INTRODUCTION
Feature Summary: For reservations with multiple members, organizations can assign different members as the responsible party for each guest. They may also allow members to choose this assignment. If this option is not enabled, the member who books the reservation (the Reservation Owner) will always be assigned as the responsible party for the guest.
Use Cases
Split Guest Costs Across Members: In a doubles match, one member brings a guest but assigns another participating member as the responsible party so fees are distributed appropriately.
Admin Adjusts Billing After Booking: An admin updates a reservation to reassign guest responsibility if fees need to be moved to a different member’s account.
Default Responsibility for Simplicity: If customization is disabled, the booking member automatically remains responsible for all guests—keeping the process simple and consistent.
Flexible Guest Management for Group Play: In larger group reservations, multiple members can each take responsibility for different guests, ensuring fair and accurate cost allocation.
SETUP REQUIREMENTS
If the ability to change Guest Owners should be allowed on the member portal, go to Settings > Portal Settings > Setup.
From here, system users can enable the Allow Members to Change Guest Owner on Member Portal setting. Once enabled, members will have the ability to change the Guest Owner on a reservation.
USER PERSPECTIVE
In this example, a member is booking a Doubles – Pickleball court and adding three additional players. They select another member from the Additional Player(s) dropdown. After selecting 2 Guests and entering the guest names, the booking member can then choose who is responsible for each guest.
Example: If the booking member (Player 1) assigns the guest to another member, the associated fees are posted to that member’s account. In this example, the booking member pays $10, while Steve Smith has a total of $60 charged to their account.
The Reservation Type – Fee Responsibility setting may also impact how fees are distributed. In this case, the original court fee is split evenly among members.
ADMIN PERSPECTIVE
An admin can also create or edit a reservation with guest(s) and choose the Fee Owner as either Member or Guest.
