Name: Enter a unique name for internal purposes.

  • Group Type: Choose Dynamic. Dynamic Member Groups allow you to create filters that automatically include members who meet specific criteria, keeping the group updated in real time.

  • Navigation Name: This is the label that appears in the Member Portal, typically a shortened version of the full Group Name.

  • Rating categories to be displayed on Members Grid: Click the field and choose an option or leave the field blank. These are any Custom Ratings you have set up and will display on the Member Group listing if checked.

  • Display this group on Member Portal / Mobile: Check to display this Member Group on the Member Portal / Mobile app.

  • Standard Columns to be displayed on Member Portal & Mobile App: Select the Member data you'd like displayed on the member side for the group.

  • Custom Field Columns to be displayed on Member Portal & Mobile App: Select any Custom Fields you'd like displayed on the member side.

  • Show Group To Following Memberships: Leave blank if show group to all memberships, otherwise select the memberships you'd like the member group shown to.

  • Description: Describe your Member Group.

  • Default Sorting: Choose the sort order by which your members in the group will be displayed.


Edit Group

After saving the page, CourtReserve opens the Edit Group page. The page shows Member Group fields recently populated plus filters and the active directory. Configure the fields to define which players are included in the group.

Filters determine which members/players are included in a Dynamic Member Group.

The group automatically updates—adding or removing members based on your club’s population and whether they meet the selected filter criteria.

Filter options:

  • Filter Members By Memberships: Use this field to filter the Group directory by Membership Type. Click the field and add one or more Membership Types. The default setting is ALL Membership Types. For example, pull all members with a paid membership.

  • Include Active / Inactive Members: Check one or both boxes to indicate who to include in the group. If the system user unchecks both boxes, CourtReserve includes both active and inactive players in the group. For example, only pull active members.

  • Filter Members By Family Roles: Click the field and select one or more family roles to include in the group. The default setting is ALL. For example, pull only Primary family members.

  • Filter Members By Gender: Select male or female. The default setting is ALL. For example, only pull females.

  • From / Max Age: Enter an age range for this group. For example, only pull members ages 18 to 100.

  • Custom Rating: If desired, enter required custom ratings for this group. For example, pull custom pickleball rating of 4.0 and higher.

  • If the below example, the member group will include active members with any membership type who are female, ages 18+ and have a custom rating of 4.0 and higher.

  • Click Save when finished.​


Member Directory

Scroll down the page to the directory. It shows a list of all players in the group that meet the filter requirements. If no one is listed, no one is meeting your current filter criteria.

From this directory, system users can: Use the Search bar to find a member or Export the directory as an .xlsx file.​

Posting Links

Scroll down to the links sections. System users can use these links to share the group with other members.

  • Click COPY URL to copy and paste the link into email messages. When a user clicks the link, a new browser tab opens and shows the directory based on the information chosen to display.

  • Use the COPY EMBED CODE tool to paste the group directory into a website. Note: this code can be used for external websites but should not be added to the CourtReserve member portal.


USER PERSPECTIVE

Members can view and access member groups in the Member Portal (if system users have enabled this feature). Groups will appear under the Groups heading. Example:

If a member clicks the group link, the group directory displays based on the settings.


ADMIN PERSPECTIVE

Creating a Dynamic Member Group is a great way to maintain a constantly updated subset of players for specific purposes, like a player directory or targeted communications. Since these groups automatically pull member details—such as names and email addresses—based on your chosen filters, they stay current without manual updates.

View Group / Player Directory:

Navigate to MEMBERS> GROUPS > ALL GROUPS and use the View button next to your group to see your directory.

Email Players:

Utilize Member Groups to create custom emails to the group.

For example, if you use Custom Ratings and want an always-updated email list for women with a pickleball rating of 4.0 or higher (as shown in the screenshots above), you can easily manage this with a Dynamic Member Group.

To email this group, use CourtReserve’s Bulk Email feature:
Navigate to MEMBERS > BULK EMAIL.

In the example below, we efficiently sent an email to the Dynamic Member Group for 4.0+ Women.

Members Report:

On the Members Report, you can use your Dynamic Member Group as a filter to customize the report output and create a player directory.
